Great video Patrick as always! I have used a slightly different approach storing data in a SharePoint list and using Power Automate to automatically refresh the Power BI dataset when a new form is submitted.
When you click Open in Excel from the Responses tab of the form, it calls an api to get the Excel file. Use the developer mode in your browser of choice to capture the url of the api and paste it into PBI Desktop. That's how we did it.
@@derekwarren1862 I don't know if you're still looking for an answer to this, but I found a video by BI Elite titled "Easiest Way to Get Microsoft Forms Data in Power BI" that goes through this exact process. Extremely useful!
It's easier even than that. Once the Excel app opens with the file (Responses > Open in Excel), you can use the same File > Info > Copy Path to get the path to the file that is hidden behind the Form.
@@GuyInACube try to move the Forms to a group from your own workspace... it will also change the rights thus creating exactly the same effect but with an already existing Form

Oh silly Patrick :D ... If you have your group own the form rather than an individual then an Excel storing the answers is already stored in the Documents folder of that group in Sharepoint. However, for individually owned forms you are absolutely right.
Amazing video! I usually do that another way. Using Power Automate I can get the forms responses and store the values in a Sharepoint List. Work as well.
This is an excellent and easy way, I have done this before by creating a flow in power automate, when the response is received in forms update power bi dataset
i saw other crazy examples with building individual flows for every survey. This is MUCH easier and so straight forward! Thanks a lot!!!!

Thanks for making this video. It helps. In normal personal forms, in multi choice questions we can select correct answers while setting forms, however that feature is not available in Forms for Excel form. Can you throw some light on this. Thanks
Patrick, this is super helpful. One question. I'm creating a lot of surveys from the same template. However, if I duplicate the Form, it doesn't auto create the spreadsheet and if I duplicate the excel file in sharepoint, it doesn't create a form.... any tips.
hi Patrick, your videos are always very useful and easy to apply in daily work, so thanks for sharing your knowledge. I have a question which requires the opposite to what you did in this video. How can I get data from PowerBI source to display as choices in MS Forms questions? For instance I would like to have a form where the customer name is one of the fields to be entered. Users would need to type the full name of the customer, but if we could just allow them to select it from a list based on our database, that would be great. Is this possible without having to develop a full blown app? Thanks
He Patrick, you can push results from Microsoft Forms to Excel via PowerAutomate. However, it's way easier to populate Excel's by using the methods you're showing.
Excellent Video thank you. Learned a ton of what information that was exactly what I was looking for. This is my first time seeing you but subscribed and looking forward to other content
Is there a way to use an existing form that is tied into a flow to populate the sharepoint list without starting a new form? My flow is running close to my limit for the license and do not want to add more steps to my flow
Hi Patrick, What would you recommend if a team wants to create several surveys, but not edit the power bi dashboard themselves? I am thinking about when a team is going to publish several forms and are used to create a new form for every survey. Is it then better to just edit an existing form and have some of them as templates instead?
Thank you for your video! Right now I am using forms in Teams for my co-workers to fill out as we work alerts in MS DLP (Purview) since they lack reporting. I'd like to then take that info from the forms (in a Teams tab) and get that to PowerBI. How do I do that?
Hi Patrick , great video , is possible to have a doble way connections, i mean , in microsoft Forms get data from a data base , show this in the forms, user able to change and then update the database?
Great tutorial, but I need to know the quiz score in addition to the start time to calculate the duration of the assessment. Is there any way to get this data? From OneDrive I cant create a Quiz Forms
How about for Quizzes? When I start a new form using online excel or one drive or share point, it creates only survey and there's no way to make a quiz.
I have a form that I already created with Microsoft forms. How do I integrate that form into the powerbi. Since i already created it without using the sharepoint approach
Hi Patrick, As usual, again a classic video on Power BI features. I need your help to identify a way to fill survey responses on dashboard/report itself and respondents response will save in source database (kind of write-back functionality). Again thanks for all your amazing videos !!
Have noticed if you create the excel file this way - unfortunately then can't refer the form if trying to use power automate to have one of the responses trigger an action.
Unable to update the dataset from Power Bi online using this method. So instead I had to open desktop, update dataset and then publish. Went for another solution. In my case, I could locate the Sharepoint "root" folder (of the Team-channel from which the Microsoft Form was created) then I could add the excel-data to Power Bi desktop. A few more steps, but seems to work for me.
So another option is to use Power Automate which can get each form response and pipe it into Dataverse or SQL or whatever... We use it to get notifications when a form has been filled out - good for if you need more workflow behind the form response. But this is genius for direct forms to PBI
Forms/Customer Voice data gets stored in the Dataverse. From my testing i reccomend to implement a "cleaning step" in PBI dataflows for every dataverse table/data that you want to use in a report, because unfortunately from a performance perspective i saw that the dataverse connector or odata connector to get the data is not so good :/
So you can import an already created forms into Share point and then into Power bi for real time sharing? Or is the pathway Forms to power Bi then SharePoint?
Awesome Video!!! I really like to see the possibilities of Power BI in combination with other tools. Do you have a combination of Power Automate and Power BI?
Hey Patrick, thanks for sharing an amazing video. This approach is really good if we are creating the forms from the scratch, is there any other easy way to achieve this with existing forms?
In my existing form I was able to click the "Open in Excel" option under responses and it generated the excel file and then I could follow the rest of the steps in the video. Hope this helps
Sooo... fairly green here to Forms / PowerBI - but it looks to me that it might be possible to set up an automation with PowerBI that would possible take the contact data from a form, and create a new contact object within O365 for my tenant users to have in their GAL? If so, how complicated of a venture is that? :P
HiPatrick , always excited to see new material from you guys , could i ask how to connect to a form using a web api connector ? thus leaving no need to have the forms for excel file (because i didnt make the form) or a SharePoint list (we dont want yet another data set that to add to the data catalogue), I did have one set up but since 5th April 2022 it has stopped working , do you know a way please :) keep the good stuff coming :)
