I did the same after trying 30+ apps over a decade and I totally agree when you said “Apple apps just work”. I love Apple Notes and Reminders especially. Adding reminders and calendar appointments with Siri was a game changer.

Same, especially with note taking software. But after watching a few how to's and learning of the new and continuing upgrades to Apple Notes, I've been using it now, getting away from OneNote - which admittedly, is pretty darn good. And the right price - free. But I'm not sure I like trusting Microsoft, although much, much, much more than Google.
I knew I was in the right place when I saw the Netter book. I recently retired from patient care and am transitioning into nonclinical work, which requires retooling my organizational system. I've tried Notion, which drove me nuts. I bought an At-A-Glance paper calendar this week, thinking it got me through the era of hospital pagers and finding a pay phone just fine. 2 comments - if you work with mail links, make sure that with iOS and iPadOS in Settings - Mail - Accounts - Fetch new Data - your account - all the folders you move stuff into should be ticked here if you use Push. Then refresh mailbox and from there links will work across devices. Second you can move a note link to a calendar item. In the note click on Share - select Collaborate - and from the second row select “Invite with link” (if it is not visible you need to activate from the … More button at the end of this row). Put your iCloud email as the recipient and then “Share Link”. Now you have a link you can insert in any note field (reminders or calendar) which will bring you to the note.

I’m not in medicine, I’m a self employed private piano tutor and I have a pretty busy schedule as I also play in a function band as a secondary income. This video was helpful in me deciding to stay in the Apple ecosystem. The only app I’ll use to annotate music score is ForScore but that is because that is use case specific and has specific music annotation tools

Now after watching this video, i have decided to stick to apple ecosystem and spend time with it , which gets work done. No headaches of sync etc using apple apps. So will stick to it from now . In 3:12 you mentioned you can't link your note to your Apple Calendar Event, but you can. Click the 'Invite with Link' add your email and it will automatically add the link to the clipboard, then go to your calendar event and click inside the URL section or NOTE section and 'paste'. Nope not the easiest way, but better than nothing. You will have to make sure it is set to collaborate to share the note. Also if that is glitching out and doesn't want to work, click share button on the note, then messages, and then send it to yourself. Then from there you can copy the link and add it the same way to your calendar event as mention previously. Yes, this one creates two messages in your message section under your contact: one from you - one to you, but its a good work around and easy to clean up!
Thanks for pointing this out! Like you mentioned its a really inconsistent and cumbersome way to generate links. When I started out with apple notes I tried doing this, but over time its just become too cumbersome to rely on and so I just dropped it from my workflow! Hope they fix it this coming June!

Great video! Thank you. I am also looking for a while to get some ideas to get everything in Reminders/Notes. But from time to time I struggle to keep it clean and simple. Even in Notes nowadays you can make it quick complex with (sub)folders, tags and linking notes.

Great video. Totally agree as the Apple apps can do more and more these days and there’s no need to necessarily pay for Todoist or Things. Re linking notes in other apps like Calendar: if you tap the Share button from within an Apple Note then select Copy Link, you can then paste the link to that Note within the other app. That might give you what you’re looking for.
There are some genius insights in the video. The template bit was known but tagging each step in each section with its hashtags, and then using smart folders to segregate them and then doing it in batches rather than ad hoc was so sweet. Also how did you make hyperlinks to other notes within the app? I have ADHD and has spend years setting up Notion but not coming around to using it. It's like I get hyperfixated with the form over function conundrum. Here it's simple and it WORKS! Earned a sub! Love from India.
Great video. And I agree about the failure of Apple Notes search feature not highlighting like Apple Photos does. They clearly use the OCR in notes, they just need to take the next step and include highlighting. Also, I love the RUclips workflow. I'm gonna try that out. Do you have another video with more detail on how you set up the templates and lists? I don’t understand how to get the separate sections to appear in the smart list with their respective tasks. Mine just shows the tasks.
Great video. I tried to do the same recently and I was surprised how far I come with Apple only apps, but what I'm really missing is the ability to reference days in Apple Notes or have a daily note at all. And markdown, I'm so used to markdown that using the Apple Notes formatting options feel clunky.

I can relate to that sentiment of wanting the new shiny tool. As I've gotten busier and needed more reliability, I've just found that apple apps are where I want to invest my time!

I created a shortcut that allows me to do this - it's in my video on Siri Shortcuts. However, you might be better off waiting for iOS 18 where they integrated reminders into calendar so no manual labor required!

If you fit command F on your iPad keyboard while in the note you can then search specifically for content within that note. I agree with you about most of the points you made and I’ve been on a similar journey with offloading all my apps. Simplicity is key to GTD. Apple reminders needs to integrate more seamlessly with calendar before I leave tick tick
I tried ticktick for a while and thought it was a great option! It has a nice habit tracker as well, which I have to do manually with numbers/excel. Waiting for that to be part of the Apple ecosystem too haha

I agree for the most part. I am a soloprenuer and have multiple companies with different emails and calendars etc. I use Spark, Fantastical, Things 3 and Apple Notes.
I've tried spark and had a pretty good experience! Do you think Things 3 is better than reminders as it stands? how does it fit in ways that reminders can't. I've been considering trying it out!
@@mananparekh_@mananparekh_ I think it is for many reasons, but I will add that Things integrates with Reminders. Things gives you a little more that makes it helpful to use. Things has my entire list of stuff, and I drag and drop the items I need to do into Fantastical (time blocking).
So…. Meetings. Online meetings in particular. How do you manage or participate in those? Do people really do scheduled FaceTime meetings or do you need Teams/Zoom/Meet for that kind of things? I’ve often wondered because I kind of WANT to run a business on only Apple stock apps but the world around you run in Microsoft 365 and interoperability isn’t great. For my main business it’s all M365 even if I use a Mac I use all Microsoft apps for productivity. Office including outlook since shared mailboxes doesn’t work well in mail, Teams since everyone else is there and teams rooms for the same reason, tasks in teams and calendar in teams. Max stock apps even though they have basic support for M365 is absent for all my workflows. I even use Edge for Mac for the integration. So even though Freeform and FaceTime links exist meetings on Apple stock apps are lacking because of business market share I guess. Any thoughts ?
Same situation here… I build up my same system with notes and reminders over the weekend and realised today, that it won’t really work if you have to live in the m365 world But reminders and notes would be so much better than to-do and OneNote
Great point about business uses. Unfortunately Apple apps are simply not designed for business collaborative uses, wouldn’t recommend FaceTime over teams atp. I think it’s best for personal use, unless you want to make the investment in Apple equipment for the entire company, in which case it is possible to use Apple products exclusively. I can’t imagine that’s cost efficient or feasible given collabs with other companies and teams
@@mananparekh_ well. I do think it would be cost effective to invest in Apple products only if the use case is right. For instance using Apple Microsoft or adobe products plus Webb apps to sustain your business. But the major factor here would be interoperability… you could initiate a FaceTime scheduled meeting leveraging FaceTime and calendar. The recipient would get a link to join on the web. But the interaction itself would alienate users…
The problem with some of Apple apps is that there is no end-to-end encryption and when you're inputting certain personal data, that matters for a lot of people.
Notes to appointment link: 1) go to the note, select share, work together, everybody who has link 2) select invite through link This copies the link to clipboard 3) open the appointment and copy the link into the URL field of the appointment. Pity that one cannot move the note in split view from notes to calendar. Maybe iOS / iPadOS 18

Adopted the same except I ditched Apple Notes for OneNote, mainly because I kept losing handwritten notes when I used Apple Notes for some reason, despite turning sync off, plus using the Notes app heats the device up (iPad Mini 6 and iPad Pro 11" 2022). Got frustrated after a year using Notes that I switched to OneNote for IOS. Just hope Apple would tighten the integration between Apple Calendar and Reminders app (e.g., have scheduled reminders appear in the calendar). All the best!

I agree with your perspective on this - it's all about simplicity. Do you also use Apples "Mail" app for email? Or use something like Gmail? What's your thoughts on this?
Even tho this isn’t him giving you his two cents but mine. I think Gmail is just a far better app IMO. I always try to use Apple mail but it always gives me notifications on my email like 30 minutes or more later where I like how Gmail gives me my email exactly when the email is sent. That’s the only Apple app I refuse to use until they fix that. Apple Maps is something I always like going back to all the time but I think Google maps is better but Apple Maps looks nicer. I’m starting to try pages now with Google docs. I think Google apps are great for collaboration where as Apple apps are great for simplicity, so if you’re in college or in a job where you have to collab a lot Google apps are better for that reason but Apple apps have gotten better over decades.
The reply below has strong points. I personally use apple mail since I have accounts from google and Microsoft and want to see all my mail in the same app. I am now used to the layout and the features. The recent addition of smart summaries has been helpful at times, too.
I'm moving in the same direction these days) Already canceled a bunch of subscriptions in favor of the Apple native apps. Only can't replace Obsidian, unfortunately Apple Notes isn't quite good to use them (at least for my goals). Thanks for the video
I agree Calendar, Reminders and Notes are key but feel Contacts should interact with Calendar and Reminders. Being able to link a Contact to an appointment should be a no-brainer to be able to contact someone that you have an appointment with. I hope this is added in the future.
Some very interesting workflows, thank you. I live in the apple eco system. However, other than calendar, I moved away from the other apps. I use windows devices at work. I need apps that are platform agnostic. I appreciate the apple system can be used using icloud - did it that way for a long time. But the big thing for me is how easy is it to get my data out of apple notes. From what I have experienced, not that easy. I would love to be proven wrong. But if I want to leave apple systems and take my notes with me, thats not so easy to do.

I also agree that cross platform apps would be ideal, but I haven’t been able to find one that checks enough boxes. Perhaps Notion is sufficient, but you then lack handwriting input, offline, and OCR. A true problem in the note taking app world
Notion and Obsidian setups always seem to be “how complex can I make my productivity system” rather than “how can I set up a productivity system that helps me get things done?” I’ve seen streamlined Notion setups and have actually used the concepts in my Apple productivity system. The fact that the native apps don’t work together is weird. I can’t put a Reminder in a Note or on the Calendar. I can’t make Reminder List from a template using Shortcuts
No, that is actually not true. I thought the same, but what really was the case is that the mail folder was not loaded by Apple Mail. You have to have your folders completely downloaded.
@@jackan04 I found that if I use the “add link” function when creating a quick note the link is fragile. The link appears as a rectangle with the email title on the left and a mail icon on the right. However, if I drag the email onto the note the resulting link is robust and continues to work after the email is moved. In this case the link appears as yellow underlined text.
The problem is that the folder needs to be updated on IOS. If you can see the mail in Apple Mail (after you’ve moved it) the link will work. This is, because IOS (and iPadOS) won’t load emails you moved in the background. You can however force it it do so by going to Settings - Mail - Accounts - Fetch New Data - And then select your account. If it is set to push make sure that all the folders you put mails into are ticked here. Once you’ve done that, refresh your inbox and all mails within the selected folder are downloaded. Problem is only that you need to add any new folders after creation. Once I selected all my folders, linking has been rock solid.
@@mananparekh_ Then another hack coming with iOS 18 is that Reminders will be visible within the Calendar app whenever there is a time or date added. You can then add notes by linking a note to the Reminders.
I understand your sentiment, but in my experience the Apps for Studying perform awful! I'd love to use the quick notes (the ones you can pull up from the corner on every screen on the iPad) for excercises in class but they only fit a few lines of text before they get hella buggy (handwritigets a huuuge delay), so you'd have to make a hundred individual notes and that just clutters my notes overview. The standard pdf editing (/drawing) also started performing badlyafter a year or two of usage - now i can't rely on it, because at some point it just decides to erase all writing that hasn't been saved (so the workaround is closing and opening the dicument every few lines of text so that it saves)..
I’ve experienced some of these issues for sure, but not to the same degree! Agree that it’s not ideal, and sometimes I wonder about using a dedicated note taking app to study. However, I rarely have time to hand write notes anymore, so I’m not sure if I’m missing out too much. Still a work in progress for me admittedly
are we not going to talk about how apple calendar doesnt have week view on the iphone. the weekcal application is pay but its deffinitely worth it until apple catches up
Mm what I do I just use different folders, but no true equivalent of notebooks in apple notes. Theoretically you could set up multiple accounts with notes (iCloud, gmail, etc) but you’d lose some features with non iCloud accounts
Spreadsheet functions are really limited in Apple notes, the best you can do is a basic table but no formulas or anything like that. Recommend numbers for that sort of thing

@@ryetak7I see! So basically I create the reminders list and edit all the details including the title and icon, which you can select an emoji for if you just hit the little blue smiley in the top left underneath colors when editing details. Then you can make it a smart list too! Hope that helps
Good point! Apple does have some NLP but it’s definitely behind the times. I just like Siri when I’m driving and need to input things or when my hands are busy
I’ve used free form and it can be helpful, but it’s not something that’s permeated into my day to day, except maybe when I’m studying and need a free recall canvas. Will try to make a vid on that soon!
Notes to tasks is easy. Just highlight some text in a note and share it to Reminders. The resulting reminder will inherit the title of the note, will include the highlighted text in the reminder’s note field, and will have a link back to the note. Unfortunately this doesn’t work in the other direction

Only MKBHD and Ali Abdaal use that much apps. No one does. It is foolish to assume even they use it, it is the sponsorship game that is played at the back end.
In the beginning they weren’t good. Nowadays they work just enough without adding further complexity. Other apps need that complexity for value proposition.
I also prefer to keep things simple. However, for me, the Agenda App serves as a bridge between the calendar and reminders, gradually replacing Apple Notes.
I've heard about agenda and it seems like a nice app, I just don't like the idea of having to pay a subscription yearly for the rest of my life haha. trying to keep those to a minimum
I guess you could apply the same logic, but Spotify in my opinion is just better for what I use it for, also it’s not a productivity app haha I also have over a decade’s worth of music stored in Spotify so a bit of a nuisance to switch if things are going well for me

I can relate to that sentiment of wanting the new shiny tool. As I've gotten busier and needed more reliability, I've just found that apple apps are where I want to invest my time!

I created a shortcut that allows me to do this - it's in my video on Siri Shortcuts. However, you might be better off waiting for iOS 18 where they integrated reminders into calendar so no manual labor required!

I agree with you about most of the points you made and I’ve been on a similar journey with offloading all my apps. Simplicity is key to GTD. Apple reminders needs to integrate more seamlessly with calendar before I leave tick tick
I tried ticktick for a while and thought it was a great option! It has a nice habit tracker as well, which I have to do manually with numbers/excel. Waiting for that to be part of the Apple ecosystem too haha

I agree for the most part. I am a soloprenuer and have multiple companies with different emails and calendars etc. I use Spark, Fantastical, Things 3 and Apple Notes.
I've tried spark and had a pretty good experience! Do you think Things 3 is better than reminders as it stands? how does it fit in ways that reminders can't. I've been considering trying it out!
@@mananparekh_@mananparekh_ I think it is for many reasons, but I will add that Things integrates with Reminders. Things gives you a little more that makes it helpful to use. Things has my entire list of stuff, and I drag and drop the items I need to do into Fantastical (time blocking).
I was a huge Onenote fan for many years until I did the jump to the Apple ecosystem. Notes is just so good I have no regrets switching over.

So…. Meetings. Online meetings in particular. How do you manage or participate in those? Do people really do scheduled FaceTime meetings or do you need Teams/Zoom/Meet for that kind of things?
I’ve often wondered because I kind of WANT to run a business on only Apple stock apps but the world around you run in Microsoft 365 and interoperability isn’t great.
For my main business it’s all M365 even if I use a Mac I use all Microsoft apps for productivity. Office including outlook since shared mailboxes doesn’t work well in mail, Teams since everyone else is there and teams rooms for the same reason, tasks in teams and calendar in teams. Max stock apps even though they have basic support for M365 is absent for all my workflows. I even use Edge for Mac for the integration. So even though Freeform and FaceTime links exist meetings on Apple stock apps are lacking because of business market share I guess. Any thoughts ?
Same situation here… I build up my same system with notes and reminders over the weekend and realised today, that it won’t really work if you have to live in the m365 world
But reminders and notes would be so much better than to-do and OneNote
Great point about business uses. Unfortunately Apple apps are simply not designed for business collaborative uses, wouldn’t recommend FaceTime over teams atp.
I think it’s best for personal use, unless you want to make the investment in Apple equipment for the entire company, in which case it is possible to use Apple products exclusively. I can’t imagine that’s cost efficient or feasible given collabs with other companies and teams
@@mananparekh_ well. I do think it would be cost effective to invest in Apple products only if the use case is right. For instance using Apple Microsoft or adobe products plus Webb apps to sustain your business. But the major factor here would be interoperability… you could initiate a FaceTime scheduled meeting leveraging FaceTime and calendar. The recipient would get a link to join on the web. But the interaction itself would alienate users…

The problem with some of Apple apps is that there is no end-to-end encryption and when you're inputting certain personal data, that matters for a lot of people.
I use the Preview app for in-depth PDF word searches. Works way better than Notes in that regard.
I like using the Quick Look function in apple notes to annotate pdfs now because it syncs with other devices vs using preview!
We be waiting on that follow up video to see how you manage reminders :P

at :42 you mention dragging and dropping an email in to reminders? How did you do that? I do not think there is split screen on iPhones?
Notes to appointment link:
1) go to the note, select share, work together, everybody who has link
2) select invite through link This copies the link to clipboard
3) open the appointment and copy the link into the URL field of the appointment.
Pity that one cannot move the note in split view from notes to calendar. Maybe iOS / iPadOS 18

Adopted the same except I ditched Apple Notes for OneNote, mainly because I kept losing handwritten notes when I used Apple Notes for some reason, despite turning sync off, plus using the Notes app heats the device up (iPad Mini 6 and iPad Pro 11" 2022). Got frustrated after a year using Notes that I switched to OneNote for IOS.
Just hope Apple would tighten the integration between Apple Calendar and Reminders app (e.g., have scheduled reminders appear in the calendar).

I agree with your perspective on this - it's all about simplicity. Do you also use Apples "Mail" app for email? Or use something like Gmail? What's your thoughts on this?
Even tho this isn’t him giving you his two cents but mine. I think Gmail is just a far better app IMO. I always try to use Apple mail but it always gives me notifications on my email like 30 minutes or more later where I like how Gmail gives me my email exactly when the email is sent. That’s the only Apple app I refuse to use until they fix that. Apple Maps is something I always like going back to all the time but I think Google maps is better but Apple Maps looks nicer. I’m starting to try pages now with Google docs. I think Google apps are great for collaboration where as Apple apps are great for simplicity, so if you’re in college or in a job where you have to collab a lot Google apps are better for that reason but Apple apps have gotten better over decades.
The reply below has strong points. I personally use apple mail since I have accounts from google and Microsoft and want to see all my mail in the same app. I am now used to the layout and the features. The recent addition of smart summaries has been helpful at times, too.

I agree Calendar, Reminders and Notes are key but feel Contacts should interact with Calendar and Reminders. Being able to link a Contact to an appointment should be a no-brainer to be able to contact someone that you have an appointment with. I hope this is added in the future.
Some very interesting workflows, thank you. I live in the apple eco system. However, other than calendar, I moved away from the other apps. I use windows devices at work. I need apps that are platform agnostic. I appreciate the apple system can be used using icloud - did it that way for a long time. But the big thing for me is how easy is it to get my data out of apple notes. From what I have experienced, not that easy. I would love to be proven wrong. But if I want to leave apple systems and take my notes with me, thats not so easy to do.

I also agree that cross platform apps would be ideal, but I haven’t been able to find one that checks enough boxes. Perhaps Notion is sufficient, but you then lack handwriting input, offline, and OCR. A true problem in the note taking app world
@@mananparekh_ I agree. The only other app I've seen that does that is OneNote. But again it locks you in. Obsidian can do OCR, but its clunky

Notion and Obsidian setups always seem to be “how complex can I make my productivity system” rather than “how can I set up a productivity system that helps me get things done?”
I’ve seen streamlined Notion setups and have actually used the concepts in my Apple productivity system.
The fact that the native apps don’t work together is weird. I can’t put a Reminder in a Note or on the Calendar. I can’t make Reminder List from a template using Shortcuts
Agreed it’s missing the point and is a distraction for what really matters which is unfortunately the deep work itself haha

I find that if you link an email to notes or reminders from the inbox the link breaks if you then move the email out of the inbox

No, that is actually not true. I thought the same, but what really was the case is that the mail folder was not loaded by Apple Mail. You have to have your folders completely downloaded.
@@jackan04 I found that if I use the “add link” function when creating a quick note the link is fragile. The link appears as a rectangle with the email title on the left and a mail icon on the right. However, if I drag the email onto the note the resulting link is robust and continues to work after the email is moved. In this case the link appears as yellow underlined text.
@@L3Gn3Rp I did a small test making sure that the folder with the relocated email was displayed in Apple Mail. Link was still broken.
The problem is that the folder needs to be updated on IOS. If you can see the mail in Apple Mail (after you’ve moved it) the link will work. This is, because IOS (and iPadOS) won’t load emails you moved in the background. You can however force it it do so by going to Settings - Mail - Accounts - Fetch New Data - And then select your account. If it is set to push make sure that all the folders you put mails into are ticked here. Once you’ve done that, refresh your inbox and all mails within the selected folder are downloaded. Problem is only that you need to add any new folders after creation. Once I selected all my folders, linking has been rock solid.
Yes. It’s odd you can’t link a Note directly to a Calendar event. But you can convert a note to PDF and add it that way.

@@mananparekh_ Then another hack coming with iOS 18 is that Reminders will be visible within the Calendar app whenever there is a time or date added. You can then add notes by linking a note to the Reminders.

I understand your sentiment, but in my experience the Apps for Studying perform awful! I'd love to use the quick notes (the ones you can pull up from the corner on every screen on the iPad) for excercises in class but they only fit a few lines of text before they get hella buggy (handwritigets a huuuge delay), so you'd have to make a hundred individual notes and that just clutters my notes overview. The standard pdf editing (/drawing) also started performing badlyafter a year or two of usage - now i can't rely on it, because at some point it just decides to erase all writing that hasn't been saved (so the workaround is closing and opening the dicument every few lines of text so that it saves)..
I’ve experienced some of these issues for sure, but not to the same degree!
Agree that it’s not ideal, and sometimes I wonder about using a dedicated note taking app to study. However, I rarely have time to hand write notes anymore, so I’m not sure if I’m missing out too much. Still a work in progress for me admittedly

Mm what I do I just use different folders, but no true equivalent of notebooks in apple notes. Theoretically you could set up multiple accounts with notes (iCloud, gmail, etc) but you’d lose some features with non iCloud accounts

Spreadsheet functions are really limited in Apple notes, the best you can do is a basic table but no formulas or anything like that.

Yes you can. Make a numbers table and share it with a specific note. You will always have the actual table integrated.

Are you referring to the notes app? You can just edit the title and add emojis after creating the Smart Folder! Hope that helps

@@ryetak7I see! So basically I create the reminders list and edit all the details including the title and icon, which you can select an emoji for if you just hit the little blue smiley in the top left underneath colors when editing details. Then you can make it a smart list too! Hope that helps

Good point! Apple does have some NLP but it’s definitely behind the times. I just like Siri when I’m driving and need to input things or when my hands are busy

Notes to tasks is easy. Just highlight some text in a note and share it to Reminders. The resulting reminder will inherit the title of the note, will include the highlighted text in the reminder’s note field, and will have a link back to the note. Unfortunately this doesn’t work in the other direction

Main issue with notes is you can't recover something you accidentally deleted
Apple notes actually has a section for recently deleted notes where you can go back and access things that were accidentally deleted!

Only MKBHD and Ali Abdaal use that much apps. No one does. It is foolish to assume even they use it, it is the sponsorship game that is played at the back end.
In the beginning they weren’t good. Nowadays they work just enough without adding further complexity. Other apps need that complexity for value proposition.
I also prefer to keep things simple. However, for me, the Agenda App serves as a bridge between the calendar and reminders, gradually replacing Apple Notes.
I've heard about agenda and it seems like a nice app, I just don't like the idea of having to pay a subscription yearly for the rest of my life haha. trying to keep those to a minimum

I guess you could apply the same logic, but Spotify in my opinion is just better for what I use it for, also it’s not a productivity app haha
I also have over a decade’s worth of music stored in Spotify so a bit of a nuisance to switch if things are going well for me
