    Okay full disclosure. I need to file three years of taxes🤦🏼‍♀️ I procrastinated due to a family health crisis and I have a quality but small breeding/ show kennel with beautiful German Shepherds. Two litters, imports, registration, vet FOOD…all the stuff. I have the receipts and I HATE Excel. The main source of my trepidation! As a Mac user and web designer for 25 years, how did I not know about this! I’ve watched this video and another one about pivot tables. Tomorrow morning let the fun begin! My accountant will be so proud😬 It may take two weeks but now I am actually excited to use this cool app. Thank You is an understatement! ❤️

    Gary, thank you for your informative content. Please create a video explaining how to troubleshoot the "category" column when it only gives you an option to pick from a pre-selected list instead of typing out the customised category list.

      Not sure what you mean. You can type whatever you want in the category column. There is autofill, but you don't need to use it.

    Very useful, Gary. I've done this for several years in Excel. What you've shown looks much simpler than what I created (I have dropdown menus for the Categories). I will be trying out what you've so well explained to get a record of expenses with less effort than I've had to put in over the years.     Gary - great video! Much appreciated. I stopped using Quicken when me and my wife switched to Apple Cards cause we could not automatically import the transactions. I have have already using some basic spreadsheets to just calculate the household expenses, but this just gave me some additional ideas on how to do track all expenses! Great work!

    Hi Gary, I’ve been doing that for some of the past years. I go all the way down on my expenses for a year and I keep sheets for different categories such as expenses, money that I make, bank payments on credit cards, gasoline on my two cars and figure out what I do with my money. This is a way to handle your earnings as a business man, especifica you’re retired. Thanks for sharing our expertise, pretty useful

      Not sure what you mean by a "cash flow." But think about how you would do it on paper and then built a spreadsheet to do exactly the same thing, for starters.

      It adds a dimension of complexity, but of course many people keep such detailed records in a spreadsheet. Just figure out what you want to track and design it.

    Thank you Gary. These short videos are a great way to help us to develop our knowledge. Is there a way to clear cell history description. I mean when you start to type in a cell and it shows all previous entries in that column. These previous entries can get out of hand.

      You can turn it off, but it certainly comes in handy in the Category column where you should have a small number of possibilities.

      Usually you can download from your bank in CSV format, open that in Numbers, and copy and paste from one document to another as needed.

      You can scan with something like your iPhone's camera or a scanner hooked up to your Mac and save your receipts in digital format, yes. But there is no easy way to connect that to this kind of spreadsheet. I think there are accounting apps that you can buy that may do it if you really want to.

      Probably. Why not create a sample document and see what you can do. Playing around with sample documents is a great way to learn Numbers.

    More on this, please, I have a bar graph that shows my net worth overtime as well as my debt overtime. Currently I have manually delete the oldest year and then add the newest year whenever I need to. I would like to learn how to create a revolving bar chart if that’s possible, where I don’t have to delete delete the old data, and I can then use a scrollbar to scroll to the oldest part of the chart or the newest part.

      That could be more trouble than it is worth. If it takes a minute to alter the chart per year, then putting hours of work into it to make it "automatic" may not pay off.

    Love this! Would it be possible to have sub categories (e.g. Food/Groceries and Food/Dining Out) and have the main category (Food) and / or sub category data (Groceries, Dining Out) show in the pivot table?

      Don’t make it too complicated. Create another category called Entertainment.

      Yes, keep it simple or your summary pivot table will become useless. On the other hand, you can always add another column. So the Category column could be "Entertainment" and the Subcategory column can be "Movies" or "Concert" etc. Then don't use the subcategory column in the pivot table at all.

    Hi Gary. I want to say thanks for your video on Numbers. I have just set up as a self employed delivery person for Just Eats and a few other ventures and was wondering how to record it. I will now be able to see at a glance what is working and what is not. I have a question - if I filter so I can see what is relevant such as you show on the later part of the video and keep it on that does the background data that is hidden still keep refreshing? kind regards Jim

      Yes. You can test it for yourself and see. (Testing things with sample documents is an important technique when working with spreadsheets).

    Great tutorial! Very helpful to me as I am just learning this program.
    Question, is there a way to add a row at the top easily or automatically? As the list of expenses gets longer it’s increasingly time consuming to scroll to the bottom of the table and add a row at the bottom, especially if I’m using my phone. I’m currently primarily using the latest version on ipad(with a keyboard).

      First, you can just use the "End" key on your keyboard or FN+Right Arrow if your keyboard doesn't have one. If you really want to insert at the top, you can select the first row under the header row, can click on the number to the left or use Table, Add Row Above.

    Thanks for the video. Now I have an understanding of what pivotables do.
    Question: with the categories column, in order for it to work to group expenses in that second sheet, you need to ensure that you spell the names correctly, right? I ask as you seem to enter each entry manually.
    I was wondering if you could make a dropdown list or something and if so, how can that be done?

      Yes. Just use the autofill function that is already there. So once you have something like "Travel" in the column, it tries to autofill "Travel" when you start typing it. Makes it easy.
