This might be a stupid question but does the battery need to be unplugged before doing this or is the engine being completely off fine ?

For safety we always recommend disconnecting the battery before doing any electrical work.

can you do it without those tools?

You may be able to use something that is a similar size to the radio keys, but it will be more difficult.

Any single DIN head unit should be compatible, but may require an adapter loom for the wiring.
