    Wow! This is awesome! I had a bit of a meltdown today because I was so overwhelmed with my bookkeeping. I have dyscalculia and some PTSD over mathy things. I'm going to have to watch this many times. Thanks for this!

    At 59 and retired I enjoyed your video. Wonderful video. I have been using Excel for years on an old HP with windows 7 😆 and just bought a MacBook Pro 14 so my mind is blown. Took me half a day to watch and take notes then create as you did. I have watched some basics on Mac so I loved the challenge of all the simple things like copy paste etc and when to 2x clicking columns!! Looking forward to watching more of your videos.

    I think it is great that these videos are so unpolished yet so informative. Being a longterm Microsoft user and converting to Apple products, the transition has been enlightening and while Numbers does everything pretty much that Excel does it doesn't feel as intuitive but maybe that's over familiarity. Keep up the good work.

    I have used Microsoft Office for many years and I was curious to see how feature rich Numbers is when compared to Microsoft Excel. I don't have a Mac as yet, but I think that Numbers will definitely meet all of my needs if I decide to purchase an Apple laptop. Thank you for the excellent video!

    How do you add a recurring expenses / fixed costs such as insurance premium or software subscriptions (that use automatic debit payments)?

    Gary ..you're a pro..What I would really like to know is how to protect formulas so they don't accidentally get deleted by a novice user...Also using a iPad you lose a lot of functions or they are really hidden well..

    Hey Gary! In ONE WEEK, I went from meltdown over bookkeeping with paper to a fully built spreadsheet! I have a General Ledger and a Profit & Loss summary sheet with totals both for YTD AND a Running Total! Now, Can we make it play a "Ta-da!" sound or event when I click that it matches what the bank has? 😁🤣 Thank you SOOO much!! -G

    Hi Gary, excellent video! Thank you so much. I had a quick question regarding cell 'total 1' I noticed the amount does not change depending on the year. I wondered if you/anyone else had the formula for this so it changes depending on the year? Many thanks

    I can't thank you enough for your help. I created one following your footsteps. What's the best template for a tiny nonprofit ? How to make a 'statement of activities' in numbers? Please guide. I am 0 level learner and have the need of doing bookkeeping as I have a nonprofit with almost zero income but have to keep the records.

      There is no one-size-fits-all solution. Each business has different needs and each user has different abilities. If you really want to build your own (as opposed to using an accounting app/site) then you've got to come up with a spreadsheet that is customized for you. You can always work with a bookkeeper or accountant on it and let them help you.

      Have a year column and a month column. Add two filters, one for each column.

      Create the template as you like and there is a command in the File menu to save it as a template.

    Hi Gary. Thanks for all the great videos. I added an image of a receipt to my business spreadsheet cell to correspond to the entry but I can’t subsequently open it to see it again when I need to. Any advice? Regards.

      If you added an image to a cell it is now just the background of the cell. That's all you can do with it. A Numbers spreadsheet is no a good place to "store" receipts. Instead, just put the well-named file in a folder in the Finder that contains your receipts in case you need it. This will also save you from ending up with a massive Numbers file.

    Gary, thanks so much for sharing your expertise! I downloaded the file you shared but discovered I am getting an error when adding subsequent rows in the "Is Year" hidden column. The formula is not following down the column and is instead marking the cell with a blue triangle note which says "The formula was replaced with its last calculated value."
    Why is the formula not continuing to function when rows are added and how can I correct it? I have to recopy and re-paste the formula to subsequent rows as a work-around.

      Remember to turn off the filter before adding new rows.

    Sumif does not populate after entering in conditions (for me at least.) It leaves totals at zero. I used sumproduct instead.

    Thank you for the great spreadsheet. I am having trouble with 1 thing though, every time I add a new row, a blue triangle comes up in the “Is Year” column. It says it couldn’t copy the formula. Is there a fix for that? The only fix I have found is to copy and paste the formula into that particular cell

    Hi Gary, great tutorial, thank you!!
    I have a question about the functionality of a formula within a cell when the filter is on.
    When adding a new row in the Expenses table and the “Text is true” filter is turned on, the true/false function “a=b” in the “Is Year” cell of this newly created row appears broken: “The formula was replaced with its last calculated value.”
    I noticed that when turning the filters off this does not happen.
    Is there a way to make the a=b formula work when having the filter on? Maybe a tweaked formula of some sort? This would make the table more workable in the future when I have years of input in the table. ;-)

      No you should always only add rows when the filters are off.

      You can set it up any way you like. Use this video to learn the basics and then expand on that.

    One year late, but I did enjoy and learned from this video. I do have two questions. 1) In the cells with a formula in it, how do you protect them from a user overwritten them? 2) On your summary table, if a new category is added in the detail tables, can that new entry be automatically added to the summary table?

      1) You can't lock a cell, only a whole table. 2) You'll need to add it to the second table yourself.

      Yes. You can build it that way. You can just use the Find command in Numbers, or you can create something more complex with formulas, filters, other tables, etc. It depends on your spreadsheet skills.

    I use NUMBERS app once a month for Inventory for a place I work at. My father has a nice graph sheet of each coin detailed on every line using the BLANK template (NOT CHECKLIST) Now, I want to know if theres a better way to add a picture of the coin on each line without having to take up 3-4 lines worth which makes the graph extremely stretched out & long.

Fro some reason, on the SUMIF I am able to do the formula, but it comes up with 0 on the Office expenses, however when I copy the formula, for the other lines, it works perfectly well.       Check the cell references carefully. Make sure it is referring to the correct cells.

    Hello, Gary. A couple of years ago, I watched you do a different video on a basic business spreadsheet. I can no longer find it on your channel. Specifically, I remember you setting up the spreadsheet, and then you created a column called the Due Flag and its input was either a 0 or a 1.       Not quite sure what you are asking. Seems like a basic business question. If the price you sell something for is "retail price" and the price you buy it for is "cost of goods" then subtract the second one from the first, right?

      Depends on the bank. Usually a bank should allow you to download a CSV file. Get that and you can open it in Numbers. Then copy and paste what you want into your own spreadsheet.

    I have a question. Is it possible to have pop up menus depending on an entry? Let’s guess for example I choose the category “travel”. Then on the adjacent column I would like a subcategory pop up menu where I could choose among train, airline, car, etc...
    Or if I’d selected the main category as “meals”, the subcategory popup menu would be updated with “restaurant, takeaway, pub, etc...”.
    Is this doable?

    If I want to have a separate spread sheet for each month of the year, is it possible to have them there where you currently can select to view Expenses, Income and Summery? Like the first option would be to select the month, then either expenses, income or summery?

      Not easily. I would recommend against separating things by month. It will make all sorts of things more difficult. Just put all of the transactions in a table together.
