How to Add a Drop-Down List in Word | Create a Drop-Down Box | Insert a Drop-Down Menu (UPDATED)

  • In this video, we’ll be showing you how to create a drop-down list in Word.
    Drop-down lists force the user to select an option from a list that you made beforehand. If you want a user to fill out a form, or create drop-down lists for any other reason, we’ll show you how to do it! Let’s create a drop-down list in this document.
    1. Go to File - Options - Customize Ribbon, and check the Developer box.
    2. Go to the Developer tab at the top and click the Drop-Down List Content Control button.
    3. Click Properties at the top.
    4. Change the title. You can also change the design and color here.
    5. Remove the default list item and Add the ones you would like the user to choose from.
    6. Hit OK.
    7. To change the watermark text, click Design Mode at the top.
    8. In Design Mode, you can also delete the content control by selecting it and pressing Delete or Backspace.
    We now a content control with a drop-down list!

    Is there a way to create a list allowing the user to make multiple selections rather than just one?

      That is the Combo Box control found to the left of the Drop Down control in the tutorial.

    I would like to create a drop-down to a script that gives several options for answers as the script develops. Each drop-down may have a script of disclosures to provide the client with information to fill up an application.

    Thanks for the tutorial. I am creating a document with this feature. Is there a way to only protect the dropdown contents while leaving the rest of the document able to be edited? For instance, beneath the dropdown in the table, I want a user to be able to type notes. When the 'protect form' lock is turned on, I can no longer edit or add anything to the document. I have several users who will be accessing the form- and not everyone is technically savvy to know how to enable/disable the lock. I'd like for them to be able to use the dropdowns by still be able to add their own custom, free-form notes specific to their needs.

      @@ThatSavvySpecialEducator I get involved in so many little tech requests like this for work, I'm having a hard time remembering what project this was. But if I seem to recall, I abandoned this idea and decided to use Excel instead and use data validation/lists instead of using Word.

    Does anyone know if the completed drop down list can be copy and pasted somewhere else? I am working on a schedule for employees and want to just copy it to another area of the form Im creating. If I create the list again it will take 30-40 min as there is a lot of info on that list.

      If you click on the drop down you wish to copy, it will give you a grey outline with the name top left and drop down on the right, when you have this, press Ctrl + C, move your cursor to where you wish to copy and press Ctrl + V

    Hi i want to make drop down list but i have 3 or 4 different thing to fill in the document which depends from my first choise. Can we add drop down list from excel?

      Yes, you can insert an Excel sheet from the Insert menu in Word but I would advise using Excel, saving the document then Importing it into your Word document via the File menu. This is because the embedded Excel function in Word presents a bare bones menu system at the top and the other menus are all reduced to small square icons which can be fiddly to navigate.

      Use Excel to create the Table and then import it into you document, this is much easier for certain tasks, this one is an example.

      Hey, I made a table, created the drop down in one cell, then clicked in the cell so the contents were highlighted (you get a grey box with little tabs top and bottom if the dropdown is selected), pressed Ctrl + C to copy it, highlighted the other cells I wanted the drop down in and pressed Ctrl + V to paste. It worked fine and you could then set the table line colour to the same as your document background if you wanted to hide the lines. You can also select the Table Design tab at the top when the table is selected, on the right section, Borders, select Pen Colour, choose the colour you want then move over the table where the lines you want to reinstate are, you will get an outline when you are over the "invisible" line, click and hey presto, back again.

      I think the closest is the drop down Date Picker, to use it follow the same instructions, just choose the Date Picker icon instead of the List Control . On my copy it is in the controls group and the 8th item from the top left.
