Another solution to keeping spreadsheets across devices and operating systems is to use Google Sheets. It's free and the same whether you are using Windows, Mac, iPhone or an Android phone. Although you ordinarily need a network connection to access the sheets, you can mark any spreadsheet on your phone to be available offline. I keep a spreadsheet of all the parts for my sewing machine and all the embroidery threads I have on Google Sheets and it has saved me from buying duplicates many times. I have also started a spreadsheet of all my eyeshadows and that's made my life easier as well. I hope that helps someone.
You've probably gotten this comment a whole bunch, but just in case: your makeup tracking system would translate really well into an app, and would probably be super helpful to a lot of people, from hobbyists to pros.
Eleanor Justice totally agree! Kind of like Kindle for makeup: “You bought this already idiot”😖and great if the app could add if you broke out from it!😵
I do something really simple! I got a paint marker at Walmart and I just write the date I opened a product on the bottom. This might only help the people with smaller collections though. It's perfect for things like deodorant, lotions, primers, etc. If you don't want to write directly on it just write on a piece of masking tape and stick it to the label. That way you'll never have to worry.
I Have 2 children. This is the only time I can go to the restroom in peace!! Crazy but true.... I literally found your videos about 2 weeks ago and I'm surprised I didn't find it sooner. I really appreciate your knowledge on beauty products etc. I have found myself using your advice and I have to say thank you for not being so mainstream and over produced. I was in awe of your collection and I'm really excited to see that there's a lot more to you than vanity and makeup even though you are beautiful but I see mass intelligence coming through and that's what I enjoy about your channel because I truly feel that I can trust your reviews and expertise and you haven't been bought out and "branded" by makeup companies. Don't get me wrong, I know tons of people make their living that way and that's completely fine, I just enjoy when it's more authentic. So anyway thanks!
cecilia jimenez Thank you Cecilia :) I work in this industry, so I have to know it :) RUclips isn't, nor will it ever be my job. I would never leave where I have worked so hard to get. So not being sponsored, etc. doesn't bother me. I'll just let you guys know what I think. Thank you for your kind words, & for watching. My sister is about to have her 3rd in about a week....she tells me all about the fingers under the bathroom door...hang in there! :)
I love your videos and just how honest and helpful you are. I know exactly what I'm going to be doing today, organizing my makeup! I've been telling myself to do it for a while and this is such a great way to do it!! Thank you!!
Addie Sara Thanks Addie! It feels strangely good to get it all organized. It makes me feel less guilty about new purchases since I know I don't already own it. Let me know how it goes
"some serious makeup nerd swag right there." I love you Stephanie!!! thank you so much for everything you do!

I love your videos. One of the best beauty channels on youtube. You have so much integrity. I wish you all the success in the world and am can't wait for more videos (since I rewatch all your old ones over and over again). What a pain in the ass not to be able to keep rows intact while sorting! Can't believe it is like that! Kudos! niko
You are always so detailed, and I absolutely love that about you! Thank you again for doing this video! Going to work on this spreadsheet today and get my collection in order! Your the best! :D
Thank You! I'm now cleaning out of a lot of old expired make up that is cluttering my vanity. I honestly wasn't aware of much old and potentially contamined makeup I might have. I'm a recent subscriber and I've learned so much in your videos that I honestly have been oblivious to.
I actually have a word document with a list of every makeup product I own, divided by category. I did not think of putting it on a spreadsheat, this is actually a much better and more organized way of listing things. Thank you once again Ms. Nicole, for enlightening me :D
Hello Stephanie, Thank u sooooo much for this video. Ive never really been mindful of my products and their expiration dates😳! I honestly feel like I should be paying you for all your information, your videos are very important to me, and so full of facts!!!!! Every single video I've watched of yours, thus far, I've certainly learned and or taken something away from them, and incorporated that something into my routine!!! I'm ABSOLUTELY hooked on your channel. 💁🏻much love& appreciation to you!
I love this! I started doing this about 4 months ago because I love being organized and making lists and all of my friends called my crazy. It really helps, like you said, that way I can annotate my favorites and so I don't buy multiples of things I don't really need. Also, I would say don't blow on your makeup, like eyeshadows or any kind of powder, because that obviously contaminates them as well.
kschaum1218 Good tip! Yeah, some friends think I'm nuts, but if you are investing money into something, why would you want to waste it & buy it more than once? As your collection grows it gets harder & harder to keep track of what you have.
Riply Here is a link to a picture I just posted on my Instagram, it will show you all the colors that are in that palette, you can buy them individually or in other palettes, just look for these numbers. She just picked her favorite existing shades. instagram.com/p/6I-f1lNU2M/
Awesome!! You just found me something to do on this rainy Sunday!!! I'm moving overseas to the US in august so it is the perfect time to catalog my collection!!!
Such a useful and important video for your health and your budget! Also, the number of times I’ve bought stuff that i had bought previously but didn’t like!...i need this system!!! It will save me a fortune in money and health!
This was an awesome video and I very much appreciate you sharing this. I didn't really think of tracking cosmetics for expiration dates. I've already paused your video and looked through my skincare. Next the makeup. Thanks for sharing.
I know plenty of muas that have had stuff in their kit for yearssss! This new labeled stuff is marketing! You can tell when something like makeup has gone off, it will simply look, smell and perform differently. I ignore the powder expiration date. lol great video x
Just downloaded the template. Thank you so much - very generous. I've learned a lot from you and really appreciate that you are willing to share your research and knowledge.
Great video ! I wish more people were aware of how gross makeup can really be. I'm such a germaphobe, I'm constantly disinfecting my makeup and brushes and I don't keep creamy liquid products no more than a year. I hope all these gurus on here can watch this, it grosses me out how they can keep the same lipsticks and foundations after years and years even when they're not using them
I just started a makeup/skin care spreadsheet and while it's a little scary to see everything I own listed like that, it's been very helpful. I haven't logged my brushes yet, but I think that will be next step. This is a great video. :)
+electrictwilight Its scary to see it all listed out lol. Its good though, because then we slow down on the buying a little bit lol Thanks for watching
omg i found u a few days and im eating ur videos like no other ... I love u and all d info u provide ... u are awesome i have learn so much from u i cant thank u enogh .
just found your channel and I love it love your videos. I pay attention to expiration dates but with eye shadow just curious how long do you keep them even with santizieing them with alcohol? just wondering because pallets and shadows can get expensive if you have to re purchase them
omg! brilliant! I just tried to get the template for excel and it's not there anymore. I'm gonna create the sheel though. thank you for sharing your method. I love your informative videos
Ok cool. I will keep that in mind! :) Another quick question, my perfumes are in a mirrored medicine cabinet, but right by a window that has fogged glass, but still a ton of light hits the cabinet. I'm very ignorant on how well this will protect my things.
Thank you so much for your amazing videos! I have a question about lip products that are liquid like lip glosses. How long do you keep liquid lipsticks and glosses. I just learned about expiration dates and I have so many liquid lip products that I don't know when I opened them. Also I have previously been using the applicators directly from the tube, but I am switching to disposable applicators. Do I need to dispose of those products after a year or can I just go by smell and texture? Also, honestly (this might sound bad) I have not kept track of how those products smell when I first got them, so I am not sure what is normal or not. None of them small "rancid" but they might possibly smell different. I have always wondered if makeup enthusiasts like yourself really dispose of their liquid lip collections after a year or so or if they monitor in other ways. Thanks in advance for your advice!
Please don't think me an idiot for asking this, but the metal spatula you showed, where on Amazon did you get it? I'm looking and see some that are similar, but not quite. I love how large it is and I would use it all the time, but can't find it 😢.
There is a really good page - checkcosmetics.net . Every makeup has a code which shows when it was manufactured. For example product was manufactured 36months ago but u don't even open it yet it's probably gonna be bad already even on package is shows 24months past opening :)
Omg I'm always telling myself to keep track of all the makeup and skincare I purchase! The spreadsheet is great! Do you put the dates of when you purchase? I'd prob add that too. What a great video thank you!
Damn watching this video makes me surprised I'm not dead yet... I don't even through my products out at the expiration date, let alone disinfecting them etc
Arlene Kelleher Thank you Arlene. They are a little larger than 2' hoops that I got in Macy's. They are Kenneth Cole. Here is a link to the style mcys.co/1GJkuPr
Hi Stephanie! You said that we should not keep products in the fridge, but right now it's about 100F in Greece and if I leave my skincare outside it will melt and become gross. What would you do?
Hi Stephanie, I've been a subscriber of yours for about 1 1/2yrs and just came across this video. I found it very helpful and loved how you keep all of your makeup in a spreadsheet so you aren't buying the same product. If it's not too much to ask can you PLEASE leave an updated version of your spreadsheet, if not can you email it to one of your favorite subscribers. And it's totally ok if you leave all of your makeup stuff in there. Thank you so much!
Elaine K. I do for foundations & liquid products sometimes, but I typically know when I got them, so I toss them. But you certainly can right after the name :) Perfumes go bad in the light, they tend to get darker, and the scent will change. They should also have an expiration date on them :)
I'm trying to create a spreadsheet system for my makeup and skincare as well. What do you do if a product has no expiration date or open jar symbol at all? Is there a general guideline? Like on my Sunday Riley oils I can't find anything regarding expiration. Thanks!!!
I own 10 expensive eyeshadow pallets, I just stuck a post it note on the back with the date I bought it. You can't knock old school, ps I love your videos.
How do you keep track of the expiration dates for all your makeup? I thought about adding the date at which I open my products onto the spreadsheet and than color coding the date by who ever long they can last :S
Well, I'd type the item then next to it I'd add the date when it expires. So if you opened it January first 2010 write June 2010 if it lasts six months. January 2011 if it last twelve, etc. Writing the expiration out in full words means you can ctrl+f the month and year. This way on the first day of every month, search it in your spreadsheet with the current year. You could use this method to see how far away you are from needing a replacement too. I hope this kinda made sense. That way you could enter the name of the product the day you buy it, then add the expiration date the day you open it.
Hannah J I'm so glad I helped. I think in the title of the video caused people to assume the spreadsheet was keeping track of the dates but I don't think that's exactly correct. The chart was more to see what you already own. :) One thing I find that works really well is that medical tape that is almost cloth, thin white medical tape? That sticks to packaging really well without damaging it, and I can write on it with pen. I write the date I open things on everything now haha. Even cat treats and lotion. Good luck!
God u are so organized! I have a pretty good collection now but it's not crazy that I can't keep track of what I have cuz it's always right in front of me lol.
CPFashionCosmetics You should start keeping track now though, so as it grows, its not so much work at once. It sounds ridiculous, but it does happen :)
I did see your collection. You seem to be adding every week...so better start on those spreadsheets now before it's a million things to enter at once 😂
What about storing a backup of a beloved cream product.. Say a secret stash of OCC John Doe? It seems like it will take me forever to get through my first one, I don't want to lose my two extras while still finishing this one:
Ooohh I thought you were going to put the date you bought the product/when they should expire next to each item so you can know by looking at the sheet. Because I wouldn't remember when I bought it. That's what I would do!
Ok, that's brilliant. I'm totally giving myself props for that. Like when you buy and list it on the sheet, check the jar icon, if it says 12m, just write 9/17 next to the item. Booooom.
Hmm I like my jars, since I can get ALL the product out - never been able to do that with tubes or bottles. And well doing anything that requires you touching your face should always be done with clean hands, obviously. (Like NEVER touch your phone and then your face ...) ;)
Okay, I´m a MakeUp addict BUT when you need a phone with tons of lists to keep track of what you have... you have way too much. Nobody could ever empty all that stuff nor use. O_O
11pm here in CA. But I'm a night owl. Spent the day at the beach & came home to edit & post. I'm am not a huge fan of going outstanding night anymore 😁 and why are you up?
Stephanie Nicole Have to get up for fasting/eating in an hour :) so I don't want to doze off and miss that time, that's why. thanks for the video, this will make the time pass fast :) you have a good night
honestly If Id toss out every make up item that passed the experiation date Id be left with only brushes.. I keep my make up at a cool dark shelf so Im not worried about those "dates" and seriously throwing away a 80$ foundation every 6 months who can afford that? and my mom lost her vision in her right eye because of eye contacts

This is what I do, too. But my collection is very small, I don't even feel like calling it a "collection". lol.
I Have 2 children. This is the only time I can go to the restroom in peace!! Crazy but true.... I literally found your videos about 2 weeks ago and I'm surprised I didn't find it sooner. It took me forever, but as of late Monday night I finished! So worth it when I went to Sephora and Ulta today and did a little shopping!
It sounds strange but you feel less guilty buying new stuff when you're confident what you already have 👍🏻 it enables us 😂 glad they worked for you 😁

You are so fkn thorough and more than informative. Thank you for sharing! I love this video.
i cant thank u enough for recommending this. i started mine with excel and i thought it was kinda fun. i like makeup nerdy stuff. 😊

Elaine K. It won't protect it. The light breaks down perfume very fast, I would move them.

Thank You! Very useful info!
Thanks for this video, it was really informative. I just subscribed and I'm really enjoying your videos!

Arlene Kelleher Thank you Arlene. They are a little larger than 2' hoops that I got in Macy's. They are Kenneth Cole. Here is a link to the style mcys.co/1GJkuPr
Why does this not have more views!
Do you put on the spread sheet when you open a product (i.e. makeup that has the little jar symbol)? Also what about scents or perfumes
Beautycache is a app I use to track my collection
This is so very informative. Thanks!
Your lips look incredible!! I love it
Amazing idea!
Awesome; ever thought about putting the cost of each item, so you'd know the value of your collections?
thank you for the spreadsheet!!! I like to keep track of what I have for panning reasons more so than expirations. #SeriousMakeupNerdSwag
Thanks for the tips! :)
Omfg thats a great idea. It makes more sense to do that. THANK YOU SO MUCH
Hannah J I'm so glad I helped. I think in the title of the video caused people to assume the spreadsheet was keeping track of the dates but I don't think that's exactly correct. The chart was more to see what you already own. :)
One thing I find that works really well is that medical tape that is almost cloth, thin white medical tape? That sticks to packaging really well without damaging it, and I can write on it with pen. I write the date I open things on everything now haha. Even cat treats and lotion. Good luck!

Yeah but I'm not really gonna make it that much bigger. It's substantial but condensed lol.
CPFashionCosmetics You say that nowwwwwww ;) lol
Lol it's true!! Idk if you've even seen my makeup collection videos lol.
I did see your collection. You seem to be adding every week...so better start on those spreadsheets now before it's a million things to enter at once 😂
You're amazing.
What about storing a backup of a beloved cream product.. Say a secret stash of OCC John Doe? It seems like it will take me forever to get through my first one, I don't want to lose my two extras while still finishing this one:
When you run out of a certain product do you just go back and delete it ?
P.S. love your videos! :)
Elaine K. Thank you

Okay, I´m a MakeUp addict BUT when you need a phone with tons of lists to keep track of what you have... you have way too much. Nobody could ever empty all that stuff nor use. O_O
exactly what amount of makeup is too much? it's more of an existential question if you ask me... ;)
Skin Care Expiration Date
you are up at 2 am? or no for you it's 11?
11pm here in CA. But I'm a night owl. Spent the day at the beach & came home to edit & post. I'm am not a huge fan of going outstanding night anymore 😁 and why are you up?
Stephanie Nicole Have to get up for fasting/eating in an hour :) so I don't want to doze off and miss that time, that's why. thanks for the video, this will make the time pass fast :) you have a good night
Are you a Virgo?
I'm not. I'm an anal retentive Scorpio. 😁😂
How funny. You're very organized, so I figured that you were a Virgo. Scorpios are always awesome ppl.
honestly If Id toss out every make up item that passed the experiation date Id be left with only brushes.. I keep my make up at a cool dark shelf so Im not worried about those "dates" and seriously throwing away a 80$ foundation every 6 months who can afford that?
and my mom lost her vision in her right eye because of eye contacts
