Collect Form Metadata in KoboToolbox and ODK Collect - including how to collect GPS automatically!

  • Do you need to collect information like start time, end time, or username of the person submitting forms using KoboToolbox or ODK? If so, you need to collect metadata.

    In this video, learn how to collect form metadata when you're creating your form directly in KoboToolbox form builder. Also add a couple extra metadata options by downloading the XLSForm version of your form, and adding "email" and "audit" to your metadata section (so you can do fun things like automatically collect GPS location data in the background).

    I need to make the metadata required how can I fulfill that.
    Like I have a phonenumber metadata my user not entered the metadata details in odk collect app (Project settings-> User and device identity->Form metadata->phone number) My user does not enter the details in odk collect app. So how can I throw an error for metadata?

      Interesting question. There's no way to force someone to enter their metadata in the app, however you could put a question in the questionnaire that requires a phone number in it, pre-populate it with the metadata, and if it's empty, make it a required question. Make it a text field and Put a regex constraint on it to make sure they're entering the right amount of digits.

      Ooo, great question! I don't think it's possible right now, no. I know the ODK team put some thought into that, because they wanted to make sure there was always a message to data collectors to let them know their GPS location was being tracked. However, could you share what use-case you have, and how you'd want to modify that text? Maybe it could be a feature they develop in the future.

Basically, the idea would be to display a more elaborate data protection statement (i.e. that GPS locations will be aggregated, data not shared, etc) that includes as well a link to a more elaborate text. Similar to the cookie pop-ups on homepages.

      Just FYI, no one has said there are customisation possibilities, no. However, i was thinking that a nice way to do this might be to make a "welcome" page on your survey, putting in the link and and details. And then perhaps even a little gif to show how to turn the GPS tracking on and off? Just a thought of how to do it. If you make it an "acknowledge" type of question in XLSForm, then they also are required to acknowledge it. I don't know, something like that could be nice. Would love to hear what you're results are!
