- This video is a step-by-step tutorial on how to set the default values of controls in Power Apps. We will set default values of Text Input, Drop downs, Combo boxes, Date Pickers, group of fields & the Form Control.
We will set Default value for Dropdown as "Select" or "All", Reset multiple controls to their default values, set default data card values for the form control connected to SharePoint (covers Text, Date, Lookup, Choice, Multi-Select Choice, Person type columns). The data sources covered here are SharePoint & Office 365 Users (to get current user & manager information), but the concepts are applicable to all data sources (Dataverse, SQL).

Thanks for this clip. Another great one! I note that changing the fill property of your dropdown to transparent t works great, but only where there is no other field sitting below, as this can then make it impossible to read the dropdown list.

Your knowledge of Power Platform is one thing but your teaching style is something very unique and outstanding. a quick question issue I have with my app. The dropdown on my app has two choices Room No and Digital Only. I added a text input per your instructions so when users select Room No, they are provided with the text input to insert the room number. Everything looks good and the room numbers are being captured in the SharePoint list except the room numbers that are inserted in the text input don't retain in the datacardvalue. More specifically, it shows in a second and then disappears. I have the following codes:
DataCardValue1 (DataCardValue)/Visible = Self.Selected.Value "Room No"
txt_phyloc (Text Input)/Visible = !DataCardValue1.Visible, and
PhysStorLoc_DataCard (Main Control Card) /Update: If(DataCardValue1.Selected.Value = "Room No",

Can you please make a video on how to make a sharepoint list column accept unique value submission from form but if values submitted second time from form.. . It gets updated (it replaces old data) rather than making new entry..for example if I have an order number..new submission should not create another entry with same order number but update all the the other details/changes of that order number

Idea would be to query for previous list entry, get the record and use its properties to set default value.
Example: set(varPrevEntry, first(sort(datasource, created, descending)))

Child control default value points to parent control (data cards) default value.
So best to always set default value at data card level.

Hi Reza - Thanks so much for your videos. I have a question about setting the default value when a form is in Edit mode. How do you set the default value in edit mode for a combobox? Also can you also set it for a label that is being used as a field that is auto-populated by the combo box (the labels don't have a default control that I know of)? They are inside data cards though but the original input control was replaced (the combo box replaced a text field and an text label replaced an input column). FYI, the gallery and the edit form are on two different screens (if that matters). Also, I'm using a variable to tie the gallery and form together. Thanks in advance!

Mr. Dorrani, thank you for your helpful videos. I am having a hard time figuring out how to set a default value in a combo box that is searchable and lists items from a function of Choices([@Record Of Mail].MailClerk) for example. I would like it to default to the mail clerk that is always on duty but have the ability to change if necessary, to avoid the clerk having to find and choose himself every time. I would think it is possible but I'm not sure how to code it.

@@RezaDorrani looking back at the Priority DD AFTER the Color(s) CB has created will show what I mean.
Anyway I have solved it with variable that set value on selecting this Priority DD and set it's Fill property to white.

Possible. Default value of combo box 2 would probably look like

For example, one datacard(combo box) shows several choices, like A, B, C, D

I would like to add a function , for example, when I select 'Laptop' from a dropdown, I need to set another datacard value (Text Box) 'LPT' . Hi Rezza, your videos are helpful in learning PowerApps.. I am new to this one where I need to create an app using powerapps.. I created 4 dropdown controls in my screen and one data table.. based on the selection of values in drop down control, the data table shows relevant values.. somehow I achieved it but the drop down values are overlapping with the data table present below those dropdown controls.. how can we avoid that overlap of text? When we select drop down values, it should show all the values in drop down with out overlapping with other content in the screen.. please help me

Hello Reza, great video and explanation, I have quick question, I am trying to have a form with a datacard that contains a people picker (in form 1 associated with sharepoint list 1), I want to allow only to list a limited set of people from a person column that is in sharepoint list 2. So that when form 1 is submitted it patches only the preselected person form the set in sharepoint list 2. Perhaps can you provide a hint on how to achieve this?
This is something I have not attempted. You could add a combo box control in data card and point it to list 2 which has the people list.
You would need to ensure that data card has the correct format defined for a person type column. I will also recommend checking on forums in case someone has done something similar powerusers.microsoft.com

Simply set default of dropdown as shown in video. Just replace the value part with your label value.
Great vid as usual Reza! I couldn't find a way to set the date picker field in blank (through the InputTextPlaceholder property) while also leaving the possibility of choosing a date from the calendar of that date picker, which should default on today. Any idea would be very much appreciated!
I did not understand the question. You can simply set default date to Today() and set input text placeholder to empty string.
@@RezaDorraniSorry I'm not clear enough. Maybe this will clarify: If I set default date property to Today() and then the InputTextPlaceHolder property to an empty string, then the default date is displayed in the date picker field box instead a blank which is what I'm after.

@@RezaDorrani Exactly, so the input text place holder does not do anything if I assign Today() to the default value property. On the other side, if I assign blanks to both the default value and input text place holder, then the date picker field box displays blank as expected but the date picker's "calendar date selection" (which usually popups at the right side of the date picker) doesn't work anymore even though it is required to select a date (Today by default). This probably happens because the date picker's "calendar date selection" doesn't know what date to default on.

Combo box in single line text? I did not understand your question.
@@RezaDorrani there is a list in SharePoint which has a column named " Account no" (Type : Single line of text). Getting these values in Power app using combo box, So that user can search or select the value but once the form has been submitted successfully and save data in another list but when I open form in edit or view mode, combo box shows blank/ empty.

Hi Reza, @5:40 - instead of prompting the user to "please select" on a dropdown field, can this be done on a text input (value) field? Given there is no Fill function to set as transparent.

Hey Reza! Thanks for your videos. Do you know if it is possible to create a heat map within power apps? But not based only in maps but in any image ( for example show in red when an area is full)
Power BI is ideal for that. You can add Power BI Tiles and Reports in Power Apps.
@@RezaDorrani yes! I have tried that solution and works, I use a tool called synoptic panel. However due to the client requirements I only can use PowerApps since there is no licensing purchased for PBI.

Legend!!!! Quick question... Why not to put all of those network calls (choice(), LookUp(), Office365()...) Into collections? Obviously if the options to display are not many!!! Keep it out man, your work is awesome
In data cards, the controls and columns using lookup, choices etc is out of the box. There is not much of an impact on performance. Loading into collections will add more complexity.

Hi Reza I want to know if we are creating any record in dataverse and it has some lookup attributes then how do we handle null values in power automate flow.Suppose account lookup is blank then while creating new contact set account lookup blank else with the value.

Applying transparent color to the fill property of drodown is making even the options fill also transparent. Due to which the backend content is appearing with drop-down values. Any other setting we need to do apart from the fill property?

That sounds like a weird scenario. You can use the form mode to check if form is New or Edit and then accordingly set the default value. I have not done this or have a video reference for hence providing an outline. Forums would be your best bet though irrespective of you getting an answer or not. Please not forums is a free platform and you may or may not get a response.

And they want in datacard1 names from that clients and in datacard2 want the names of my customer anwser the forms

I am running into a issue when trying to pass a user to a sharepoint form field-- I have both a manager and current user field (both people pickers in sharepoint) -- your code populates properly (visually) on powerapps show the users name and the managers name in the form dropdown but when I select submit (which just is SubmitForm(FormName)), I get an error "Network error when using patch function: The requested operation is invalid. Any idea what is causing this? Thanks for these videos -- you are a savior!
If you are using the form controls suvmitform function then how come the error is related to Patch function?

Scenario: There is a loop back n forth for approval process, Upon manager needs clarification he returns a given request back to PM , So the PM modifies and needs to notify the manger using the same "Concur" choice from combo box but once you select a choice in combo box it doesn't reselect the same choice and trigger the wf in order to notify the manager .

Here is another trick for it.
Do not make any changes to Fill.
Bring please select label in front of dropdown. Ensure its width does not go over the icon to open dropdown control.

I have linked a sharepoint list with a powerapps form.
in those powerapps, 2 fields include "requestor"(type person or group) and "Department" (choice field).
How can I have the "department" field filled in automatically by checking in the sharepoint list what the "requestor"'s department is.
I suspect via a lookup function but I can't get this fixed. Can you give advice?

Suggestion would be to get url of delve profile. See what param you need to pass to open a specific users profile and then use Launch and open that URL.

I have a question, I have a sharepoint list that is pre populated with a few user details like name, site and travel allowance. I want the default values for the form to be the values already captured in that sharepoint list and the user have the use only fill in the values that are not populated how do I set those defaults?

A list is pre populated with data - meaning it has items.
If user is creating a new item - how would it pre populate already existing items?

I have one question that in my SharePoint list I have created an item and when I go and edit the item it gets autopopulated with the values that I have selected but one field every time gives error that please select the mandatory field even though it is already selected. Then I have to reselect the same value and save the item.
So how can I resolve this error if the field is already selected. Please help.

From your demo, when setting default values in a form, I understand that you set the default at the DataCard level. Is it also okay to set the default at the input control level? If it is, given the choice, which is the preferred approach? What will be the pros and cons?
Setting at data card is easier but you can also set at control level. It’s your choice.

@@RezaDorrani If I have a dropdown and its Required property is set to True. I change AllowEmptySelection property also to True, will the Required property still be true/work correctly considering it is allowed to select the empty value?

@@RezaDorrani The "Required" property is checking whether the field contains data or no, when you enable AllowEmptySection it will confirm that data is present even if the field is empty.
