      @@ricardorey I'd recommend getting started with this one, and trying to customize it to your needs! If you're interested in the course, then I'm guessing you want to learn Notion deeply - I can promise the course will be absolutely brimming with content to help you do that, but the best way to learn is to experiment and try things!

      I am finding this very confusing, you are absolutely right. the idea is how to make your life easier, not harder. This is not going to make your life easier, rather will force you to spend more time managing the system, so the things fall into right places. there is got to be the better way to do this

    PS: Since you can’t put these vids on your channel because of the RUclips algorithm you should probably shoutout this RUclips channel on your main RUclips channel so you can get more views on this channel. I think not many people checked out this channel because the people who listen to your podcast don’t bother opening their phones and doing all the work to checkout your channel but if you link the channel in the description of one of the videos on your man channel more people will check it out because they will not have to do too much work to check it out.

      And yes, I definitely plan on marketing this channel over on the main one. We've actually got a big Notion video going live over there later today that will point people to this one. I was mainly waiting to have a few different videos on this channel before sending a ton of people over; since this channel is quite niche, I didn't want a ton of people subscribing without knowing what they were getting, and then not watching videos when they were released. Unfortunately, sometimes having too many subscribers can be bad for a channel if those subscribers aren't interested in the content!

    Good lord! I'm 14 years old, struggling in Grade 10, as I've signed up for many different clubs outside of school; I've not had the time to organize myself, and I've been trying to see how I could improve your old task management system, but somehow, you've combined all that I was planning to do and more! Now, I feel like I can actually have the time to get my life under control; this setup could literally be its own application!

    Thomas, this was an absolutely fantastic video! Top-notch stuff. I am going to use this guide and add a layer of "Goals" on top of "Projects", each project linked with a goal. Kudos to you because not only have you introduced a great framework, but you have also taught how to execute it on a day to day basis.

    Quick update: I've had to make a change to the Inbox. Now, the "Inbox" checkbox has to be checked for tasks to show in the Inbox. If it's unchecked, they'll disappear even if Due is empty.
    If you've already duplicated the template and want to update it, just change your Inbox views to have their filters match this: i.imgur.com/SIxUQpn.jpg (only the bottom one has changed)

    Explanation:
    I realized that there's just no way to force Inbox to be checked on new tasks while also allowing tasks to stay in the inbox in a situation where Inbox is unchecked (even if the due date is empty).
    One of the main tools I'm using here is Filters as "forcing functions" - i.e. forcing a new row to take on properties automatically due to a filter. Try as I might, there's no way to use "Inbox is Checked" as a forcing function without making sure tasks are always filtered by it.
    So that makes Inbox a bit simpler now - tasks are always there as long as Inbox is checked.

    Facing an issue -> so lets say i have a rec. task and its rec for everyday and i check it for today but what it does is th next day when it's due again it's going to stay checked and i have to uncheck it for that day. is there any possibility i could fix it ?

    Hello! I noticed that once you check the "Done" button to a recurring task in today view, it won't disappear. I would've expected it to disappear when i check the "Done" box and to reappear when its time comes. How can I fix this? Thanks for such a nice Task Manager!

      A recurring task never becomes done, otherwise it wont be recurring.

      @@shankhan547 yeah but what I was trying to say was that if you check the ‘done’ checkbox it should disappear from today view and come back in the next day or in the next N days (depending on your recurring interval)

      @@adrian03 Yup, theoretically it should ideally do that, not with this current workaround set-up since it's only filtering the deadline, not the next due. Hmm I'll try playing with the nested filter and see if we can fix that.

    I noticed that many of the formulas (status emoji, project active/overdue summary) are based off the checkbox "done" property and do not work for the "kanban status" property, if you move the card to done. Anyway to fix?

    I simply can’t thank you enough! I work for the NHS , and I have to wear different hats everyday, especially during this challenging year. Having a bird’s eye view of all my tasks has made life so much easier.     I don't understand the purpose of the Inbox? What's the dif btw that and All Tasks? Once you uncheck from the Inbox, does the task disappear, stay in All Tasks, or is it considered done? I'm confused.

    IMHO, the overall user interface is not friendly at all... It still cannot replace an app that is focused on task or project management.

    Thomas, why do you have a Kanban view stage of "Done" but also "Done" checkbox? Wouldn't you want to link these both together via a formula where either the Kanban stage or the "Done" checkbox is a calculated field?

When I duplicate the template in a workspace the data bases are not linked with each other? Would I have to have one at the main and just duplicate each database individually?     I've got a question: I've been using this template to transition from Asana into Notion, at some point, I was no longer able to make tasks with sub tasks. The ones that I made still exist, but the option that said "make task with subtasks" no longer appears when I make a new task. How can I bring it back? And thanks for this amazing tool!

      There will be at some point in the future! I had hoped to add support for that with this version, but it's MUCH more complicated that using a simple numbered interval. I'll do an updated video when I figure it out :)

You may think you're just making "productivity videos " or "tutorials" but this shit is literally GAME CHANGING.     I cannot overstate how incredibly helpful this is! I work multiple part-time jobs, my own company, and grad. school. This system is everything I need to keep everything in one place but still focused and clean.

    The way I manage my tasks on Notion is by embedding TickTick or ToDoist widget. Don’t @ me 🤷🏽‍♂️
    Of course for long-time projects I use something like you described.

      That is the auto filter feature. Basically whenever there is a filter in a database view it will automatically add the conditions of the filter. In that case it was due date is today so will add today in every new task.

      Many people - myself included - want a singular tool to manage a lot of different things. That does involve additional complexity that purpose-built tools like Todoist obfuscate from the user, but there are big benefits as well. Personally, having my tasks in Notion means I can connect them to video projects, wiki pages, etc.

I really like your system; it is too complicated for me that I only use google calendar, Task and Keep for almost everything.

    I'm finally getting a hang of Notion and this is easily one of the best templates out there. Takes a bit of time to set up but once done, its a lifesaver. Thanks for this Thomas..and clearly explaining everything..as well as providing this template for free :-)

    I never comment on videos, but this is just gold. I've used trello but not a big fan of ONLY Kanban style plus having to always drag the horizontal screen to see everything doesn't work for me. This gets everything done and more, can't wait to put it to use today!

    High level stuff, everyone now can access tools that used to be available to companies only because of the costs. Great video Thomas! When I share a project the person I'm sharing with have access to all my tasks, including the ones that are not part of the project.       @@Doddom I would say give this Task manager a shot, only caveats of using notion was their mobile app. It wasn't super snappy when opened, takes a while to load. But it gets the stuff done. If you predominantly use it on PC/Mac then no issues at all. Your imagination is the ceiling I guess. Good Luck!

    This looks really exciting! I watched the "build from scratch" video - but you didn't explain how to get the line of linked pages to Inbox / Today / Tomorrow / 7 days ..... the one that shows up inline (rather then in the "Views" toggle) on the main page. That doesn't show up in your tutorial, and so you don't explain how to make it work. (and when I try to add a "page link" - I am only offered the top level pages, not the "inbox" "today" etc. pages). Any thoughts on this would be greatly appreciated - thanks!

      Great question! That's just a normal Text block with a background color. I copied the URL for each of those pages, highlighted the associated word, and added a hyperlink.

    Hey Tom, great video and your teaching style! Two questions...
    1) on your video, the far left column, you had a column of the inbox called Inbox. It's not on the template.
    2) how do we add who is responsible? Creating this task list for a family project and something I have to do, and other things my wife has to do.

      This video is fairly old, so the template has gone through a few changes. That said, there should still be a full inbox page linked at the top!
      There is also an Assignee property in the tasks database, but it's hidden by default. You can open the settings of any view and add it the visible properties there if you want to use it.

    Hi Thomas! Thank you for this video - super helpful! I have purchased UB and wondering how to set this up under UB. At work, my role is super cross-functional so I have a lot of tasks/to-dos for each customer or team.       You can get Ultimate Brain, which combines the two and has a whole bunch of other features: thomasjfrank.com/brain/
      If you want to stick with free templates, start with Ultimate Tasks. It’s much easier to add the PARA sections to Ultimate Tasks than to recreate Ultimate Tasks from scratch (you can do it either way, but this PARA structure is simpler)

    How do I use this in a team? Does every team member have their own task manager? And where do you recommend to place the task manager? In my private space? How do I delegate tasks? And how can i create a project where I am working with multiple people, where we can all see the procject as a whole, and all tasks to be done? Any tips?

    Give this template a try!
    I’ve only been using Notion for a few months, like many of you have or will watch 100’s of hours of RUclips videos and you’ll see some amazing FULL systems. Many of you like I did will download many of them, but this is where the issues start. Each full system has been developed over months/years and if you work just like the developer then it is a Great system, most people have their own tweaks. Ultimate Tasks is the exact balance for any beginner (or those who don’t think they will ever need to modify a system, but one day realize they need to). But the great thing is that you can use it, learn to make simple tweaks and not break a full system integration. This Task system can grow into any of those other systems, but you can build it the way you need to. And even better as Notion adds new features you will know how to modify your own system to include these changes. This is the core feature that makes Notion great. Long enough Good Luck

    Perhaps I missed this, what is the difference use case between the inbox and All Tasks?

      The inbox works like inboxes in other task manager apps - it shows tasks that don't yet have a Project. It's a "default" place for tasks that you process later on, either by organizing them into Projects, completing them, or just deleting them.

      its basically just a catch all quick capture if there's no specific due date you can see what needs to be done at some point but isn't specific on date

    I am a long time follower of your content Thomas but I have found almost all your Notion videos overwhelming and have simply gone ahead and replicated my existing systems from OneNote into Notion.
    Still trying to figure out how to optimise for tasks though, this system though, again, is overwhelming.
    Still, keep up the great work.

    This way of using notion is really cool, and I use it in a lot of ways. But, my question is that aren't there other apps that do this exact same/similar thing(s)? Other than having everything in one app, what other benefits could you derive from such a system in notion?

      Yep, there are definitely other apps that do task management as well if not better in many circumstances. The power of moving it all into Notion for me is the ability to link it up to other things, like my content planner and company wiki. Just a couple examples:
      1. Notion works better as an archive than any task manager. While a video is in production, it shows on our team dashboards in the production pipeline. But when it's done, it's safely stored in archive views where we can always go to reference the script or other info, like who the sponsor was. For instance, my next main-channel video is sponsored by Audible, so I went to the archive and filtered by Audible-sponsored videos to see which ones I could look to for b-roll.
      2. The template engine means a "task" can be much more than a task. Our video project template creates a script area, research area, checklists for editing and publishing, etc. But the most useful part is a b-roll table that can accept a CSV import. We use Frame.io to create b-roll ideas with timestamps, and by exporting those ideas as a CSV and importing them to Notion, we can sort them in different ways. During the gathering process, we can sort by task type - e.g. Film, Stock Video, Animation, etc. Then, during the edit, my editor can sort by chronological order. It makes task batching much easier.

    Thanks for this video Thomas. I don't really understand the difference between the Inbox and the All tasks (I've never used Todist or Trello before, so maybe that's why...). To me, they seem to be doing the same thing and have the same use... 🤔 Can you clarify please ??
    Also : In the board view (i.e. in Inbox), I'm trying to add the Project name on the cards but I can't figure it out... Can you explain it please ? I've downloaded your template and would like to use it to its full potential 😊

      All Tasks is the master database where all of your tasks live, while every other page simply contains a Linked Database that shows a filtered view of that master database. The Inbox only shows tasks that have the Inbox checkbox checked (and tasks added there have it checked by default). For most people, All Tasks isn't a view that'll ever be used; it's more useful to use the filtered views.
      To add a project to a task in Board View, click into the task so you can see all the properties. From there, you can add a project (though you'll need to make sure you have at least one project in the Projects database, otherwise no options will show).

    I realized less is more... . If this is good for you then perfe ct personally I focus to simplify everything. Video is great.."how to build todoist in Notion in 5 minutes video ;) I think that the secret is to use templates for everything ...fast capture, fast processing, deliberate and intentional review ... less friction paints as possible

    I have been looking for a tool like this for years!! I have tried Smartsheet, OneNote etc but nothing gives the same workflow as Notion! Thank you! Question. Do you have any recommendations on how to build a worlkflow for a Portfolio Management Office Manager? Be able to get a portfolio (see all notes or tasks grouped by program and projects including a master RAID log / program view with tasks and raid log and project viewview with tasks and raid log? IS that too much? LOVE your videos - Just got a new fan and subscriber

    So how do I get back? HELP!
    I made a Project and added Tasks to it and want to go back 1 step! In Todoist, I just press the "back arrow" up in the top, left to get back to my Project list!

    Omg, this is the first project management template I've found that actually gives me recognizable project management features from Jira or Trello. Most of the time it's just a super basic Kanban and a blank page for to-do lists or something. Thank you so much for making this!

    I rarely comment on RUclips videos, but just wanted to jump in and say thank you! I just discovered Notion this week, as I was looking for one app that could do what I'm currently doing with Reminders/Apple Notes/Trello - basically I want all my tasks, project notes & attachments to live in the same place. I think this might do it! Thank you for the template. Although it's going to take me awhile to wrap my head around it, there is no way I could have figured this out myself.

    I'd love to know if you use notion for any finance or budget tracking/planning/analysis? I know you've got your complex Google Sheet for some stuff but I've been building out a Notion finance tracker recently and been having a lot of fun with it!

      Not quite yet. I'd like to, but since Notion can't do complex calculations as well as Excel/Sheets, I can't see a way that moving my budget tracker there would allow me to retain the same level of functionality.

      @@ThomasFrankExplains I've been using it in combination with my daily journal and also a months database, so that I can relate transactions to days/months and create budget rollups that show me how I'm doing against certain defined budgets as the month progresses.
      I currently manually input spending and income as it happens (once API is open if it could auto-pull from my accounts that would be so useful) into a 'finances' database (should really rename it to 'transactions').
      I relate to my tasks database so I can track/rollup the amount spent on certain projects, which is super neat. Filtered views let me create boards for income categories, recurring transactions, and let me plan in future purchases to see how that affects budget. (I even have a relation to a CRM to track who owes me money/reimbursements for things, which is still definitely in development and not one of my primary use cases).
      One thing I'm proud of is a series of formulae I built in my jobsearch database to calculate monthly take-home pay for job opportunities based on an hourly rate, or pro-rata or full-time annual salary. Super fun!

    Hi! I just saw your templates today and I’m in disbelief because I really wish I saw your channel earlier!!! You totally understand the importance of using databases and layouting them in engaging views, and it’s similar in some ways to the set-up I’ve arrived at after months of struggle! If I had just seen this earlier I could have saved a lot of time, and many aspects of your set up just filled in the gaps in my current system, can’t wait to rehaul and incorporate!     Hi Frank, Thank you first of all for creating this wonderful template, I'm just curious how recurring tasks work, I created a few projects for ex. XYZ Billing (there's 10 sub tasks within) I have due dates on the 12 and 18 of each month (I've set each to recur accordingly) I've checked them off for this month however when I went on my notion calender or task calender for next month they don't appear, is this normal or should I worry?

    Hi Thomas! I hope you see this since it's a pretty old video.
    I'm trying to edit the "Priority" labels and whenever I change "low" or "medium" there's no issues, but when I try to edit the "🚨HIGH" one. Two tasks on the inbox disappeared (3rd test task and the recurring task). I can't find "🚨HIGH" in any formula, so I have no idea why it can't be edited. Could you help me out?

    There must be some warning when you give due date to Sub-tasks which exceeds the due date of parent task. For e.g. Parent Task 1 (PT1) is having 2 sub-tasks i.e. ST1 & ST2. So if you allot 15 Feb 2022 as a deadline to PT1 (for example), then system should not allow to put the due date to the sub task (ST1 or ST2) which exceeds 15 Feb 2022 i.e. 16 Feb, 17 Feb etc. Because sometimes in hurry or too many parent and sub-task you tend to forget the deadline allotted to the main parent task, then again you have to go back and see what deadline you have allotted to the parent task before you allot any deadline to its sub-task.
