Most projects have regular meeting cycles: risk meeting, coordination meeting, site meetings, variation review meetings...good to track these and number each item per meeting, for easy reference on later correspondence. Also key items where possible to both site locations and WBS items. Makes searching for either location or WBS item able to show the whole set of matters relating.
