I will be starting with digital planners and then moving into printable specific tutorials later, although a lot of the same principles and techniques will apply to both. 😁
I will see what I can find out. I know that you can have the dates entered from a spreadsheet, however I have never done it that way myself. I have found it way too limiting and like the freedom to have look exactly the way I want. I only have to update the dates twice per year and it really does not take me that long to do. I will def look further into it though.

So I almost always use "essentials classic" as my workspace. It is just what I am used to. You can check this and change this either in the very top right corner of indesign window, or you can go to "window" then "workspace" and select it there if you want yours to look exactly like mine. @@beamadeinbrazil

Hi heather! thank you so much for your lengthy and in depth tutorial, you really solved a lot of my issues with things i couldn't even find the answers to anywhere ! ive been battling with this planner creation in multiple apps running into many roadblocks from page limits in canva, to hyperlink issues in acrobat! so its really appreciated that you have provided us this tutorial honestly! however, i have ONE problem, i am going to take my time to explain it properly so you understand my issue in its entirety and are hopefully able to help me. i only pray you have the patience to bare with me while i explain so, i have already created a planner which is fully made and constructed, i did not create it in indesign however, i have found a way to inport this already created planner to indesign which is great. its here, in full all pages loaded. now, of course i understand that i now need to manually create all my hyperlinks ..damn lol...no worries i have followed the mehtod of which you have demonstrated in your video using the rectangle tool, however i thought let me test it out FIRST with one hyoerlink before i do all 600+ of them individually and potentially waste my time lol.... and low and behold....Another road block, i have now exported it to adobe acrobat PDF and clicked the tab that should have the link, it highlights as a clickable link with the hand button, it also acknowledges that a link is indeed there as it even gives the option of "edit link" when right clicked, HOWEVER it does not actually go anywhere, it simply does not do anything or go to the intended page. :( do you know why this may be ?? i can clearly see it wants to be a link it even shows what page is SHOULD go to when i go into link properties, but it simply does not go anywhere ? whats going on? do you have any idea ? is it because i did not create the whole thing in indesign ? even if so, i created the link in idesgn and its there ? so why does it not click to go to the intended page ? helo me! please :(
Hi there. I am so glad that the video was helpful. It is really hard for me to answer questions like this when I do not have access to play around with it. With that being said, the only time I have found an issue like that is when you are adding a hyperlink to anything that is grouped. Do you by chance have the rectangle grouped with anything else on the page?

Thank you so much. My setting are sections numbering which is just the default. I have never changed this, so I am not sure if this affects the hyperlink pages or not. My understanding is that it should only affect your page numbering on the pages themselves and not the "page numbers" of the document, however I am not certain of this.
This is fantastic! Would you please show us how to connect our planners to email, outlook, google calendars, reminders and such? People really are insisting on this feature!
These are things you would need an app for. That is a completely different animal. A digital planner is just a pdf. You can add links but beyond that you would have to develop a program or app. This is why the planner must be used in something like goodnotes to really work digitally.
There are several people who are selling planners with a shortcut to email, calendar, reminders, and more. Maybe I didn't ask my question very well. Thanks again so much!! @@HeatherMichelleCo

Hi Heather! Thank you so much for this video, really really well done and has been super helpful to me with trying to learn ID and designing a digital planner. I have a technical question regarding best practices with Parent Pages. Do you create a Parent Page for each month of the year or just do a generic Parent for your monthly design and then insert a new page with that parent for each month? I'm seeing advantages/disadvantages both ways and wanted your opinion. Thanks!! Looking forward to more content from you!!
That is a good question. The answer is really just to do whatever you find easier. I think it would depend on a few different things, like how many different pages will your project have. It can get to be a lot. Personally, I just do one for the calendar and then when I add it, I over ride them. However, I do not make a ton of different variations to my planners. Whether you will update your dates in the document or on the parent pages, you will still have to update them. However if you plan to make a lot of different planners based off of the first one, then it could save you time to create a different parent for each. This is totally up to you and really just a preference, however I do not see a drastic advantage or disadvantage to either.
Hi, Love your videos! This is probably going to be a dumb question but I am going to ask anyway. This is a question about the size. Why would you not use the same size for landscape and portrait and just flip the width and Height? Thanks!
Hi there. Not a dumb question at all. It is because the programs (like goodnotes, etc) have their tools bars at the top. So when you are using in portrait view, the tool bar is above the shorter side and when landscape it is above the longer side. It just accounts for that.

I put all the hyperlinks just like you did, but when I opened the document on good notes, there isn´t any hyperlink. I did the export just like you, and checked on acrobat and everything was fine, but not on good notes. Could you help me please? Sorry for my english, greetings from Mexico.
Check to make sure that you added the link to an ungrouped box. I prefer to always use a placement box over any text boxes or objects and then add the hyperlink to the placement box only. So if you had a rectangle for the tab and then a text box and those are grouped together, if you add a hyperlink right to that group it will not work in goodnotes. I hope that makes sense but I do explain in the video @ 1:37:59

Hi thanks again for a great video, I learnt a lot from you. I'm currently working on my first planner in Indesign, but when I exported it, all the images I added that I created and downloaded from Canva are in really bad quality, even though I made sure they were in great quality. Do you how I can fix that? Thank you
Hi there. I am glad that you liked the video. It is really hard to say. How are you exporting it from Indesign? Also, how are you exporting it from Canva? I would ususally export images from Canva as a PNG and increase the size as much as you need to make it clear. Increasing the px will help give a clearer image, but exporting them too large can slow down a digital planner when it is being used. It may take a bit of trial and error. Did you increase the size of the PNG when exporting from canva or leave what automatically comes up?

question: if i were making a daily appointment page do I need only one page of daily/weekly ? how will they end up with 30 days of the month of appointments? or 4 weeks of weekly? will they be just copying the daily page or deleting it daily to have a fresh page the next day??
Hey! This would depend on the type of planner you want to create. If it is dated vs undated. Dated will typically have links in them to link. In this case you would want to add all of the pages so that you can add the hyperlinks. If you are creating a simpler planner, undated planner or one that you want your customer to be able to fully customize, then you can just have the page as a template that your customer can then just copy and paste where ever they want to add it. My planner for example has both types of pages. It has linked everyday pages and then a template section with one off pages that they can add in as needed, like maybe a fitness tracker or different notes pages.
Hey there! It doesn’t matter where you change the character and paragraph styles. As long as you update the style with the new changes, it should update anything that has been connected to that style.
Hello Heather and thank you for your very informative videos. I am up to adding the spine, and it is similar to yours. However when it is placed, half of it only goes on one side of the page not over the top of both sides like yours. Aslo, its connected to my page and i can’t delete it with it deleting my page. Any suggestions?
I noticed this happened with mine too, just took some playing with, but if you haven't figured it out (I see this is actually an older reply) than I'd also suggest having a look at your layers to see if it is on top.
I usually copyright my photos. If I put a copyright in my planner, will it cause any problems for my customers when they go to use it in Goodnotes? I was thinking of putting a copyright in the area of Indesign that will put it within the file
No, That will not cause any problems. That is a good thing to do. I also have in my listing descriptions that they are to be used for personal use only and not to be resold, shared or used commercially. unfortunately there is not much you can do to find them and enforce it, unless you have Disney's lawyer team lol, but you might deter someone for trying.
Hey! I usually design physical planners, so my planner is printed and is A5 (14,8x21). Can i use the same file and just add the hyperlinks and all of that, or does it need to have a different file format for it to work on iPads and all of that? Sorry, brutal beginner here :D
Yes. You can just add hyperlinks to your pdfs. If you do it this way, then you would be create a portrait view digital planner, which is perfectly fine. However if you want to change the sizing, or you want to have two pages showing so that it looks like an open planner (landscape view), you can always create the new file in indesign and copy and paste your pages into indesign to create new pages. It really just depends on where you created the original files. Were they originally created in Indesign? I will be creating a video on how to resize and reuse older planners to create new up and updated planners in indesign and that should help. I hope to get that out soon.

Hi there. Thank you so much for the compliment. I am glad that you found the video useful. As far as adding the dates with one click, I am not sure what you mean. I think you are referring to 55:22. If so, that was just because of editing the video. I did type them in but edited out that part to speed it up. You would have to type them in. It is very quick though because when you are in the table you can just hit “tab” to get the next box and then simply type the number and then tab again, so on and so forth. It should just take a few seconds to add all of the numbers. Hope that helps.
Hello, I finally found a solution by making 1 single table and making the middle column invisible, then I used the bullets and numbering function to increment the numbers from cell to cell by copying and pasting which automates a lot
Hi there. I am so glad that you found the video helpful. Unfortunately I am not sure what you mean by button. Anything created on the planner is just an object with a hyperlink attached to allow it to act like a button. Is that what you mean?
If the link is not working in goodnotes it could be that it was attached to something that is grouped. It will work in indesign and in the pdf itself but then not in goodnotes. Unless they have fixed this recently. So if you create an object like a box and then add text and then group those together, then adding a hyperlink to that group will not work. This is why I always recommend creating a placement holder box over the area you want to have a link and then adding the hyperlink to that. Just make sure that you do not group it. I hope that helps
I keep referring to this video as I’m making my planner and hyperlinking is so time consuming for a planner. Is there any easier way? I’m writing on paper what page links to what
Hey there. I am glad you are getting use out of the video. Unfortunately I do not know of a quicker way to make the hyperlinks. This is what makes creating digital planners challenging. You can however create your own shortcuts in indesign so that you do not have to manually go to add shortcuts in the menu every time. This is especially helpful if you want to edit your hyperlinks. Say if you create a new planner from the existing one and need to make changes. I had made a spreadsheet of page numbers and then went off of that. Writing it down works too. I will do some more research and if I find an easier way then I will let you know and/or will make a video about it. I have not found anything as of now 😔
Is there a way to make it without the background?? Like to make the pages full page without having some background around it??? I’ve tried everything to get rid of the background and without it, it is just a white margin in goodnotes
Unfortunately, I do not know a way to do this. As far as I know, there will always be atleast a white background for a pdf. The only way that I know how is to export as a png. Go to export > change save as file type to png > save > under options in the pop up, check the box that says "transparent Background". Please let me know if this does what you are wanting 😉
Hello Heather, so I have a question. I have tabs that move, for example there's a parent page for January, then for February the January tab flips to the other side of the page, then March ect ect. So since I have multiple parent pages, I can't use the data merge? That's the only thing I can think. Or is there something that I am missing?
I would not recommend data merge for digital planners anyway. Otherwise you will have to redo all of your hyperlinks next year when you need to updated and that takes a lot longer than updating the dates. But I also don’t think it would work with the moving tabs either. I have yet to find a reasonable solution for digital planners.
No way that I know of unfortunately. It is just a pdf. I never heard of a way. But if you come across something please let me know. That would be awesome.
Yes it does. You would export as an interactive PDF. Goodnotes is essentially a fancy pdf reader. The PDFs from Indesign will work in any of the PDF reading programs
So for some reason my hyperlinks are there, but I cannot see the dashed lined box around it. =/ is there a setting to turn that on that I am missing somewhere? I would like to see the links that I have completed that way.
While you are on the selection tool (black arrow), hit "W". See if that will show them. "W" toggles you through preview mode and where you can see editing marks, ie text boxes, margins, etc

I put all the hyperlinks just like you did, but when I opened the document on good notes, there isn´t any hyperlink. I did the export just like you, and checked on acrobat and everything was fine, but not on good notes. Could you help me please? Sorry for my english, greetings from Mexico.
Check to make sure that you added the link to an ungrouped box. I prefer to always use a placement box over any text boxes or objects and then add the hyperlink to the placement box only. So if you had a rectangle for the tab and then a text box and those are grouped together, if you add a hyperlink right to that group it will not work in goodnotes. I hope that makes sense but I do explain in the video @ 1:37:59

Hi thanks again for a great video, I learnt a lot from you. I'm currently working on my first planner in Indesign, but when I exported it, all the images I added that I created and downloaded from Canva are in really bad quality, even though I made sure they were in great quality. Do you how I can fix that? Thank you
Hi there. I am glad that you liked the video. It is really hard to say. How are you exporting it from Indesign? Also, how are you exporting it from Canva? I would ususally export images from Canva as a PNG and increase the size as much as you need to make it clear. Increasing the px will help give a clearer image, but exporting them too large can slow down a digital planner when it is being used. It may take a bit of trial and error. Did you increase the size of the PNG when exporting from canva or leave what automatically comes up?

question: if i were making a daily appointment page do I need only one page of daily/weekly ? how will they end up with 30 days of the month of appointments? or 4 weeks of weekly? will they be just copying the daily page or deleting it daily to have a fresh page the next day??
Hey! This would depend on the type of planner you want to create. If it is dated vs undated. Dated will typically have links in them to link. In this case you would want to add all of the pages so that you can add the hyperlinks. If you are creating a simpler planner, undated planner or one that you want your customer to be able to fully customize, then you can just have the page as a template that your customer can then just copy and paste where ever they want to add it. My planner for example has both types of pages. It has linked everyday pages and then a template section with one off pages that they can add in as needed, like maybe a fitness tracker or different notes pages.
For the character and paragraph styles: do I need to change them in the master pages or any page and it will apply?
Hey there! It doesn’t matter where you change the character and paragraph styles. As long as you update the style with the new changes, it should update anything that has been connected to that style.
Hello Heather and thank you for your very informative videos. I am up to adding the spine, and it is similar to yours. However when it is placed, half of it only goes on one side of the page not over the top of both sides like yours. Aslo, its connected to my page and i can’t delete it with it deleting my page. Any suggestions?
I noticed this happened with mine too, just took some playing with, but if you haven't figured it out (I see this is actually an older reply) than I'd also suggest having a look at your layers to see if it is on top.
@@shrimpcurls9835 i did figure out later that if you draw a rectangle in the area you want the binding, and “place” it in the rectangle, it works.
I usually copyright my photos. If I put a copyright in my planner, will it cause any problems for my customers when they go to use it in Goodnotes? I was thinking of putting a copyright in the area of Indesign that will put it within the file
No, That will not cause any problems. That is a good thing to do. I also have in my listing descriptions that they are to be used for personal use only and not to be resold, shared or used commercially. unfortunately there is not much you can do to find them and enforce it, unless you have Disney's lawyer team lol, but you might deter someone for trying.
Hey! I usually design physical planners, so my planner is printed and is A5 (14,8x21). Can i use the same file and just add the hyperlinks and all of that, or does it need to have a different file format for it to work on iPads and all of that? Sorry, brutal beginner here :D
hey, I'm not the owner of the video, but you just need the .pdf format for all your hyperlinks to work. Hope it helps ^^
Yes. You can just add hyperlinks to your pdfs. If you do it this way, then you would be create a portrait view digital planner, which is perfectly fine. However if you want to change the sizing, or you want to have two pages showing so that it looks like an open planner (landscape view), you can always create the new file in indesign and copy and paste your pages into indesign to create new pages. It really just depends on where you created the original files. Were they originally created in Indesign? I will be creating a video on how to resize and reuse older planners to create new up and updated planners in indesign and that should help. I hope to get that out soon.

Hi there. Thank you so much for the compliment. I am glad that you found the video useful. As far as adding the dates with one click, I am not sure what you mean. I think you are referring to 55:22. If so, that was just because of editing the video. I did type them in but edited out that part to speed it up. You would have to type them in. It is very quick though because when you are in the table you can just hit “tab” to get the next box and then simply type the number and then tab again, so on and so forth. It should just take a few seconds to add all of the numbers. Hope that helps.
Hello, I finally found a solution by making 1 single table and making the middle column invisible, then I used the bullets and numbering function to increment the numbers from cell to cell by copying and pasting which automates a lot

Hi there. I am so glad that you found the video helpful. Unfortunately I am not sure what you mean by button. Anything created on the planner is just an object with a hyperlink attached to allow it to act like a button. Is that what you mean?

If the link is not working in goodnotes it could be that it was attached to something that is grouped. It will work in indesign and in the pdf itself but then not in goodnotes. Unless they have fixed this recently. So if you create an object like a box and then add text and then group those together, then adding a hyperlink to that group will not work. This is why I always recommend creating a placement holder box over the area you want to have a link and then adding the hyperlink to that. Just make sure that you do not group it. I hope that helps
I keep referring to this video as I’m making my planner and hyperlinking is so time consuming for a planner. Is there any easier way? I’m writing on paper what page links to what
Hey there. I am glad you are getting use out of the video. Unfortunately I do not know of a quicker way to make the hyperlinks. This is what makes creating digital planners challenging. You can however create your own shortcuts in indesign so that you do not have to manually go to add shortcuts in the menu every time. This is especially helpful if you want to edit your hyperlinks. Say if you create a new planner from the existing one and need to make changes. I had made a spreadsheet of page numbers and then went off of that. Writing it down works too. I will do some more research and if I find an easier way then I will let you know and/or will make a video about it. I have not found anything as of now 😔
Is there a way to make it without the background?? Like to make the pages full page without having some background around it??? I’ve tried everything to get rid of the background and without it, it is just a white margin in goodnotes
Unfortunately, I do not know a way to do this. As far as I know, there will always be atleast a white background for a pdf. The only way that I know how is to export as a png. Go to export > change save as file type to png > save > under options in the pop up, check the box that says "transparent Background". Please let me know if this does what you are wanting 😉
Hello Heather, so I have a question. I have tabs that move, for example there's a parent page for January, then for February the January tab flips to the other side of the page, then March ect ect. So since I have multiple parent pages, I can't use the data merge? That's the only thing I can think. Or is there something that I am missing?
I would not recommend data merge for digital planners anyway. Otherwise you will have to redo all of your hyperlinks next year when you need to updated and that takes a lot longer than updating the dates. But I also don’t think it would work with the moving tabs either. I have yet to find a reasonable solution for digital planners.

Once you sell your planner, is there a way to tell how many people are using it? Is there a way to keep people from giving it out?
No way that I know of unfortunately. It is just a pdf. I never heard of a way. But if you come across something please let me know. That would be awesome.

Does this work for Goodnotes?
Yes it does. You would export as an interactive PDF. Goodnotes is essentially a fancy pdf reader. The PDFs from Indesign will work in any of the PDF reading programs
So for some reason my hyperlinks are there, but I cannot see the dashed lined box around it. =/ is there a setting to turn that on that I am missing somewhere? I would like to see the links that I have completed that way.
While you are on the selection tool (black arrow), hit "W". See if that will show them. "W" toggles you through preview mode and where you can see editing marks, ie text boxes, margins, etc
