I like putting the recurring tasks as a "tip-in" to the front cover. I secure it so that it flips out and is visible when I have my planner open to set up a month or week. I liked the "Triggers" (or prompts), as well.

I have my recurring tasks in a grid format, tasks down the left and months across the top. I’ll highlight the box under a month when a task should occur, using different colors for annual, semi-annual, quarterly, and monthly tasks, so any given row shows a single color but columns can have multiple colors. Each month I’ll scan the column to see what boxes are highlighted and I’ll note the date in the box when I complete the task. In this way it serves as both a reminder and a record. If a task slips to the next month, I’ll note that with an arrow. Once I found a good setup, I put it in a spreadsheet sized for my planner and print it out to inset in each new planner (updating it if needed prior to printing).

I like to use the free printable from Plan with B called “Last Time” to keep track of the last time I did a certain task such as getting car serviced or changing the water filter in my Brita. I also like to keep a year at a glance for appointments, birthdays and any other important dates.

Great suggestions. I especially like the reoccurring task list page and monthly brain dump list. Something else I like to add to my planners is collections: books to read, music I'm loving right now, shows and movies to watch, etc.

I just found your channel. Perfect time, I’m just setting up my 2025 Planner. I love the way you started yours with the monthly to-do list, Reoccurring Tasks, Trigger List, Brain Dump and Meal plan. In one way or another, I need and use each of these, but don’t have them organized. I just jump right in with daily tasks and Dr appointments. Your plan is refreshingly efficient. I do save my prior year planner in case I need to look up something, as if it was we’re a journal. Thank you for these ideas. I will subscribe for future ideas.

This was a great video, thanks! Please do more. O don’t know as I have five page s but I do have meal planning , but I set mine up in a 5 week rotation with alternatives for each of the 5 weeks. And, I am 70, so I always carry my medication list, medical issues I have like high blood pressure, surgeries I have had , my doctors and their phone numbers, my preferred hospital etc. I have a master clean list that is daily, weekly, monthly, quarterly, every 6 months and annually . And my monthly spread, that is where most of my energy goes. I also keep a contact list because twice now my phone has malfunctioned and if I didn’t have a written copy of this numbers ,I would be lost. I am def going to incorporate your 5 must haves, they are brilliant!

I use a HP. I use the monthly calendar to track work/personal schedules for me and my family, birthdays, pay days, pay bills, etc. In the note section of that page is the monthly items I need to do (change filters and give dog cats flea medicine). The weekly calendar is for journaling, keeping track of photos, steps, weather, mood etc. The notes section of those pages is for meal planning. My budget is in a word document. I have sticky notes or pads that I use for grocery shopping lists and brain dumping. Great video! Thanks for sharing ❤

    * A two page per month spread, so I can see everything going on at one time. I love love love the ones that I designed with YOUR help, when you did a video on how to create pages, especially showing how I can fill the boxes (From my clean, minimal spreads I use black fill with white letters and it looks so sharp!).
    * I use OneNote 2010 and print what I call “agreements.“ In OneNote 2010, I dedicate individual pages to the people that I love and care about, and anyone and everyone that I have made an agreement with. Whatever is current with them gets a tag box. when I create a summary, I get this magical thing:
    - by choosing to sort by pages, everyone in the notebook or section or page group that I asked to see gets called up in alphabetical order with the persons name, and then under that (slightly indented and in less bold type), are displayed the tag boxes with what is current for them… It might be an agreement to do some thing, a prayer request, an idea to talk with them about something that might help them, gift ideas, etc.
    - I can print this summary out to fit different sizes of planners! I have the punches to put these into any of my disc planners
    - If I want to see everything that I have done already in addition to what is coming up, I can ask to see that printed out
    - and of course I can print out the individual pages for people, which could also include things like contact information, schedules, names of family members that I might have trouble remembering, situations that they are going through that I don’t want to forget about, in addition to things planned and things done.
I do something similar with certain areas of responsibility that I have, things that require assorted activities involving people, tax entities, contractors, etc. But those just aren’t as soul-stirring! Hmmm. Maybe they should be. Whatever the next action is, that next small concrete single or multiple tasks, that’s what really helps me to see.
From these lists, I can choose the items that should be done on a given day, whether I’m using a daily planner or a weekly one.
I am encouraged by some of the other people commenting in this section. I think I am going to work on a spreadsheet for repeating tasks. I used to do lesson planning with Microsoft access 2010. It was a great way to look at exactly what the plan was either by the subject or by the day of the week or by the week of the year etc. And gave me a place to check things off. But what I Really want to see is a giant two page spread of everything required for every weekly- yearly task, And a place to just physically check it off as it occurs. It’s too much to expect myself to check things off daily, that’s what daily routines are for. and my daily routines change with the seasons because there’s no way I’m going out in the middle of the day to do any gardening for about half the year where I live. And I have to negotiate between yard tasks and errands during the years when the weather feels a little bit like the lake of fire. I’m one of those people who are supported by routines, but resists them. 😉. And the thing that I love about the computer generated plan is that I don’t have to keep Rewriting highly repetitive activities. And I don’t forget highly repetitive activities that happen at longer intervals, especially.

So much to take-a-way here. THANK YOU!!! I'm in a Laurel Denise dated horizontal planner. I recently added her project pages as inserts so now I have even MORE options, if there was such a thing. I am new to this type of detailed planning so I don't have must haves as of yet, but I will tell you seeing beginning my detailed planning journey in January I have learned that my tasks and my schedule MUST BE separate bc that is the way my brain works. Still figuring things out though. I am going to do a prompt/trigger list because the brain doesn't function like it used to....life after 40 🙂

Thanks Annie, my most important one is the Future Log, this helps me with future drs appointments as they are all booked months in advance. I have a very detailed Physical Health Log that has graphs, questions and notes. This is so helpful for me as I am disabled and suffer with many chronic illnesses and extreme brain fog🙈 If I cant remember much about my month, I can just show my log to the doctor! My monthly calendar would be next for my medical needs, visits from friends and my darling cat and her needs. Thank you for all that you do for this community. PS My prayer life is not good what about a separate log for that? 😊

Thank you so very much for sharing! I just love your creativity and that your pages flow with what you’re feeling instead of forcing yourself to “reproduce” others ideas identically. My must have page is a list of bdays and anniversaries by month. I refer to that list every month and transfer those important dates at the beginning of each month to the appropriate day so I can be aware of what’s coming. If the set up is not complete yet, I use a sticky note that I transfer day to day til I can put it in its appropriate date.😘

I have a 90 day no repeat menu. I also have a restaurant section that covers 5 different counties (3 closest countries where we live and 2 countries that we are in every 3 months for medical appointments, so if we have to miss breakfast or lunch for an appointment we have a list to choose from as soon as the appointment is over)

So this is fabulous and I am definitely setting up now. Question about daily tasks tho, how do you all handle them? I've used tracker style but then it's obvious which ones really probably aren't daily cuz they don't get done that often. From this video I see a lot of those tasks could be moved to a weekly list. I've seen others use a separate daily list like weekly recurring task list. This video shows a weekly/daily combined list but I'm thinking they should be separate. I use half letter disc planner so moving these pages forward is no issue. Comments and suggestions? Thanks!

I work Monday-Friday. Have to keep work separate. My must have is a mileage log as I do errand for work; need a future log or monthly calendar and a weekly or daily to do list. I was trying to make things too complicated. Went back to simplicity.

I have the other 4 but I pretty much brain dump as I am working on my weekly spread so I don't have a specific page for just that. I do create an abbreviations page (or two, depending on how small the planner is) so that I can abbreviate things and know what it means if I go back through the planner years later to reference it for something.

I budget, so it is important to me to know when a book I want to buy in the future will be released out and how much it will cost me. I collect several series and I want to have them the day they're released. LOL, I'm impatient.
For every book I buy, since I started my book journal, I made an entry (page in OneNote) that contains title, cover, blurb and any additional info I want to add. Also something like how I liked the book and if I were interested in buying the next book of the series. I include where I bought the book (I usually buy ebooks) so I know in which app to find it (I use Kobo and Kindle mostly). I re-read books I like often, so that is an important info to me.

Thanks for sharing these things. I am notmsure I could use the word Trigger for a reminder list for things. I'd have to use another word. I like the color coding you did though

Maybe instead of brain dump trigger list you could name it "jog my memory list", since that is basically what a brain dump trigger list is.

I like the term "tickle file" as entries tickle the brain to recall items. Trigger has become one of those heavy words, certainly.

in my mind a future log is what planning is all about. I have a planner because I want to see what commitments I made, what appointments I have set up and what events are coming up. If I want a diary I get a book for that.

Re the future log, how do you add to it? You have dates in chronological order (obviously) but some days are already full months ahead? How to add an “event” on a specific day if there’s no more space to write it? Sorry basic question, but I cannot figure it out…

Great video! I just don’t understand how you can meal plan for entire month! You don’t know what’s going to be on sale for any given week.

Most important to me is recording on my monthly calendar birthdays and anniversaries in their own special colour. Forgetting others' special days is an absolute no no!
