Power BI - Export Report and Email to Current User (Power Automate)

  • In this Power BI tutorial, we learn how to send an export of a Power BI report to the logged in user, or any list of users! This method uses both Power Automate (Microsoft Flow) and buttons within Power BI. This is a fun trick that demonstrates the power of using multiple technologies within the Power Platform!

    Thanks a lot to present this feature , very helpful . Is there a way to send a filtered report ? i am trying to apply some filters then export & send but the method in the video exporting only the saved report without applying any filters .

    This is great ! Unfortunately, I cannot use the HTTP request and email function because of security restrictions. Any way I can create an= simple export button in PBI without those options available?

    Hi, it is really useful and helpful. I have two questions
    1) can I split the email addresses between TO and CC? Currently all selected email addresses are in TO field only.
    2) I want to add one more customized text box where the user can add/type the email content before sending the report.

    Very nice! If only Power BI also allowed us to export formatted reports into editable formats, like Excel and Word.

    Parker - if you export the report as an image, is there any way to embed in the body of the email? I've been trying variations of this for hours with no success.

    Hi BI Elite, pleased to be part of this great Community. Let me say than I´ve been having some troubles running this flow, I get an error that says "FeatureNotAvailableError" on 404 code.     Is it possible to request the power automate to cycle through all values in the slicer and print the result after each selection?

    If I select a filter and then click on that mail image, then instead of sending the filtered power bi report, it is sending whole report. How can I send only filtered report in pdf.

    The exportToFile api still needs pbi reports to reside in premium or embedded capacity..so premium per user might not work.. I tried and got a “featurenotavailableerror” also the same api works fine against a paginated report residing on premium per user - thanks

    Would I be able to export a table in a published power bi app but I have no access to the workspace nor the data source? (I.e. just the actual dashboard through the shared link)
    Currently, the data gets updated every month and I need to go every month, filter last month’s data and export it using the 3 dots>export button.
    I would like to automate that process. Any idea how?

    I downloaded example file but powe bi desktop can’t open file ( like it is corrupted). What I don’t understand is how to assign flow measure to button. I used action type = web url and as Web url I picked ups measure. When U click button browser oppens. I want to avoid oppening broeser. Is it

      Good question! I'm not sure. Depending on which email action you choose, I know you can either send via your email address or "Microsoft Power Apps and Power Automate" which I used in the video.

      @@andreaalejandragutierrezam1751 You have to log in to Power Automate with the corp account. It should pick up that e-mail address as a sender :)

    Great work, Could you also please let us know if this works with Row Security Level ?
    Which means only people can see their own country data after exporting to PDF.

    are you sending the actual report or the defoult report?
    I mean, if the user change the view with a bookmarks, he will be export the new view given by the bookmark?

      Currently, this is sending the full report. Bookmark support hasn't been enabled yet for the Power Automate action.

      Hey Tara, your report needs to be in a workspace that is on dedicated capacity (Power BI Premium, Premium Per User, or Embedded).

      @@BIElite Hi, First of all it's a great example. I have only Pro license so I also encountered the same issue of Tara. Is there any possibilities to achieve report export( Particular page with several bookmarks) functionalities in Power BI Report Server ( Comes with the SQL server Enterprise license) ?

      @@BIElite I do not think "Premium Per User" is enough. It is not working for me. I am getting the same "...not on dedicated capacity" Error. It seems you need to spend 4k per month for a capacity in order to be able to export to PDF using Power Automate. Shame on you Microsoft :-(

    Nice to see how the over all Power Platform works together..
    I am still not sure, why would someone click a button on the report to export the report ..?
    They can simply use the native export functionality from the headers..
    But overall, nice to see this new functionality.. :)

    1. Currently our company host power bi server in the intranet, do i need to install microsoft on a dedicated server as well?
    2. How do the flow able to access the power bi report if the report has RLS settings? So the flow will login to powerbi then export view based on the RLS definition of that user? Can flow handle this access issue?

      Hi Nicholas, I had the same concern. As I have send a report to many people. Will the RLS logic work and each of the pdf generated is unique to the end-user?

      Hey Taylor, in order to use this method, your report needs to be in a workspace that's on dedicated capacity (Power BI Premium, Premium Per User, or Embedded).

      bit late on the rreply as i just saw this now, from my experience, this plug-in only works if you have dedicated capacity workspace in which the reports are being run/generated on. It does not work on Pro or Premium Per User License. Really sucks that microsoft display plug-ins on license options they are not provisioned to work on.

    It is total BS that MS limits this function to Full Premium capacity only, it locks out vast majority of (PRO) users
