How Recruiters Read Your Resume ... in 7 Seconds!

  • The Initial Screen: 5 Quick Steps, 7 Seconds
    How do they make that critical "Yes" or "No" decision in that quick scan? Typically, here's how:
    1. They scan summary and functional information at the top to make sure you are a good fit
    2. They review work history to see if the person has had a related career background
    3. Specifically, they look for company names, titles, appropriate number of years of experience in the field etc.
    4. Next, they search for related keywords that show you have the technical skills/ knowledge to get the job done
    5. They scan for appropriate education, certifications, training etc.
    If all looks good so far, they put this resume in the MAYBE pile with a plan to re-evaluate ... and decide if you are worth an interview.

    I think finding a job is 50% timing and luck, 25% your qualifications, and 25% if the employer likes you during the interview

      +Craig TheSchmeg 7 secs isn't the aveerage, no employer is that busy that they can't give more time to a potential future company asset. And if they do they most likely have no social skills or appreciation for talent and skill.

    Given the attention span of HR personnel is about 7 seconds it makes a lot of sense.

    Education is important for the first 10 years of your career after that your experience takes over. This is my experience! Some companies that has such large turn over is because they hire based on education, work experience but forget personality which plays a huge part of being a team player. Every company should focus on HIRE CHARACTER - SKILL IS TRAINED.

      How is an employer supposed to do reliable background checks for character? They can check on educational attainment with 95% confidence and work experience with 80% confidence. Every other claim you make, you could just be making up for the interview so it's effectively worthless.
      Therefore, for younger employees a sensible recruiter will look for high educational attainment as evidence of intelligence and/or diligence, regular employment in real jobs as evidence of general work ethic and experience in skills directly relating to the area of employment if the work is sufficiently specialised.

    Thanks for the video. I agree with you in how to punch up the resume with beginning the tasks in a verbal form, using a descriptive word (not an adverb) to bring it out even more.

    The way it's done isn't the best way, many many times recruiters are missing great talent because of this strategy - they think they are hiring the best candidate because of confirmation bias. Experience is also weighted too heavily, just because someone did something before does not mean they can do it well and just because someone has not done something before does not mean they can't adapt and do it well or better than persons already in the position. Recruiters are leaning on the fact the person was hired before for the same job. You will never get to hire someone who thinks differently using the same old template. This area is ripe for disruption.

      agreed! But also, I can see why they've reverted to this strategy being that there may be way too many resumes to go over that thoroughly in such short time.
      Although, if the company is willing to take the time, there's much better chance that the employee hired will put in their best as they were picked for their skills and talents

      Jess Fischer maybe so, but the system is flawed companies are hell bent on saving money but in the long run they could hire more hr staff to properly do the job it would save them in the long run. Many youngsters getting hired leave in the first two months because they feel "they haven't made a difference"

      ronin43 yes, the system is flawed - because they're focused on money and not integrity or anything important that used to be to companies. I agree
      And even if they want to save money, they're not going to in the long run because they are cutting corners in hiring. It's just a downhill spiral that keeps getting harder from companies trying to make it easier and quicker.
      And I'd say I'm surprised about the younger new employees, but seeing that each generation increasingly thinks they can get instant gratification because of technology and whatnot, it makes sense. I say that unfortunately.
      Making a difference anywhere, let alone a company you just got into, takes a lot of time, effort, and mainly patience
      I know it's easier said than done though.

    7 sec is a fair time. Once recruiter from a reputed company told me that he looks at a resume for 3-4 sec; 5 sec max!

      CBK Recruiter Try to eliminate prepositional phrases. Generally you want your writings to be clear and concise. Quantify wherever possible and target your resume to the job announcement. You might also want to look into a Functional Resume which focuses on your skills, accomplishments, and the outcomes of projects rather than the places you worked. Here's what helped me. On a separate document, write concise sentences that describe your accomplishments, achievements, and successful projects. You may have 4 or 5 pages. Now, use that to write a targeted resume for the job. Remember not all your experience will translate. I would never put my experience planting trees in Oregon on an Administrative Assistant resume. Make sense?

    Thank you! My resume used to be 3 pages long. Even Recruiter who are paying paid high salaries never told me to truncated to 1 page.

      Sure! You may always keep a longer version handy but its never a bad idea to have a one page summary version no matter how many years of experience you have. Just gives the reader what he/she needs as fast as possible.

    This is an interesting video, I work in recruitment within the FS market for AVP to Director hires. I like this video because it is honest - we’d all love to believe that hiring managers have the time to read 100 CVs for 15 minutes but it’s not possible. I think the biggest lesson here is for people to stop moaning about recruiters and realise that working with good ones and how to make that relationship work.

    I think every one has it's own style, and so does the company's recruiter. I think if the recruiter likes your resume (no matter how the resume looks like), you are clicked. So you are a fit for the recruiter.
    There are also many kinds of recruiter, they may like your old-fashion resume, some of them may love the fancy, even without any real content.
    I say, create your resume, show what you are really good at and what you want to provide to the employer, in the end, it all comes down to find a 'suitable' job that fits you.
    These tips are general, you can use them as your own or just leave it.

    My advice don't waste your time with recruiters, look for companies you would like to work for, get names of hiring managers and address it to them.

      +salv236 we cover that point elsewhere and that is generally correct. However, you still need a top-notch resume that is focused on impact and results. In fact, especially critical when you get in front of hiring managers and line managers versus HR staff/recruiters.

      +Careerly I prefer having a human read my CV, then some recruiter filtering out keywords via software, it's quite sad that we have got to this point, guess from this I can create a startup to solve a recruitment problem, when will recruiters to fully read CVs, makes my blood boil.

      +salv236 I agree with you.i applied for IT jobs from Africa to Canada and USA I have had about 3 recruiters who contacted me, the don't take up time to talk with you for a reason i don't know and its hard to explain. the most the ask will be about your desire yearly pay or if you have and updated resume... but the best is to apply directory to a company.

      We do too! Recruiters and HR people are for the most part obstacles between good candidates and the teams that would like to meet them. So you to work within that system OR around it -> network like crazy to get in front of the right people, and MAKE sure your resume shows impact and results.

    I think depends of the professional and position...a leader position for example...its hard to make one page resume.... reaaaaally hard! cause it has the achievements, the technical skills, adm skills, communication skills (including all forums that profesional has participated), outside country experiences (only business travels of course)...just there.... you will have at least 2 full pages...complicated.

      Have two versions- a complete one with the information you mention. And a one-page synopsis of key skills/accomplishments that can quickly get someone's attention before mnaking them read a full 3 or 4 page document.

    I know that most jobs also look at your attitude, and if you are professional and how you answer their questions. They are looking for accomplishments and if you enjoyed your job working there as well. Also how long you worked there as she stated. I love her videos.

    from hr point of view you are right however when resumes comes to us we always need detailed information. now a days we reject 70 percent of resume just on the ground they are one page. so one hand you are right but on another its not.

    They don't see a resume anymore, they use a applicant tracking system and the resume scanned by the system. Most ATS systems will exclude you before you even start, especially if you have had a career change just because of changes in the market of your career. These systems will exclude faster than you can hit enter. You must find an "in" with connections to be introduced into the company, especially if you can get connected with someone within the management of the organization you want to work for. Beyond that, don't hold your breath completing the online applications , you won't get anywhere.

    I guarantee that no matter what else you do or do not have on your resume, or how it is phrased, misspelled, bad syntax, whatever - if you have "javascript" on there, your resume will go to the top.

    I guess there is a misunderstanding here. Firstly, recruiters have 7 seconds to scan a CV not employers.
    They receive hundreds of CVs for each position so actually they have not enough time to have a proper look at a particular CV.
    That is the reason why some of them are using automated engines to filter candidates. Unfortunately, this is normal in many countries but also sad..
    Of course employers and HR divisions spend more time to find the right candidate for a role. Lot of them have their own website where you can apply for their positions which is brilliant.
    If they have the budget and they are not lazy to manage the whole hiring procedure, they can find you. They will analyze your CV deeply, then they might call and invite you for interviews.
    What I do not understand is that most of candidates have to face to 3 critical problems nowadays:
    1. Employers rather pay money for agencies to find the right person for a position that means your success moreover depends on an agent than the employer.
    It is fine, but who is really in charge to be the judge?? Who will actually decide if you are suitable for the position?
    2. Recruitment agencies usually hire undereducated people in their agent positions that means your CV will be reviewed by an unknown agent who has 7 seconds to analyze your CV.
    3. Most of agents have no clue about specific industries and roles, skills and subjects and just a very low number of agencies provide essential trainings to learn how to compare candidates well.
    I cannot imagine how the hell an incompetent could ever be able to compare candidates and their history and skills? With an automated searching engine? Ohh, come on..
    I am afraid of recruitment agencies play bigger part in our life than they should. Last time when I was looking for a job, I felt the pressure to prove myself and my skills to an agent but not the employer.
    This is insane and sad. I was hardly able to reach employers because someone who should not be so relevant in the process played an undesired part.
    I agree that we need agencies but there should be certain points only (education and language levels, experience, address, etc) should be reviewed by them.
    If the candidate matches these needs they should forward his CV to the competent person without checking any numbers and percentages. So they can decide your faith and future instead of agents.
    Numbers are irrelevant and could also be sensitive to let a third-party know even if the candidate knows them and he is also able to prove them.

      +Béla Bana Brother just to add here , that when the Agent will do their part which is i think 80% then the final 1-2 interviews will be conducted by the Employers [01 Technical or Sales related if your in marketing field and one by the higher management] . This is my own experience .
      So what i concluded is that you have to find a way to bypass the agent some how or just convince them ,just to get to the employer direct because final decision is their AND try to find a way ,how the filtering engine work's for resumes short listing :p

    Its a nice guide however it applies only when recruiter finally clicks on your resume. Before this, there is shortlisting process and in order to score most points over there, you have to have key words based on which recruiters filter your resume for shortlisting. Obviously you cant lie but you have to include all your experience in the resume and by doing this your resume may go upto 3-4 pages. Now my question is how recruiters spend this 7 seconds? It would be great advice for many!

    It's a great method, don't get me wrong but that's the major issue with hiring recruiters and managers. A previous employee got fired at my company the person LIED; the resume looked valid, the impact was great but its one GREAT place to stretch out the truth....if the company finds out you LIED...GOOD LUCK... on future interviews....so you might want to be a little careful on how you deliver and stretch out the "truth" on your resume. The manager figured it out, based on the employee's performance...

    Hira, your videos are a great help thank you. In this video you mentioned keeping your resume down to at least one page. But what about the career employee who has been at their job for 20-25 years and are now forced to look for new work as a result of down sizing? How does that person shrink 25 years worth of experience into one page? Especially when they have held various positions within the same company that shows an abundance of promotions?     I'm a recruitment consultant, and my boss told me to only choose candidates with English sounding names. I disagree, as we could be missing out on good candidates from an ethnic background.

      Benie Education shouldn't always be on top. The things you put at the top of your resume are the things you want to highlight i.e. summary, education, experience. If your someone coming right out of school, a summary can hurt you more than it will help. As a brand new job seeker, you're seen as a complete amateur who need to be molded. You may not think that but that's how they see you. I would say have your education first and then your work experience. Be sure to list applicable skills as well after work experience.
      If you have some experience and are done with school, I would say at least 1 year experience and 1 year out of school, then you should have a summary and then your work experience right afterwards. Unless you still haven't gotten the experience that you wanted which then I would say get rid of the summary and keep your work experience on top.

    Mam! I really like your videos and I am following them in preparing myself for my interview. But Mam I find that most of your interview related videos are meant for those who already have a certain amount of work experience. Considering the fact that I am a fresher, if you could make a video on what kind of questions are being asked to a fresher and how a fresher should prepare for it, I think that would help me a lot.

      Everything is quantifiable. HR bullets are about staff retention, employee training etc.

    That's great video and useful tips. I was just wondering if you have documented your advice somewhere online as a pocket review. I have tried to prepare my resume very well as per your suggestion yet I didn't get response or update from recruiters even though I have skills and experience to do that role. The only problem is big companies won't share the name of recruiter so that I can follow up. Isn't nowadays people doing more networking than just applying jobs online? Time seems to have change due to more competition and people becoming like a salesman to sell themselves otherwise many applicants can be ignored online.

    this was a good video, however, how would this relate to: technical support, cyber security, or server system administration? there is kind of a mindset that anything to do with jobs of a technical support nature, that they cost the company money.

      Think about how the tech support role helps business, reduces risk etc. For example an HR example might be:

    So I was working for a fortune 500 company, and where I was working I would ay I wasn't really a standout candidate. We worked with a team, I am not sure I can really say I improved anything with the company so I am not sure what to put don. I did get 2 company awards over my career. Also I was terminated after 11 years.

    The "verbs" suggestion seems to me to apply to managerial positions only. I have no knowledge of management control systems which try to control staff level (rank-and-file) employees via KPIs. If you were hiring for lower level positions (inexperienced candidates essentially), how should their resumes look like?

    Hello everyone. . I've worked for myself in fashion retail owning a small boutique for the last 9 years. I'm closing down due to landlord selling the building I rent in. I will be looking for a job in same industry. I don't know how to address my CV as I've been a fashion buyer and have all the same skills a store manager would have in same industry. the only problem is that I didn't earn a fashion degree as such all my skills learned over last 12 years. Would (not) having a fashion degree hold be back as a potential employee? I feel a bit stuck any advise please.

    The one page resume technique may not work in all types of industries. In IT that would either mean you are a fresher or your resume would not get picked. would like to know if you would agree with the fact

      Business Analyst Guru a one page resume works in any industry. You only need education, professional experience and maybe an other section on your resume. For IT you may have Technical section which includes you computer skills but if you are applying for an Systems Engineer position at ABC company and you have a similar title or over 5 years of experience they will assume you know the technical applications and you can mention the keywords or technical terms in your accomplishments such as used JAVA to increase blah blah blah by 20%. Employers only want to see your last 3 jobs and no more than 5 bullet points for each and they generally don't care about your last. A resume is a marketing and sales document. People have short attention spans and two pages is too much in my view for anyone whose not an executive. People hire people not resumes.

      industry. I am yet to see a one page resume, I agree with the short attention
      span, but I disagree with it as a universal rule of it being the best approach.

      +John Quincy Astor I agree with Bus. Analyst Guru. I'm in the creative industry. If a one page resume hits my desk and I have to guess what they did and accomplished in their previous job, I just go to the next one. I don't have time to waste doing long phone interviews asking if they have done this or that. I want to know that before hand so I can concentrate more if they are a right fit for the department's culture and reviewing their portfolio.
      Also, just because a person has so many years in a position at a company. Does not necessarily mean they know every function of that position or has hands on experience. I met a lot of people that worked several years as a Creative/Art Director and always had staff do all the work. So i never assume anything. I want to see it in writing.

      Business Analyst Guru If you have been in any industry for 12 years you really shouldn't even have to have a resume because your reputation should speak for itself. But even then you should probably have a webpage showcasing your portfolio. I'm in marketing and 12 years from now I definitely don't even plan to be working for any employer because I could make way more consulting.

      I believe we specifically clarify one page for up to 5-7 years of experienced; two pages after that, but we still recommend a one page version as well.
      @AlanThies: you identify exactly the problem. It isn't about you and justice to your experience; it's about the reader and the time they have -> make it easy for them to know immediately the best, most relevant info. The goal of your resume - to get a foot in the door and in front of a human - then at interview you focus on getting the job and ensuring they know all the experience you bring to the table.

    If you're going for a sophisticated job, language like this will hurt you. It's verbal diarrhea
