I never was disciplined enough to respond to e-mails on time. My inbox was always a mess. Sometimes I was scared to check my mail, because of my bad e-mail habits. It was overwhelming. I found this video in May this year and it completely changed my life for the better. My inbox has been empty for months now and I can comfortably breath when checking my mail. Thank you so much!
Namaste from Bharat (India), I used your video for my time management workshop today and every participant loved it! Thabk you for creating quality content. :)
I implemented this Wednesday, and I already have a streamlined an efficient inbox. E-mail has always been the bane of my teaching existence. Thank you for this video.
@@bizproductivity thanks for the great insights regarding inbox management. May I ask, have you any tips on sent items management, for those emails sent needing the receiver to provide input or follow-up... thank you in advance!
This was fantastic - 10 years later and I still had individual file tree that was a mess. Followed the steps and now looking forward to using this system.
Great video, thanks. What about if you have multiple projects that you need to keep for some time while the projects are running - how to find the relevant emails if you need to refer back to them at a later stage.
This is so so good! Helped so much already! Only added extra would be to add remove categories to your action, action urgently etc. As I have been finding myself moving emails from action urgently to action for example frequently and the categories were doubling up, just saves time
This is great! Thank you. What other folders would you suggest? I worry that my archive folder will end up with hundreds of emails and I don’t want to misplace important information.

Nice tips and great step by step on setting these up!! Thanks, I will look to implement some version of this at work and home. NOTE: I use the categories to indicate different projects I am working on. Plus instead of "clearing flags" I would "mark complete", greater satisfaction and you can see this on completed tasks view of your Outlook tasks!!
Good tutorial. I am curious why you marked as Unread instead of changing the folder properties to show the number of items in your "Actions" folder. If you looked at the email in your "Actions" folder but didn't complete it, you would have to mark it Unread again. If you failed to, you would have an inaccurate number for the emails in your folder anyway. Thanks for the info though. I've never used Quick Steps before.
my quick set box is very small. I cannot choose the options that I created. How to increase the dialog box so I can see all options that I created and use it smoothly
Love this video, very helpful tips! How would you make your work more efficient if you had to work with a lot of projects? I store all the emails related to the project per project folder in Outlook, to always be able to see what has been done and all emails in one place in case i need to go back to something, but as you mentioned in the begining of the video, creating dozens of folders isnt very efficient... but how to manage all the projects? Also, when you sort emails by subject, how do you deal with people naming emails in all sorts of ways? subjects relating to the same matter can often be completely different Thanks!!
Kenneth Bassett - Not that I am aware of. Unfortunately Microsoft don't always align the functionality 100% for Mac/Windows. But it's getting a lot better!
Hi. I'm using Microsoft 10, Office 365 on a Surface. For some reason the categorize icon is not on the ribbon. I tried to customize the ribbon to no avail. Is there a way to set outlook to default settings?
This is a effective way to handle the outlook. I am having one query while reply to any catagory the sent item also having same category as well as if sombody else is replyin to that email it is also comming in same category... how to avoid this ...
Great way of increasing productivity! And also I wanted to ask how can I undo a quick step , I accidentally marked it as action urgently instead of action and would like to undo that
You have a lovely voice. I can listen to you even when the subject doesn't really interest me. However, most of it does interest me, and your Outlook info is excellent.
Good info and the steps still apply today in Outlook 365, but the embedded ads in the upper-right kept covering the steps (the mid-stream ad was not an issue). I still recommend watching, but gave a thumbs down and am adding this comment to help boost visibility.

What happens to this system when replying from the mobile outlook app (Android)?

Thank you.
What version of Outlook is this. I am using outlook 365 and cant find most of the items.
Hi! The Outlook version in this video is Outlook 2013.
Hi.

For some reason the categorize icon is not on the ribbon.
I tried to customize the ribbon to no avail.
Is there a way to set outlook to default settings?
Super helpful! Thank you!

Great content 👍👌
Anyway I can create an action quick task with IMAP email accounts?
If I archive emails, would it archive emails that I have categorized as scheduled, action urgent, waiting, etc. TFS
When setting up the Action folder, the finish button is greyed out and will not allow me to complete. Any suggestions?
Always include the signature at the bottom of your emails, folks!
Great way of increasing productivity! And also I wanted to ask how can I undo a quick step , I accidentally marked it as action urgently instead of action and would like to undo that
Definitely going to try this!
Wow. Excellent video.
Very informative video and this is what I was looking for. Surely I will buy your full course from udemy.
This not for working for outlook in the year 2020
Gosh this is so handy...
And if i have IMAP? The "category message" is not available.
What about the sent items??
Is this Surface7Associates outlook management method ,line for line ,but just reworded to be different?
Baracad Brigg - I'm not familiar with Surface7Associates. Can you tell me more about it?
@@bizproductivity it's on RUclips a number of years ago.
thank you
Does anyone know how to remove the word ‘categories’ when sorting by categories. E.g. ‘Categories: 2. Action’. I just want to display 2. Action.
Obrigado! You rule! :)
i like your system but do you have a work around for doing this with an IMAP account?
SAME HERE!
Could you please explain the problem with imap?
This is great!
Do you have a similar video/system for Gmail?
You have a lovely voice. I can listen to you even when the subject doesn't really interest me. However, most of it does interest me, and your Outlook info is excellent.
Helpfull😃😃
Hey It was really effective, I just wanted to know, How can I apply custom quick links to multiple email accounts in outlook.
I need the important shortcuts in outlook
More effective.
Ver very useful tips

the most effective way to manage is to organize into folders according to your activities. (in my opinion)
Good info and the steps still apply today in Outlook 365, but the embedded ads in the upper-right kept covering the steps (the mid-stream ad was not an issue). I still recommend watching, but gave a thumbs down and am adding this comment to help boost visibility.
Big WOW :O
excellent
wow that's sounds cool and promising
so basically from an 11 minute video, it starts 4 mins in, the rest are just ads... FFS...
We have now added chapters to easily skip the ad. 😊
Mmm. I have seen this exact video before, only about 5 years ago and by a guy who is a guru on this topic! 🤔
Nice
this works when you get 5 emails a day. when you get 15 emails an hour from various teams for various projects this whole plan will fail.
seriously ??? stopped watching video right after that ad and ad in the video, not a great experience - covering video
