  • In this video, I share some tips on how to get more out of the Apple Calendar. This video is great for Apple users who work on a Mac or use an iPhone and (or) iPad. While the Apple Calendar is not quite as powerful as Google Calendar, it's very capable and you may be surprised how useful it can be. I also like that I don't need to download any extra apps or sign up to a subscription.

    So helpful, thank you! I liked the tip of setting up reminder times for each calendar.
    And Zoom links for Zoom events etc. Makes it plain sailing.

    Great video! I actually use Apple calendar to bridge the gap between my work calendar, which is kept in outlook and my personal calendar which I keep in Google Calendar. Apple calendar allows me to see them both in the same place so I can have a unified view. I am also attending graduate school so I can add in my calendar from Canvas LMS so that my assignments also show in one place.

    Great Video! Could you share how you have your, for example "Family" category share with your wife? I typically create one-off events with my wife, but I would love to maximize a category like you have to us to both share events. Thank you!

      When you set up the new calendar category, simply right-click on it in the sidebar and there is an option to share 👍

    Great video! Any idea how I can sync my Moleskine Smart planner to the Apple calendar? Moleskine aren't being very helpful.

    How to remove 11pm - 4am time slot on calendar? These hours I don't need - how can i remove them so they don't show up on the daily calendar?

    When u get an email invite for a diff time zone-how do u find out if u can attend b4 u set the event? No settings to show multiple times zones on a sidebar? Google Calendar offers 2 time zones but not more.

      Normally when you receive an invite it shows up on your calendar but it'll be greyed out as you haven't accepted it yet. This should show in your local timezone. Make sure you have timezone support turned on.

    Paul, how do you make categories for your Gmail account (Pipedrive, Paul, Appointments, etc.)? Category I make goes into Icloud or On My Mac and I can't drag it to Gmail account (calendar).

      These need to be set up on your Google Calendar (not in Apple Mail) and they're called 'Calendars'. You can create them from the sidebar on the left.

    Hi Paul. Thank yo for these tips. Now, I know I can add locations to my appointments. However, it's give me weird/unrealistic travel duratiobns. I reckon this is caused by my location. However, where does Apple Calendar get my location from? Would appreciate your response.

      Have a look at the locations of the events before the other event. As the calendar may look at where you're coming from to determine the travel time.

    Great video! I live by my Apple calendar. How can a street address be added to the iphone calendar if not already populated?

      Thanks! You can edit the event on your phone and type the address in the Location field.

    Paul, I,am trying to set up a Calendar, a schedule for our retirement community. We can have up 10 or more events per day. However I do not see a way to print the Calendar with all theses events showing. This community need hard copies! A typical event is 0930 - Pickle Ball. Also need to send calendar to a non-apple computer for printing. Any suggestions? Thank You. I am David.

    Great video! Quick question… if I share my Outlook/Exchange with Apple calendar to integrate my work appointments, can my company then view my personal appointments? In other words, are my personal appointments loaded into my Outlook calendar due to the integration? I want to use Apple Calendar, but I don’t want my peers seeing things like meditation times or doctor’s appointments, etc.

      No, Apple Calendar is just the client that's reading your calendar. Adding your Outlook to Apple Mail would not share your personal calendar.

    How come your events show the time inside the block? Mine doesn’t. Only on the timeline, but not inside the actual block as a heading

    why does my event box not stay colored? Its box has the color when created until I click away from it...then only has a color corresponding DOT next to the event.

      Hm, I've never seen this in Apple Calendar before. I'm not sure what dot you're referring to. Are you sure you're using Apple Calendar?

    Works great on a Mac, absolutely sucks on a iPad or iPhone. All you see is a dot for an event until you click on it. It needs to have a view like google calendar.

      Sounds like you're using the month view? There is a weekly view as well on the iPhone/iPad.

      @@minor-co so you know when you start to type in an appointment and it will auto fill from something you had previously scheduled? And take that title and all its elements, I.e. times reminders etc etc . I have zillions that start to auto fill and wanted to delete because most the times or other parts are not pertinent to what I’m trying to schedule.

    The location "names" never show up when I use them. Are others having the same problem, I have to manually put that in?

      The location field will likely just show the street address and the business name if there is one.

    I can't accomplish getting shared calendars appearing on my iphone calendar. The shared calendar appears on my laptop, but not on my iphone calendar. I have confirmed that both parties' iclouds are enabled, and all other troubleshooting that I can find. Any suggestions?

      Hm, if you've got the account connected it should be there. You could try removing the account and re-adding it to see if that helps.

    Many times Mac Calendar invitations don't go to outlook users. Like other Calendar programs, does this Mac Calendar place items in your sent email for the invitations being sent out? I never see them, how does the Calendar send out invites to non Mac OS email addresses? This has not been clear. Thanks

    Hi is there a way to fully view Apple calendar on Windows. Asking with reference to external Gmail calendars that are added to Apple calendar. My office calendar is added to my Apple calendar and while I can view it on my iPhone/iPad, it is not visible when I view Apple calendar on iCloud on a browser. Any workarounds? Tia.

      I don't think so sorry as Apple Calendar only works on Apple Devices.

    Can Apple Calendar determine how many hours I worked if I put my work schedule in Apple Calendar? It is much easier for me because I want to figure out how many hours I work each week.

      You could possibly calculate your working hours using the Shortcuts app on iOS but not using the calendar alone (unless you want to manually add up all your hours)

    The option+command+N didn't work for me so I am stuck making new categories as it just let me make new events. Can you help me on how to add new categories?

      If that's not working, you can create a new category/calendar from the File menu at the top.

      @@minor-co Is it stupid to say that is no such a thing on the top bar? I wish I could send you the screenshot, but there is nothing like that in the MacBook Air M2 calender. I wish if you could help me with that I am so stuck and I don't want to use any other calender.

    One of my events send me an email reminder of that event. How can I get my Apple calendar to send me an email reminding me of an event?

      I don’t think this is possible I’m afraid. In your Calendar settings, you can set the default alert times but I’m not seeing an option to set a default alert to email you about events.

      @@minor-co I only get this option for one of my calendars called "to do", but other calendars I dont have this option. Do I need to delete those calendars and create a new one? its so weird

      hm, I'm not sure. Maybe it's only for certain calendars. I use iCloud and Google and have the option for both.

    I still find it absurd that you can't select specific dates when setting up an event. As a nurse I typically work either 3 or 4 days a week, but not on any kind of set schedule. I may work MTW one week, MWR the next, and WRF after that. I would love to be able to create a "Work" event and being able to select the specific days for that month. Guess I just have to keep using 3rd party apps for that

      Could you set up the MTW appointments to repeat every 3 weeks. Same with the MWR and WRF. So each set of appointments repeats every 3 weeks?

      Yes, we can do that. Or we can just use a better calendar. I, too find this really crazy that Apple can’t do this in 2023 when my Android phone calendar has had this function for at least 10 years. Also, the android calendar has the ability to easily set my own alert time. The Apple default alerts are insufficient.

      You want to remove your Google account? You can remove it from your settings.

    I have attempted to get Google out of my Apple Calendar. Still I get emails from Google!
    I’ve even screened shared with Apple on my iMac and changed the settings to take them out of my Apple calendar. Have tried various attempts to change different settings

      Sorry I'm not sure I understand... removing your Google account is one thing. What emails are you getting from Google?

      @@minor-co thank you so much for asking because I have tried every conceivable way that I can find in settings and going to Google Chrome and remove them from my calendar. They’re from my settings on my phone and on my computer and on every device that I have.
      The emails I get are from Google saying what the events are in my calendar and I don’t want them in my calendar. I didn’t set it up for them to be in my calendar this email as you start appearing. I have an apple do you know iPhone 13 and so I even went to the Apple store and they didn’t like what you’re talking about and trying to be so helpful and I’m very grateful, but by de-selecting Google calendar in settings and every place possible I still get emails from Google telling me what is on my calendar for the day. I don’t know how to get them out of my calendar. I’ve tried everything I know. ?????😵‍💫
      I do use Google as my web browser because they’re basically the most prolific browser and I do have a Gmail account as my email. But I have gone and made sure that I don’t have the settings on my devices to allow Google/Gmail to have access to my calendar but yes they do. 🤷‍♀️

    month view on Apple calendar is terrible, with no way to prioritise what is see; part of the reason I'm thinking of going old school and getting a paper calendar

      I don't really use Month view. I prefer Week view.

    As an windows user, i feel like i was brainwashed into it. Apple and macos is amazing. And i will switch to apple. Windows, ms, intel, adobe, etc. all are scam, guys. Dont fall into their trap.
