Power Automate Approval Set SharePoint Document Level Permissions

  • This video will walk the process of how to configure power automate flow to set up document-level permissions for the document hosted in a SharePoint document library.
    I have come across this requirement many times where the business wants the document to be read-only once the approval process has started on it. This is needed so that no one can make any changes from that point onward to the document. This can be achieved via Power Automate flow easily. We will need to use the send HTTP request SharePoint action in Power Automate to break document inheritance and change the role assignment (e.g. edit to read-only). This video also explains how you can revert the permission if a document gets rejected so the user can make the required changes to it and restart the approval process.

    Getting error (Can not find the principal with id: 5.) on 2nd step of HTTP Request [_api/web/lists/getbytitle('New Submission')/items('ID')/roleassignments(5)] where Group ID is 5, before that i am taking when item of file is modified.

    Hi, thank you for the video it's very useful. I have a question: i want the same thing for my sharepoint library, except that i have a folder tree with specific permissions on folders. So depending on the folder, it is not always the same group that have edit access. In your video, you specify in the workflow which group needs to be removed. How to do something similar but not having to specify what group? Is there a way to say: all groups that have access to the file are now on read only (no matter which groups), and then have edit again when the document is rejected?

      You are welcome. In this scenario, you will need to get site groups Ids into an array and then loop through the array to change the group permissions via http call.
