    That is an excellent and clear explanation for how to use Numbers and Pages to achieve just the result you want (for many different “merge” type functions). Now if anyone asks me how to print labels, I can just point them here, Thank You 😊 However, it does need to be said that Pages mailmerge implementation should include this functionality. Perhaps we will see it in the next release, Apple seems to, bit by bit, be getting the new Pages up to parity with other general purpose word processing applications.

    Gary - thank you for (another) excellent informative video. I did have one hiccup when I pasted the formula into the column. Instead of the expected results I just got the same result in all rows. I don't know if it was because I used an existing old numbers file but I finally copy/pasted everything into a new numbers file and then the copy/paste results went as expected. Thanks again

    Yet another great video! One little extra thing that might be a useful add-on process is formatting the final printed address so that it meets the USPS preferred address format, which recommends all upper case and no punctuation, among other things, since it helps increase the accuracy of their OCR systems. Given the built-in text transformations in macOS I suspect this would be a pretty easy update to the process you describe in your video, but I thought I'd mention it anyway, since I like to make the Post Office's job as easy and efficient as possible.

      Does it help USPS to print bar codes on labels as well?

      All you would need to do is change the formula in the last column by removing the punctuation and surrounding it with the UPPER function. That function can easily be changed to do all sorts of things, like adding a second address line for Apartment or Suite (You would need to use the IF function)

    Thank you, Gary! This was a great video and just what I was looking for. I did have one set back, but managed to find the solution. I used the Avery template for my Pages document which was time saving. I built the spreadsheet as directed, then when I copied the 'combo' column with Cmd C and went to Pages and placed the cursor in the first text box. When I used Cmd V to paste, it inserted a table with one column and with an error in each row saying "This formula can’t reference its own cell, or depend on another formula that references this cell." I then tried "Edit - Paste Formula Results." It again over layed the text boxes with a table with one column but it did have the addresses populated in the rows. It ignored the formatting of the text boxes. I refused to surrender, though. I then used "Edit - Copy Snapshot" in Numbers and "Edit-Paste" in Pages and was so happy to see it work!!!!

    Numbers needs to be able to Create Labels automatically using the Print function! I can't believe that this is so complicated! This is not Apple like!!!

      Why Numbers? You can do it in Pages and Contacts, and lots of third-party apps.

    Oh man... I had 300 lists. I was able to do this by following the instructions. It took me more than an hour. However, when I tried it again using Microsoft Word, I finished it in just 5 minutes.

      Sure. Just add a shape or external image and copy and paste on to all of the labels.

    this is very helpful , i have everything but do i HAVE to create the formula for my spreadsheet or is there a quick way if i already have the avery template i can import and itll auto populate my csv file into the box mailing label format?

      There's no function in Pages that can tell what is what in an address or anything like that. If you like, you can just create the data yourself by typing or copy and paste into cells in Numbers if doing it manually is easier for you than using formulas.

    Thank you, I saw this. I only have the addresses available as VCards. Bc the export function of Outlook 2021 for Mac doesn't work properly. It only exports OLM and out of 2000 contacts it only exports 38 contacts. So I cannot produce a proper CSV or PST file even though I have the software for it.

    Great video and very helpful. When I went to paste addresses from numbers into pages, even though I copied all, it only put in the first 33, since that's what fits on the first page. Do I have to figure out ahead of time total number of addresses and then create in pages the text boxes, etc. to every single page I need to create, or is there a way to duplicate the work done on the first page? I'm playing around with it without good results. Thanks.

      You can do it 33 at a time. Or, you can create multiple pages with 33 labels on each, and then link all of those boxes since you can link text boxes from one page to the next.

      @@macmost Thanks, I ended up linking the text boxes from one page to the next, but for some reason, some of the text boxes would not copy and paste properly or let me add data to them, so some of them ended up "blank". I am sure it's just operator error, but that's okay. For the most part, I had success. ;)

    Hey Gary, I just watched your Sleep vs Shutdown for housekeeping Mac video. I use Mac mini M1. Is that applicable to mac mini as well? I am concerned that the Mac mini is AC powered but the MacBooks are battery powered. In case of powercut while my Mac mini is sleeping, what could happen? I am sure I will loose unsaved data.. will it cause any hardware damage?

    Gary, I can not thank you enough for this video! I just wish the powers that be (Apple, of course) would make the labels simpley print left to right, line by line. Instead, it appears they go several rows in one column then the next. I don't get it.

    GREAT instructions but... I have a long list of addresses (1000s) that I need to make labels for. Is there a way to create a multi page doc, or a doc that will expand as necessary to receive all? The thought of printing 30 labels at a time then select all, paste, etc etc is not appealing! Thx

      A multi-page doc, sure. It will take some time to link all of the boxes though. So maybe consider a third-party label app instead?

    @macmostvideo I am fairly new to mac. I have a picture of a photo album page that has five pictures on it. What method or application to separate those five pictures into single pictures each? I currently use mac screenshot app and the crop feature to single out one of the five pictures. This is time consuming to do it that way. Is there a better way to do this? Thank You

      You can use any image editing app or Preview. Open the image in Preview (should be the default app) and select one photo, then File, New From Clipboard. Then save. Do for all 5 pictures. If this is something you need to do many times for many photo album pages, and these are scanned pages, consider using Image Capture to scan, use the Overview and select the 5 pictures separately and scan.

      Make the font size anything you want. Just adjust it as you would any text in Pages.

    Hi Gary I found this video very useful THANK YOU but I have another similar favour to ask you if you choose to except it and show how to do it. I downloaded a template for making simple slim CD cover maker in PAGES but the windows are placed vertically, is there a way to place them Horizontally side by side, so that when I print it I can simply cut and fold the artwork cover, because the other way around I have to cut each window separately tape them together and insert it in jewel case. I'm pretty sure you can create a custom size templates two windows collided side by side (12X12) cm for making slim jewel case cover, I would appreciate if you can demonstrate THANK YOU AGAIN GARY. 🙏👍👍👍👍👍

      Just create your own template to the exact size of the CD cover sheets. Measure the sheets and the shapes in them and recreate it in a blank Pages document.

    Hi Gary. Thanks for this video. You showed at the beginning how to do it with Contacts. But this label doesn't show country. I completed all address fields. I found that it shows/prints country only when you put country in the same box as city. Any idea why?

      @@josefhab8095 There's an option in the print dialogue you have to tick to include country or region. It's under mailing labels > label. It also lets you exclude your own country.

    thx so much for this step by step tutorial which was easy to follow. I do however have a problem when copying from my mail list to pages. Ive tried this step several times but it just won't paste, not sure what im doing wrong and can't seem to find any information on the web to help me solve this problem. Can you help please, im trying to mail my daughters wedding g invitations so is time =sensitive thx.

      Not sure what you could be doing wrong. Try pasting into TextEdit to make sure you've copied properly. If that works, then make sure you have placed the blinking text cursor in the text boxes in Pages before pasting.

    My numbers column won't paste to pages, am I doing something wrong? Everything has worked up to that point. I downloaded a template from Avery .

      What happens when you try? Maybe it does paste, but the text boxes are too small to display the text.

    I am new to MAC and am using your videos to try to learn tips and tricks. I followed your tutorial, made a numbers document with my addresses but when I copy the fields from my numbers document, nothing will paste into the text boxes of pages. Do you have any idea what I might be doing wrong?

      Do you see the blinking cursor in the text box and can you type there before you paste? After pasting, is there enough room and is the font sized right to be able to see it? Keep playing around with it.

    I'm trying to figure out (similar to labels) how to make a pages template to pull info from a spreadsheet, but the sheet is 8 pocket certificates/page and the data from the spreadsheet is First Name, Last Name, Date, & Achievement. Unlike an address the info is not in consecutive lines, but text boxes on each certificate. The actual paper is a preprinted perforated form. Any suggestions?

      @@macmost I probably shouldn't complain about a free product. I still do the majority of my work off my macbook pro and only need to print a client list of 300+ labels once a year.

      All I can suggest is to check the formula carefully. Even one character that isn't right will cause an error.

    If using a template in pages, how do you get it to print an entire page of one individual label?

      @@cookiemiles8016 Once you put them on every label, you print it once. The paste, paste, paste only takes a minute.

      @@cookiemiles8016 If you do this all the time, you can easily use Numbers to create the text just like Gary did earlier. You could even use the exact same spread sheet, but instead of using a different address for the next line, create a formula that copies the line above, then customize it for exactly what you want as many times as you want.

    All was well until I tried to copy from Numbers version 13.0 into Pages version 14.0. It won't paste. I can paste into a Notes app, but then I lose all the formatting.

      Check for updates. Numbers 14.0 came out the same day as Pages 14.0.

    Everything goes good until I try click the circle to link them into a string. It moves my lines up and down into the boxes above or below it. Tried it 3 times now and every time it does it.

      Not sure what you mean. Watch carefully how I do it and practice on a sample document to get the hang of it.

      Select the text box, then in Format, Arrange you can set the rotation. You can also Command+drag the dots around the text box to rotate.

    OMG this is horrible. New to Apple Eco System. I hope this is not the only way to do this. This is so archaic compared to Windows and Office Suite. This is such a bad process. Apple, you need to fix this to be more relevant.

      If you want something simpler you can get one of many apps that are available that print labels. This tutorial is about how to do it in Pages.

      @@macmost honestly, after fighting with this for two hours I just opened up my Windows laptop and did it in about 10 minutes. Maybe if I had Microsoft office installed on my Mac? Process was a lot simpler in office and built-in without having to download anything. I like the Mac, don’t get me wrong, but it’s just not as efficient foroffice work. You just have to wait forever on a windows machine for it to come to life which is why I switched. Both have their strengths and both have their weaknesses.

      @@Wyttyd Yes, if what you are trying to do is a function of app MS Office, then get MS Office on your Mac and you should be able to do it the same way.

    this is a bit convaluted... the person doing the instructing is top notch... well well explained... but pages is trash for mail merging for labels... which this isnt actually merging... you are formatting the doc to allow you to copy paste the info rather then dynamically merging the spreadsheet data...seems like if you have 300 lables this way sucks... cant believe i wasted time on this.

      All the same? That's easier. Just get the Avery template, fill in the text box (or add one and fill it in if the template doesn't provide a text box) with the address. Then copy and paste to the other labels on the sheet.

    Nice video but for God's sake. I can write my 43 envelopes out before I do all that stuff. I used mail merges in Microsoft Word in the 1990's and it took about 5 clicks. Nothing like going backwards with technology.

      If you are trying to just print out envelopes, then that can be easily done in the Contacts app.

    I tried this and I’m failing, please help! For the addresses I need the formula to be for:
    Title First Last
    address
    City state zip
    Closest I’ve gotten it looked like:

    I see avery in the UK (avery.Co.uk) only gives sizes now not the product number it used to. Also only has templates for MS Word
