You did such a fantastic job explaining how it works as it can seem quite overwhelming on the surface. But once configured it works like a charm! I've also had utility for using this in a similar way to automatically increment the date on each new database entry. The applications are endless. As of 2024 I just added "N° ID" property and that was it, thanks to this video but also simpler
@MariaGarcia-is6nx when I published there was no number id. Secondly try deleting a row in the database and try regenerating that number id. So it’s not the most ideal solution since it’s having some internal reference number.

I appreciate the info! Used your video and combined your Test 1, Test 2, and Test 3 into a single column that gives you your number (see below). I initially had the issue where the new auto numbering didn't match with the manual numbering, but to fix that all I had to do was link the rows to the Master DB in the sequential order of my manual numbers. Took a bit, because there was a delay in the formula calculating with each additional link, but it did the trick. Once that was done, I just deleted the manual numbers and renamed the calculated column. Thanks so much!
To use the below, just replace "Link to Function Master" with the name of your function-helping DB and replace "Project IDs" with the column on said function-helping DB that contains the list of id() generated values.

Hey, I'm trying to reference the total of a column in a formula of another column. Why is this so hard in Notion!? Can you help please?
Total of a column is a relation and roll up feature. You can either do it in the same database or opening another and relating the items in this database to another, and adding another column for Rollup totals.

That’s what system architecture is all about, you do it wrongly , it’s a pain to fix it

Thank you for the explanation, but when I have 200 items, it's become laggy when I edit properties on the database... I think it's because the properties Created IDs column has massive amount of data, any solutions?
Database performance is a Notion issue. I use this for smaller sequences that don’t exceed 99.

The form is required since your email is the link I use to share the page on Notion . I don’t expose my pages for public. Once I add the name, you can see it in your Notion workspace. Trust that helps.

Thank you for your video. When I swap raws the number is not updated, is it normal ? Do I miss something? Do you know how could I keep a coherent numbering even if I rearange the order of my raws ? Thanks
Go back into the parent database and resequence the relation there as well . It works basis the id number for that row
I'm trying to build a workout tracker and my idea is also to incorporate an "exercise history log" so your method probably solve two of my biggest issues.
1. Your Project/Task/SubTask structure its almost identical to a Workout/Exercise/Set structure, that is what I need. No one of the Notion videos I watched about Workout/Gym tracker is structured like this.
2. the 1.1.1 / 1.1.2 progressive number sequence could help me in the "exercise history log".
Am I on the right path?
Yep. Don’t make things overly complex because you won’t use it after the first week otherwise

What happens if you delete a record? Does the sequential numbering adjust for all the other records or does it remain static? I.e: If I delete the page titled 4, will it still display the following: 1,2,3,5,6?
It resets and continues from the last known number . So the sequence does not break. I delete sentences quite frequently. I add atleast 1-2 features every week into my scripting template , so it’s one of my best kept secrets

You can either extract a number thats embedded into the properties or add your own.

The master cell of the mater column does not automatically display "master" when I add a new row

What if i want to change the order of row? like... 6th row contents to 3 row... It does not work automatically... how can i do this?
I use a dummy DB table, drag the records down into this table and then drag back in the correct order.
Another way to do this is to open the relation property that shows all pages that are linked to the Master table. You can drag and reorder these to any position. The number sequence respects the position that the pages are ordered here.

Great video and this is a very helpful tool in notion. One problem though with this process that I need to figure out how to overcome, lets say I have 4 rows added to my database numbered 1-4, If I delete row 2, this setup will just remove the #4 from the ID column and re-assign number 1-3 to the rows just based on a count. We could just use long ID as a persistent ID that doesn't change but it would be great to be able to create an adjusted ID that is persistent, this way if I deleted record #2 I would only have IDs 1,3,4 left in my database. Do you have any ideas on how to achieve this?
Move the record in the parent database to #4 and then delete it. If you create a new record it just continues with the next long id that way
super-nice method. I tried to implement it in my notion, and it works 99%. The only problem i noticed, is that Rollup in Master DB always keeps the same order, regardless of how i manually sort the original list. How to solve this? i tried to apply the filter, but still the master DB shows rollup in the same order.
e.g: my list (Database: Stories:) is the following:
Title | Number (calculated) | LongID (fake, for the example)
- Story A | 1 | x8y9z4
- Story B | 2 | x7y8z6
- Story C | 3 | x6y7z5
and the rollup is: x8y9z4, x7y8z6, x6y7z5
if i manually drag B over A in the original list, the result is the following:
Title | Number (calculated) | Long ID
- Story B | 2 | x7y8z6
- Story A | 1 | x8y9z4
- Story C | 3 | x6y7z5
as you can see, B did not become 1, because i controlled the rollup and still it is: x8y9z4, x7y8z6, x6y7z5 (original order).
the only way i checked can change the rollup, is tu manually sort the list INSIDE the Relation property. if i do so, it forces the change in the original list (so weird) and therefore the Rollup is updated.
How to solve it?

It only works when you use a single database per project, doesn’t it?
You can have multiple databases but you need to configure linkages accordingly. The best way to do it then is to have project wise views when you set up the filter I talk about at the end.
A database could have multiple projects but the masters will be multiple

You can create a temp database below, move stuff down and move it back in the right order. That’s what I do so that I don’t have an ordering problem.

An other proof that Notion and Low code environment in general is just broken by design
The biggest mistake that all of us make is to find that one app that does everything and more. One it’s expensive and time consuming to build and what you wanted a year back no longer holds true. Notion does a lot of things in a seemingly impossibly easier way, but it has consequences as you pointed out. Not sure if it’s broken, but in that case every solution , app , operating system or hardware is too.
1. How to make sorting - descending first and numbering up to down?
2. How to max fit the cell like in Excel? There isn't this feature.
3. I've 2 table views. The First has a checkbox and the second, "Archive, " is sorted for checked items.
If there's something dropped it follows the number from 3 (but this number is already in use by the checked item which is in the second table).
After this, I go to the first table to add the new item. Unfortunately, items are numbered 1, 2, (3 is in the second table view), 4, 5, 6, 7, etc.

You can sort with the table sort feature by view. If you want to change sequence you have to go back to the master table and change. It’s a workaround and not a replacement to what Notion could have done in native code.

I just spent most of the day retrofitting my current backlog database with the auto-incrementing strategy. It is really unfortunate that Notion does not have such a field built in. The solution makes sense but is really horrible when it comes to being efficient. Those with a fast internet connection will likely not notice lag at first with the significant increase in page payload 🤦♂.
At times, when bandwidth is low, one will immediately notice page lag and Chrome's page is hung message, while waiting for the page to load. Even after removing the offensive columns from the page view, there is still an issue. And this is only with a backlog database of around 300 backlog items.
The offending field is obviously the cumulative Created IDs rollup. Nasty.
However, if ID's are really needed, this solution does the trick.
I have a new solution adopted which doesn’t slow things down, but I use keyboard maestro for it. It’s a macro that increments numbers on a key press, reset , initialize or move it one down or up as the case may be, use it with my Streamdeck. Upcoming video, will release the solution as well along with 100 plus keyboard shortcuts for Notion Plug-in

There are two kinds of people , one who want to build, one who want a template to replicate. You need to understand if you want to incorporate into your templates. Notion does not give you a simpler way. There is a link in the description to ask for the template through my website.
