How do you use a non-gmail email address in these automations? Our team uses HelpScout with an email based on our domain and I’d like to keep all communication in that place. Thank you so much!
Generally this isn't advisable. A more common use case is to update a status of a record, or otherwise update it to reflect a change. However if you really want to do this, you'll need to use a third party automation tool like Zapier or Make in order to move a record from one base to another.
If this is a consistent problem for you (likely because the size of your data set is larger) then you can make the primary field more complex. Perhaps it's the Full Name combined with the Email Address. Or similarly you could use the Full Name combined with the Company they work for... It's totally up to you!
I'm ashamed to say I'm not sure. If I recall, you can access your (multiple?) Email signatures and choose which one to add. I believe this is a setting you can access in the email action step if you expand the "more options"

You can use your own email to send specific emails as part of a process, but SendGrid (or another ESP) is recommended for mass emailing.
