Had a less than 24hr cancel for a medical company promo last week, charged them my full day rate w/o gear.

25 years of business here and this is what I have landed on: Once a client has reached a status of mutual trust and respect, I have a conversation with them about cancellations. We typically dance around the idea of full rate for anything within 24 hrs. If it is within a week, I still get full labor but remove the equipment rentals. Again it is different for every client and it is never written in stone as we do PO/invoice as opposed to contracts.
I will still do contracts with terms hammered out in advance for new business, but that is few and far between at this stage for me.
I work for a European News Network here in the states, and when I am booked for an assignment and is canceled within a 24 hour period, the Network stills pay's me my full rate.

Honestly, if it's a regular client and it's a first time thing I'd let it go. Consistency in this industry goes a long way and means so much during slower months. Love the videos and thanks for the content.
I think on same day cancellation you can charge the full shoot cost. For consistent clients you might subtract expenses that you would have had to get to the job, and some of the labor costs that you don't have to pay out. There is still the cost of time for load-in and repacking gear. The worst part for me with cancellations is that the client seems to always want back on the schedule in an impossible timeframe and want to sort of go to the head of the line.
The kid learning to op camera makes me remember my teenage years. If he wants to, he'll be a great DP one day.

Reduced kill fee or credit. 30%ish. If you could have taken another gig but passed to do the first job... that's a little different. But if you didn't have competing jobs. Discount. I love the lessons your son is getting. Priceless. That folding "white" cover. I got a useless blue one.
Same day I think really has to be full day, half day if day 24 /48hrs before . The exception I would make is a long time client , the shoot gets cancelled through absolute no fault of theirs , and it gets re scheduled within the next week . so postponed rather than cancelled . Ideally the production will offer the compensation , or ask what are your cancel policies .What isn't great, is if they just say nothing on the topic ! the ball should be in their court in these situations to at least ask.
for me I always do a 50% non-refundable deposit that is required to book the shoot date and is non-refundable within one week. I think most clients understand that if they need to cancel that's on them. That employee that is sick is still getting paid via sick day so you really shouldn't be any different. When that happens to me I just keep the 50% and move on unless I reallllllly love the client.
Less than 24 hours is full rate. I'll take some mercy on smaller clients, but production companies and agencies know what's up.
Transferring gear from storage to van is a necessary pain. Handling gear twice is a self-inflicted pain (20 seconds in). I have most of my gear stored on wheeled shelving units (Lowes / Home Depot). I wheel my shelving units to the SUV and load / unload once. Wheel them into place in the garage, grab a beer and call it a day.
Love this. I want to move. My driveway has too much incline for carts and the van is too tall to park in garage.
Some type of cancel fee. They kept you from doing other work. There should be some $$. In my previous career we charged 4 hours of show up most of the time.
I'm thinking about this myself, I'm wondering if there's some way to contract out a clause where they have a re-schedule fee for if a client is sick etc. because then yo can do desk work on the (new) off day, gear check, edits or whatever and do it another day. Outright release should be covered by $$$

After 20+ years, I still think it's hard to find a fixed "one size fits all" way of dealing with cancellations. In my experience, not all cancellations are equal and therefor should not be treated as such (some happens because the client truly is 'the client from hell' but some clients have very plausible reasons and a way of approaching this, where I would like to see if I CAN help. Normally, I would put them in two baskets: (A) one-off clients and (B) repeat costumers. I'm more flexible when it comes to (B) because the lifetime value of the clients are important to me. So, my contracts now for (A) states, that prepayment of 50% in advance is not refundable if they cancel. But still, I evaluate this from case to case. The WAY it happens, also means something to me - clients that casually just cancels as if this is totally fine will get another response from me, than if clients calls me up and tells me why they would like to cancel and why that is. Luckily, in my case it's more often change of dates for the production compared to the number of actual cancellations.

The last 3 years I have been dong Independent films. I'm entering my final phase of my career. I want to transition out of features and do more Branded Content for mid size to smaller businesses. It's more money, smaller crews and less hours.
How big is that cutter? Is it from that Mathews kit? How do you rig for safety if wind picks up? Is a 20pb sandbag good enough ? Thx David.
Re: kinds of clients, I do miss the ‘turn and burn (?) nature of news. But actual news shooting I only miss where I started out filming all kinds of packages for a regional affiliate in Australia . They felt like mini documentaries as opposed to filming one interview and b-roll maybe for the entire day working back in prime time at the epicentre in London.
2x3 silk from a $150 breakdown kit. One or two sandbags. When parallel to the ground it’s fairly stable in the wind. I take it down between hits and last night my son was a human sandbag due to high wind gusts.

How did you get into doing live location hits? As far as transmitting back to the news station do you have a LiveU in the truck or does the station give you one to use?
I started in news and sports. Then got out of it, then during the pandemic fell back into it. I own a LiveU.

To charge or not to charge for a same day cancellation totally depends on the situation and the relation. There’s no one answer to this imo :)

I’d be curious to know how you pay your son. By job? Salary? Is he an employee or 1099? Does he have his own business yet to bill you from?
Hourly on payroll. On the clock for all his time prepping, travel time, set time. And OT after 10 hours each day, as an incentive to power through. He’s also working maintenance on our rental property.
We are beginning to exit the phase of buying stupid shit with his income. Establishing savings goals, investing, setting aside funds for big ticket items.
Normally I charge a 50% kill fee with less than 24 hour notice, but again depends on the situation. I had a network news interview that cancelled minutes before because of the Trump verdict. I just let that one go with the hope that would see a positive turnaround. I am just working on doing better lighting for talking heads and doing some documentary side projects. Just got back from shooting b-roll of burrowing owls and prairie dogs and I feel relaxed. No lighting required. Have a good weekend.
