My question is that when we scale the spreadsheet using page break view option it will adjust the print area according to the scaling , but on other hand the font size is reduce in some cases to minimal due to large amount of data in the sheet. Sometimes the font size is to illegible to read. In the case if we increase font size the page margins distorted and we have to set them again so it is like hit & trial thing. For instance, I have a spread sheet containing a large amount of data can easily be printed I mean legible to read after print if I take the print on 3 pages , but if I wish to reduce the pages to two the font size is reduced to fit the content in a printing command automatically which is not legible to read. In that case what can I do to eradicate the problem that data in the sheet when print has been taken is legible to read and fit in the 2 pages printing command?
You already answered the questions. Just missing one thing that it is not possible on the same size sheet. I mean, it is obvious that it will continue to reduce the size if you add more and more data using breaks. You can use a different page size, a larger one or change the page orientation or reduce the margins.

Follow up question: I've seen a friends spreadsheet where he moved the page break width on one page that impact the page break of the next page (so for example his page 2 was wider than page 1 which he used because the data on page 2 was wider than page 1). Do you know how to do that?
You can switch to Page Break Preview (Bottom Right corner near Zoom) and then you can adjust the Page Breaks differently for each page but I don't think that will be a good idea. You see, Page Setting in Excel are the most important part when you need to take print out of worksheets. So, I always recommend to my students that you should first setup a page in a new workbook and then start working. As you are asking me, so I will advise you to always configure the Page Settings first and the Page on screen must match with the Paper in Printer.
You can use Conditional Formatting and I think that is easy to use. You just need to tell that which color you want for what kind of data like you can specify to have a red color for all the amounts below 10. Hope that will help.
That is because of your screen size and resolution. Watch the same worksheet with a different (larger) resolution and you will start seeing more columns. That might be the maximum limit according to your screen size and what resolution has been defined on it.
suppose Heroine 150 g, Fencidil 15 bottles, Home made wine 20 Litres in B1 cell. Heroine 200g, Home made wine 30 Litres, Fencidil 20 bottles in B2 cell. Fencidil 30 bottles, Heroine 300 g and Home made wine 50 Litres in B3 cell in excel. How to sum these text and number in accordance with category in B4 cell in excel ? (Result Heroine 650 g, Fencidil 65 bottles, Home made wine 100 Litres ) But How shall I do the sum with excel formula including text and number ?
You must understand that what Scale To Fit actually does. You are asking to fit the content on specified number of pages (let's say 1 and half page data on single page) then it is obvious that he will Scale it down to fit that to a single page. When you have a few columns on the 2nd page and during print out if you want all of them to be scaled on 1 page then it depends that how much content you are adjusting in a single page and according to that font size will decrease. Not only Font Size, everything get shrink like Column and Row sizes. So, adjusting 6 columns of 2nd page on 1st column will not be a good instead before using Scale To Fit (or you can say Shrink To Fit) trying minimizing the Margins and changing the Page Orientation to Landscape for greater width and less height. Hope that will help.
