The new vs classic Outlook

- Microsoft 365 subscribers now have the option to switch to the new Outlook, but before this becomes mandatory in late 2024, users can try it out. Here I compare dozens of features including new aspects to the New Outlook such as: Reminders for missed emails, pin, snooze, sweep, easier calendar layout, faster search, what is missing, such as: Tasks, view options, resend the message, and what was better in the classic version: Attachments, quick parts, what is announced to be coming soon: Search folders, offline mode. I don't go through what is available in both and since Outlook has hundreds of features this is not an exhaustive list that I present here.

So far the lack of support for PST files is absolutely insane. There are thousands if not millions of PST files out there. Lack of support for a pst is bonkers. The comments on attachments is also totally crazy. What the heck was MS thinking on what they've left out. I'd consider those critical.
Yeah I agree it’s inconvenient. PST file support I believe is coming soon according to documentation. Drag & drop attachments is annoying but new outlook essentially just a browser version so as you can’t drag & drop attachments from a browser without download first you also can’t from the new outlook
@@learnspreadsheets you got a link to this documentation you are referring to?
I need PST support as well but it doesn't look like it will be fully supported. PST implies you use POP3 to download and store locally. All Microsoft's own email services ceased POP3 support with basic authentication. However, most of Microsoft own Outlook variants don't support POP3 with OAuth2. Some services still offer POP3 but only with OAuth2 as well. If you factor those in, it's signalling a sunsetting of POP3 from a practical point of view.
Thanx for the video. There's two things at present that will stop me using this over the classic Outlook. 1. I need to be able to edit the subject line on incoming emails. 2. I need to be able to edit an incoming email . i.e change the incoming text to HTML format rather than plain test before I file them away.
Well said!
Thanks for the video! Question, are you have any issues with the signature functionality in the new Outlook? I work for a large org and employees need to be able to copy and paste our branded sig into their Outlook settings. The format isn't holding, and the logo isn't showing up. Copy and paste worked fine in the old version. Any easy workarounds? Thanks for your input!
hate the new outlook can we force it back to the classic version and stay there of cancelling subscription ???
For the next year or so you can turn off the “try the new outlook” experience. After that I’m not sure yet
Great video, thank you. I can't find quick parts which is super useful has that been cut?
Quick Parts has been replaced with another feature called "Templates" which isnt as sophisticated (e.g. it can only bring text, no images/objects etc.)
Informative video, I notice in the outlook for attachments. I could drag the attachment to my Explorer window to the folder and it would save it there. Not anymore. Also, for attachments we had the option of save as, to place the attachment into any folder we wanted. I no longer see that option. Now it just saves the attachment in the Download folder. Were these 2 options taken away do you know?
Yeah sadly, I miss those too! Using attachments takes an extra step or two unfortunately
Hi David, excellent video. I was wondering if you can make this video again but with latest updates. I think the new version of Outlook is more prevalant now so it will be useful.
That’s good feedback yes, it’s mostly still the same but there are a few changes, I will keep monitoring if there are enough changes & redo
Thank you for this video. I don't like the update because all my settings are gone. I can't set up my signature the way I had and there is a account limitation. Thank you microsoft for the 'update' -.-
Yes, agreed so many things are missing. Some are coming soon, but others don't seem to be
I wonder, we have someone making videos endorsing the new Outlook which is a nightmare!!
Haha! Some pros some cons! That’s my honest take on it all
Thanks for a great video David. Hopefully MS will eventually add enough features to the new version to cover its inadequacies. In the meantime it looks like sticking with Outlook 365 old version is safer.
The feature that had excited me was compatibility with Google calendar which has long been a bizarre gap with Outlook. I guess in the meantime I can use the new Windows Outlook for that one account. But what's confusing me is whether this is the same thing or has any differences from New Outlook? If so, does that mean everyone has two versions of Outlook.
You may not have tested this, but will the New Outlook work with existing add-ons, like Dymo address printing? Losing that would stop migration for ever for me!
Finally, is this only available to Windows Insiders? I don't have the switch to New on my version of Outlook. I'm UK based if that's at all relevant.
Yeah I’m going back & forth depending on which features I need. It’s widely released on the current & monthly enterprise channel, but if you’re on the semi annual channel it may be until Jan next year, click file > account to see which release cadence you’re on
Hi Great VIdeo!!
Is there a way to share PPT directly to the Preview Outlook without it launching the old Outlook?
I am having challenge making Preview outlook the default mailing platform to share docs in mails
Hi I think sending from ppt is not yet possible but if it’s saved on onedrive it’s easier to send via the new outlook
Is there anyway to all downloading images for all emails? Similar to Automatic Download under the trust center
Hi I’m not sure about this one sorry
I am finding a really hard time printing out of the new Outlook. It defaults to a light gray fault and no matter what I change my settings to on my printer, it doesn't update. If I write an email OUT then it prints in black but anything IN is gray.
Then it no longer prints page numbers which is challenging as I usually print a few email chains at once and have to go and peck through them now.
Any suggestions?
I’m sorry I haven’t tried printing much on the new outlook
Does the new outlook get into the web/online version or is it the local version or runs as local app or software on the PC like the old Outlook?
Hi great question. The new Outlook uses the Outlook for web engine, and runs no local app as the classic Outlook does.
Hi David, thanks for the Video... could you please help me about how to import my PST?
For now it’s not supported in the new outlook I d on t think sadly. Sorry
I‘m not able to add my Microsoft Exchange account to the new outlook. In the simple MS Mail app it works.
It should work actually might be a bug
I am having trouble with the the eml. I cant open previously saved ones and can’t ‘save as’ new emails.
Sorry about that. Lots of missing functionality
Waht about conditional formatting, where can I find it? Or is it also lost in the switch?
Good question, it didn’t transfer over sadly. Maybe it will be added as a feature in future but nothing for now
Hello, I really need to import, into the new outlook, my emails using a PST file. I do not see the import option anywhere. Can you please help?
Unfortunately PST are not currently supported
The New Outlook incoming emails are not always allowing or auto-downloading the email message, i.e. no message preview. Ive noted this numerous times to MS, to no avail.
Yes there definitely are bugs, hopefully they will be resolved before we’re all forced to change to the new outlook
Hi david I’m having a lot of trouble with the new outlook calender. I tried changing to back to month view and now it’s missing all together
Sorry to hear, the new version is definitely incomplete for now
is there a way to use early outlook 2021 and also have the app bar?
I have the app bar on my version of outlook desktop (classic experience) right now but it’s a more limited one and possibly a beta channel only feature
Hi
I do not work (retired), the main feature I use in Classic outlook is the Calendar for all my daily, weekly, monthly, and yearly appointments (I cannot function without my calendar - So teams, emails etc. are not important. But I use emails sometimes as well as Gmail.
I did switch to the new outlook, but I did not like it - so many features of the calendar are missing. I switched back to the classic outlook.
My question is when I am forced to use the new outlook, are all my appointments / reminders will transfer over, also the customized quick access bar exists??
Currently my outlook (MS office 365) is linked to iCloud for windows, So I have access to my calendar on my iPhone, my laptop and Desktop which helps me to add or update any appointment in any of the 3 that I use at home or if I am out and add new appointment on my iPhone - would this feature will exist ?
Hi thanks for the message. Microsoft said when they first launched the new outlook that the classic one will go away in autumn this year, but I haven’t heard an update on that, so it may have changed.
Syncing will still happen after the change happens between devices in the same way it does now.
How to change Font color while replying and forwarding emails in latest version of Outlook Office 365 ?? Can we change font colours while replying and forwarding e-mails ??
I don’t think that feature exists in the new one, it was under outlook stationery before & I loved it!
I find the new email signature a horrible option.... The options in the old version are far beter.
Yes I agree that the old one was better
when you can't understand a simple video without the "instructions" then you're lacking common sense 😊
how do i change it back to the original settings? i dont have that option on the top right where it says "New Outlook"
Strange it should be a toggle on the top right so you can easily click to go back
@@learnspreadsheets there wasnt one. I figured it out though. You have to uninstall the new outlook, then it will revert back to the old one.
Does the new outlook have the send/receive tab? Is there a way to force the new outlook to sync like we had with the old outlook? Thanks.
New Outlook is always online, so syncs constantly, its like having a browser window. Microsoft have said they will bring in the "Work offline" feature but I haven't yet seen it.
@@learnspreadsheets Oh okay, thanks for clearing that up. So I guess the new Outlook will not be using OST files anymore since everything is cloud based.
I use Google Calendar on my phone and Calendar (Version 16005.14326.21580.0 - part of Mail) on my PC and they auto sync in both directions. Will the new Outlook calendar also do that?
It depends on the back end exchange server as that hasn’t changed. Outlook is just the front end on windows. Google calendar is the front end on your phone. Mail/Calendar apps are being deprecated in Windows. It usually has to do with your email provider gmail/ exchange/ outlook.com & whether you pay for Microsoft 365
How can you change the location of the folders smoothly ? Drag and drop worked in the old one, but not in this new one. Really annoying
Yup I agree I miss drag & drop of attachments & other stuff for sure
No turn on/off New Outlook in my Outlook.
New Outlook just installed itself via Win updates as a separate app.
The installation of New Outlook damaged my signatures in Outlook and damaged the options for Outlook signatures.
The installation of New Outlook damaged the *.msg files association.
Due to the dozens of issues reported for this "New Outlook," I will probably wait for the "New Outlook 2.0 final wail version".
Thanks, MS a lot (not!).
Oh no, sorry to hear. On mine I can switch but some IT companies block that sort of thing
Hello, sir
How to add New mail, top bar Search option and also Ribbon?
No built in way sorry
Any way to go back?
Yes you can always turn off the toggle of “try the new outlook”. I have gone back & forth a few times now!
@@learnspreadsheets the bad news is I don't have that button :( no way to toggle off.
you may have missed .pls check upper right corner .@@MetinUysal
nice video
Thanks! Glad you like it!
Outlook 2024 does not have a "File" tab. Is it possible to Save email to my computer Hard Drive ? I have been archiving my email on an external hard-drive for almost 10 years. Will I need to look for an alternative email program to be able to continue doing this?
Hi, no there is no File tab, it's more like the web version. You can print an email to pdf then save that but I know that's not a full solution. Lots of things are missing from this New experience.
Oh well, it looks like it's time to hunt for an alternative mailbox. Thank you for the reply.
How do I drag an email to another program, or to a desktop folder? I try to click and drag, and it does nothing in New Outlook.
Hi, this feature isnt allowed at this time in the new experience, you can save an email as pdf but I know thats not as flexible, if you find that important you could switch back to the Classic Outlook. This is one of the many features not available in the new Outlook for now sadly
@learnspreadsheets Thank you, that is great information to know
My IT team located the old application link for me. I have to export .pdfs to e-sign them and reattach them, and all of my emails have to be saved to an external record keeping storage program, it was killing me from a time efficiency perspective.
in my old outlook it would read lone emails to me but recently the button has been removed. can the new outlook read emails back to you?
Hmm not sure on desktop, on a mobile you can have emails read to you though
oh wow! that's great. do you have a video that shows you how to do that?@@learnspreadsheets
Hi David, I had the new outlook and accidentally clicked the button to go to the old outlook. Now I can't get the new outlook. Can you please tell me how to get back to the new look? Thank you.
You should be able to see the toggle on/off for "Try the new outlook" wherever you are, but there is a chance that things have been disabled by your local admin
my outlook is updated to a new version, how to revert back.?
You should be able to see the toggle for try the new outlook. Switch it off & you can go back
Hello how can send email merge via new classic Outlook
Hi this should be possible yes as you can do it via outlook online
I was recently able to BUY MS Office 2021, which has an Outlook module in it. I am a Veteran and was able to buy a "lifetime license" to this s/w bundle as a One-Time Cost, including another copy for my wife, at a discount. That was through GOVX. It also enables me to NOT have to renew my "Annual Forever" COST of MS 365, and get rid of that. I'm assuming that this Outlook 2024 program would cause me NOT to have to use the Outlook module in my new Office 2021 bundle. Personally I'm just not a big fan of Microsoft at all!
If you bought Office 2021, then you'll keep the classic version of Outlook yes. We assume Office 2024 will be released next year but unsure what that will have for Outlook.
I am suffering with my company because of this new outlook
I lost my add ins and my email history and I can’t get the classic outlook back 😢
Oh no sorry to hear, I’m not such a fan of the new outlook either myself
Has anyone noticed there is an issue with the spellcheck with the new outlook? Meaning, it will underline in red the incorrect word but that's it. Please don't tell me I am the only one experiencing this Issue
Thanks for the feedback, I haven’t seen it myself
@@learnspreadsheets Wow, that’s odd.
It only offers other spellings, and will not allow editing. You have to delete and re-type. Different to any other spellchecker- thanks, MS! Much better if they spent their time on all the bugs and errors...
This video is out of date. I just tried current Outlook and a lot of these features are gone. I tried blocking e-mails, but it didn't stop them from being received again.
Hi I’m sorry but I am almost 100% sure that outlook has not removed any functionality. & use the blocking feature quite regularly on the classic outlook. Are you referring to the “new outlook for windows”, the classic outlook for windows or another version? & which features have you not been able to find.
can I go back to the old outlook on my laptop?
Yes you can toggle the “try the new outlook” button on or off
I can't find the message recall in the new outlook - is anyone else having more luck?
I don’t think that made the cut. But I personally also found that feature to be very deceiving, it often didn’t work
recall feature is there .from sent folder , open the message in pop up window .you will see recall button in menu . once recalled the message will be deleted from recepient inbox.
How can you add email account name to each email address?
You should be able to from the account menu
There is no option in the account menu to add account name
Recall message options are gone
Yes that’s true, personally I always found the feature too confusing… it sends an email to say it’s recalling & only works inside the org
notes won't stay once repaired, it keeps going away in the new outlook
Oh strange, I didn’t test notes. Must be a bug that will hopefully get fixed soon
Conditional Formatting is missing
Yes notably it is
I prefer the darker tone colors in the old version, its has more contrast.
Interesting point, I can see that
The more I use New Outlook, the more I dislike it and am seriously considering moving my comp[any to Google suite (hope MS is reading this). I cannot open a pdf attachment in my preferred pdf reader with New Outlook. Am I missing something or is this the case? Just one of many of the conveniences "old" outlook had that has been removed
I sort of hear you, I think the New Outlook is missing some key aspects sadly
Where is the improvement?
There are a few New Outlook only features for I cover near the start such as pin, sweep, the AI enabled check whether you missed a task mentioned on an email, but I agree there is a lot that is lost in the switch.
@@learnspreadsheets But where is the improvement?
Yes. The destruction of "Tasks" destroys one of the best features of Outlook that made it more than just a mere email letterbox and diary. If Microsoft keep the changes coming I will close my Microsoft account and just stick with Gmail...
this does not explain how to collapse emails (not expanded) in new outlook
Hi thanks for the feedback, sorry but I cannot cover everything there is in the app in a short video. Conversation view (if this is what you are referring to) is available on both versions & you can switch it on/off in outlook options
new outlook is complete trash the 'new' features should've just been added to the desktop program. >.
Thanks for your opinion, Microsoft is aiming to share the same features across Mac, windows & web & this new outlook approach is the best way to get there, but I see where you are coming from that there are problems
HATE! HATE! HATE the new outlook. I find it cumbersome and hate the look of it. Original outlook look cleaner....more user friendly. Plus.... all of a sudden, when I am typing an email, it populates text that it thinks I want to use and then freezes. What the hell???? I don't want it putting words in my mouth! Trying to figure out how I can make that stop. I wish they had left the old outlook alone. Do developer just sit around thinking about how they can mess up our lives and make things even more confusing?
It’s got pros & cons but yeah it’s got some annoying things… you can make the predictive text stop though, instructions are here: support.microsoft.com/en-gb/office/editor-text-predictions-in-outlook-cb228dd2-029f-4142-a6f1-b9eb5fa375cd
HOTMAIL was SO superior ... MSFT ruins Everything it "buys" or "borrow:.
Lol agree, I was a Hotmail og subscriber too 😃
I want to use Copilot but it’s only on the horrible new Outlook. Absolute garbage!
I feel your pain! I’m in the same boat. I still won’t switch though!
I so much dislike Microsoft's products. Paying money for all the frustrating glitches is a total mess. Does anyone know another company that offers Office Suites besides Microsoft? I think it's time to show our dissatisfaction. A "nightmare is putting it very mildly, Salman..
Sorry it's not satisfactory. Google Workspace might be something to consider if you want an alternative or Zoom Workspace.
Full of bugs! Keeps launching extra copies, mail you have read (gmail) goes back to unread, deleted mail returns, Sent items are later found in the drafts folder... And you get ads.
Sorry to hear, fortunately the classic Outlook is still going strong
@@learnspreadsheets To which I have returned. Faster, cleaner, and works. Now all I have to deal with is the constant nagging to 'upgrade'...
