Is QuickBooks a good idea for your church?

    Thank you for your video. We're a fairly new church plant and have been logging everything into Excel. I want to change our church over to quickbooks. When talking with the rep from quickbooks it became more frustrating than a good thing because he shared so many different options to go with, that I didnt know which one was the best. Any thoughts?

      I normally recommend to churches to go to TechSoup and get the online version of QuickBooks for $80/year (www.techsoup.org/intuit). That seems to work the best for most churches.     Hey Jeff - I'm Jeff Hopkins investigating QB for our small church here in N. Georgia. I'm the IT guy here at Zion Baptist and our folks want to install a Desktop version of QB and enable 2 people to work on it....one of our parishioners is an long time QB user and prefers Desktop install vs Online. It seems to me QB has moved to subscription model vs local install - any advice on how to tackle this? Thank you.

      I wish they would reconsider the online version. They can get it for $80/year through TechSoup. It feels like QB is trying to phase out the desktop version. I've looked at how to setup up the desktop version on multiple computers, and it looks complicated. Maybe it's not as bad as it looks but here's QB instructions: quickbooks.intuit.com/learn-support/en-us/install/sharing-the-desktop-version-between-two-computers/00/253217
      As a workaround, I have had churches that will just backup to Dropbox or some shared storage. Some churches would just use a flash drive even. After a user is done, they backup to Dropbox. Before a user begins, they restore from that Dropbox. The risk is that someone will not be working from the most current backup.

    Thanks Jeff. So I am taking on a church bookkeeping client. I use QB Desktop. I have never worked with a church before. How do you handle all of the "funds" that are in the general deposits but need to be broken out by what fund category they are., ie. building fund, benevolence fund, etc. within the bookkeeping? They are moving from a church based software to my business and their financial person retired so they came to me.

      Hey Jeremy, my preferred way is to track these funds in Equity accounts. For the donation, instead of using a revenue account, credit the Equity account. When you pay them out, don't use an expense. Use a the same Equity account. This allows you to keep track of the balance. This video may help: ruclips.net/video/jJZZX6ZhmNI/видео.html

    Thanks for the info Jeff. We have a small 501c3 ministry and we are seeking bookkeeping software. Currently, we have no payroll, only Pastoral insurance and some housing allowance. What would you recommend for our small ministry? We have an accountant if needed, but we are trying to keep our expenses down, so i am willing to tend to our church books w/o charge. Thanks for you help. PS - I do use Quicken for our current church finances and i do have a background in accounting, many years ago. Blessings, Pete

      With no Payroll, I have used QuickBooks Online for $75/year. You have to order it through TechSoup. I've seen people use Quicken with success. The other one that I've used for years is Wave Accounting. This one is made more for small for-profit businesses, but can also work quite well for a ministry and is free.
      With one client, I started with Excel. Once they survived the first year, I moved them up to Wave Accounting. This year I'm moving them up to QuickBooks Online as they are growing quite rapidly. I hope this helps.

    Do you or anyone have experience with getting more reasonable priced insurance for your church? I'm in a church with approx 75 active folks, 4 employees incl. Pastor. Liability, property, workers comp., etc., costing 25k per year.

      This is becoming more and more difficulty. The main company I recommend is Brotherhood Mutual. They are usually competitively priced which I like. They also seem flexible to work with and understand the church world.

    Jeff,
    Please help. I have QB online and it already has all of my banking in the program, like the deposits, and that kind of stuff. But how do I assign a specific deposit to a donor? Does that make sense? I used to use the desktop version and it was easy because I manually entered all of the deposits and listed the people when I made the deposit. The online just automatically downloads from my checking account.
    I'm so confused.

      Ezra, I usually enter the deposits as usual (Go to New >> Other >> Bank Deposit). There you can put who you received it from. I then go to the banking where it will show that I can match it to the bank transaction.
      The other thing I think you can do is click on the bank transaction (not Confirm). It will then give you the choice of "Categorize," "Find Match," or "Record as Transfer." If you choose the Categorize radio button, it looks like you can enter in the donor and account/category. If you click "split transaction" which right above category, you can break the deposit down among multiple donors.

    Hi! Is the techsoup verification process only applicable for churches in America?

      I'm almost positive it's only for American churches as you have to be registered as a charity with the US government (IRS). Sorry! Not sure if there is any company out there besides Tech Soup that serves those outside the US.
