How to Set up Tasks and To Do's in Smartsheet

    It seems more useful to put the anticipated duration of each component of a project rather than assign arbitrary dates for each to be done. This way you can see not only how many items that remain to be done but also how much time all of these unfinished items will likely take. This information is useful to determining if the current assignment of tasks is within the capability of those assigned to do them, or if reassignment will be necessary to complete the project on schedule.

    Firstly, good job! I saw in our video that you need to copy/paste in the column (dropdown selection). I would like to index/link options in dropdown with another sheet. Do you know if smartsheet does this?

    Hello, is it possible to give access different people in one sheet? But everyone should see only their tasks

      HI! Honestly it has been so many years since I have used Smartsheet that I doubt I could speak to this accurately. From what I recall it was all or none. Instead, what I would do is have the Master Sheet. Then Linked sheets for each user that only shows what is assigned to them.

    There are some features within smartsheets that because I don't have the background in true project management are hard for me to do. One example of this is Ghantt charts, they are complicated to me. Now i am using zentao which helps me get things done.I love its ease of use.

      A Gantt Chart is just one way to look at tasks and due dates. You don't have to use that view if it's confusing to you. I'm not sure I would be inclined to look at another project based on that. The power of Smartsheet is that it can be super simple, if that's how you want to set it up and use it, and it can also be customized completely for more complex and detailed tracking needs.

    I'd like just a bit more detail like copying and pasting. Is it the same short cuts like ctrl+c and ctrl+v ? or is it right click then left click or is it click then drag ???

      All the standard keyboard commands work here. You can also do right click, then left click.

    Can I see how far my colleagues have worked on the task in real time without them Checking it "Done"?

      Sorry must have missed this a year ago 😮!
      At some point, somewhere along the way someone has to indicate when they've completed a task. If nobody marks it as done, no software package in existence will have any way of just knowing what's been done and what hasn't.
      What I often prefer, because I find it more valuable without ti complicating matters any, is instead of using a checkbox, I use a date as in "Completed Date." That way I don't just know that it was completed. I know when.
      Meanwhile what you can do is run a report (Filter) on anything that isn't marked completed, and then send an update request to whomever is in the "Assigned to" column (assuming that's there, and it should be) and ask them to either mark the tasks complete, or write a comment on the status of the task.
