  • In this video, I am explaining how to add delay for sending an email in outlook. After you send an email, email will stay in outbox for the specific time you set on the outlook and after the time expired it will be sent automatically.
    You can delay the delivery of an individual message or you can use rules to delay the delivery of all messages by having them held in the Outbox for a specified time after you click Send.
    Procedure to delay the delivery of a message:
    While composing a message, select the More options arrow from the Tags group in the Ribbon.
    Select More Options to set a delivery delay.
    Under Delivery options, select the Do not deliver before check box, and then click the delivery date and time you want.
    Set a date and time to deliver your message.
    Click Close.
    When you're done composing your email message, select Send.
    After you click Send, the message remains in the Outbox folder until the delivery time.
    If you decide later that you want to send the message immediately, do the following:
    Switch to the Outbox folder.
    Open the delayed message.
    Select the More options arrow from the Tags group in the Ribbon.
    Select More Options to set a delivery delay.
    Under Delivery options, clear the Do not deliver before check box.
    Click Close and send.
    Note: Outlook must be online and connected for this feature to work.

    Delay the delivery of all messages
    You can delay the delivery of all messages by up to two hours by creating a rule.
    Click File.
    Click Manage Rules & Alerts.
    Click New Rule.
    In the Step 1: Select a template box, under Start from a Blank Rule, click Apply rule on messages I send, and then click Next.
    In the Step 1: Select condition(s) list, select the check boxes for any options that you want, and then click Next.
    If you do not select any check boxes, a confirmation dialog box appears. If you click Yes, the rule that you are creating is applied to all messages that you send.
    In the Step 1: Select action(s) list, select the defer delivery by a number of minutes check box.
    In the Step 2: Edit the rule description (click an underlined value) box, click the underlined phrase a number of and enter the number of minutes for which you want the messages to be held before it is sent.
    Delivery can be delayed up to 120 minutes.
    Click OK, and then click Next.
    Select the check boxes for any exceptions that you want.
    Click Next.
    In the Step 1: Specify a name for this rule box, type a name for the rule.
    Select the Turn on this rule check box.
    Click Finish.
    After you click Send, each message remains in the Outbox folder for the time that you specified.

    You may want to update this video with instruction on how to "delay" the send of "ALL" messages sent which gives the user an opportunity to Undo the send and make corrections. This setting is found under the "compose and reply" settings section and labelled "undo send" - which I think it should be called "delay sending with undo prompt"

      I set up a Quick Step called "Pause Send." Clicking it will immediately move any selected email to my drafts folder. So, if during the 2 minute delay I realize I accidentally included a customer on an internal reply, I can go to the outbox, highlight the delayed email, click the "Pause Send" Quick Step, and it moves out of the outbox and into the drafts. From there I can correct and then send again, which re-starts the delay, but allowed me to avert the crisis. :)

    This is close to what I'm looking for, but what I really want is to delay all messages until a certain time in the day. EXAMPLE: All emails to go out "This coming Monday" at 6:00 AM .

      I've heard this can be done with the Viva Insights add-on to Outlook. When you go to send an email outside of someone's Outlook working hours, it will ask if you want to send immediately or delay send until their next working hours. My company doesn't allow the Viva Insights add-on so I'm searching for a work-around 😞

    how can i use it withthe mail merge? i try this. but it only apply to all the emails. that went to the out boox. and the delay time starts when it hit the out box. is there any way that I can put a rule that after each sending email there will be a delay of 2 minutes (on that mail which are in outbox.) like the delay time will apply on the outbox.

    Hi can you do a rule wherein all email you compose after 8pm (for example) will be delivered only at 8:30 am the following day?

    Is there any rule like mail should be delivered after one min one by one automatically, when we use mail merge email send at the same time but I want different time like one by one thank you.
