I bought this template Yesterday! Worth every penny!! - but I really confused by the difference between life buckets and workspaces, and what’s the difference is for notes and resources? - do you want to make a video on how you use it your self, maybe with the thought in mind to use more synonyms ore different explanations? - I think the language differences can make it a bit hard to fully understand the meaning of everything :)

100% - and the template is actually relatable (pun intended)
Attention: Notion Calendar won't add the tasks to the calendar since the database doesn't have a Calendar View on the root database.
To fix that, open the "My Task List" source database page and just add a calendar view. Just did that and it worked for me.

This is really nice and well done, but I do wish there was a goal management section. Such as 3 goals for the year, then broken down into quarterly, monthly, weekly (whatever) tasks or projects that you can make progress on along the way. Then each month and/or quarter, review the progress, what went well, what didn't, etc.
I feel motivated as soon as I hear your voice. Is this the operant conditioning you were talking about in an earlier video?! 😂

Great template! I am setting it up as I'm writing this comment. :) Quick question though, I have recurring tasks in my workflow. How do I implement them in your system?
I love this so much and just purchased it! Thank you! Is there a way to edit the new project template to auto-fill tasks that I always include? I'm finding myself re-entering the same 7 tasks for each client project and would love to streamline that if it were possible. Figured you'd know if there was a way :)
Each project contains many tasks to calculate the route. It is better to write down the tasks. But the problem is that when you have 20 tasks and you write them down, everything appears in my TASK LIST and it just overwhelms your brain

I’ve been binge watching you channel for a few days now! I’m excited to download this template and get organised. A couple questions:
1. I want to use this for work and life tasks. For certain work projects I have sub projects and for each one I may want to add notes like what I did to complete them, outcomes, meetings notes, links, etc. Currently i use them in a folder with multiple sub folders. Is there a way to do this on this template? I don’t want them to necessarily be associated to a task because I don’t want the notes to go away when I complete a task or a project.
2. For certain life tasks, I may want my partner to complete a task. Is there a way to add him to certain projects so he can also view outstanding tasks, and also create like a tag for him, so i can tag him to tasks he can complete?

What’s the best way to use the “share to Notion” feature on mobile phone? My previous second brain stored it in an all notes database. This one seems to just want to add it at the end of the page of Headquarters, quick note etc.

I bought this a couple of days ago and it is so motivating to find something that someone has thoughtfully put together which is slick, clever but not overwhelming. Thank you! I have a couple of questions about how to personalise a few things. I have managed to do it with the buckets and workspaces and even added another "state" alongside Easy, Quick etc... but, for example, I want to add a section in the daily journal about how I ate each day (e.g. healthy, snacked too much, etc). Can you assist or is there someone I can email for a bit of techy help to figure it out? Also I'd like to work out how to add more habits than the 3 options that exist. Any help appreciated but I love the template and bought the playbook too!
Hey! Thank you so much for the purchase. To add to the daily journal, just click on the database dropdown (next to "new") and click on the 3 dots next to the Daily Journal. There you can edit the actual template :D
To add more habits, just click on the same spot and add new template :D Then have your new habit there as a "template" :)
This came in at cosmic timing. I had set out to create a productivity system of the ages but this just dwarfs anything I could've come up with.
Only some slight asks :
How would one go about connecting reading apps to this ? Like readwise and kindle ? (I'll see if I can do that, shouldn't be too hard)
I've also been making use of habitica for pure habit tracking it would be nice to integrate that somehow. That's the plan anyways.
I really like the obsidian makes a web for all your ideas and connections I hope notion adds that someday.
OH, whilst I'm spitballing. I kind of abandoned todoist just now. You can easily build it in notion and hiding notifications behind a paywall is kind of crazy. One thing I do love about it is the graph. Now streaks aren't that important, they can be slightly toxic but they are fine. What I appriciate is the graphs. Love graphs man, it would be sublime to have Data visualisations. Imagine with the fitness section it takes your workout regiment into account and you can display how many pushups you did total.
Kinda like seeing your stats in a game [27 workouts completed this Month | 90 000 calories consumed | 1.24kg gained] or just like [156 task completed this month]
You can see why I like habitica.
All this seems like a surrogate activity though, I can't even imagine how to build this. I gotta make use of formulas and stuff to make loading bars and such sheesh. Overcomplicating it before I even begin.
That said I'll just adopt yours and build out slowly.
Only annoying part is that I have to revamp/reorganise my old system to fit in yours.
Thank you for all of your hard work, I've been at this fully for like 4 days in a row and hardly got anywhere relevant. I can only imagine the hours of study, research, course taking and experimentation all this took.
Can't wait to maximalise it (I love minimalism as much as the next guy but I need strong visual cues), its going to be a good procrastination session setting all this up in notion.

I got the template today and have been working on it for hours. Might be a stupid question but I'm having trouble distinguishing between Workspaces and Life Buckets. Also it would be very helpful to have a tutorial for how to move my current projects, notes, etc. into this new area. hey! First off thank you, glad that you like it! But yes fair question. So Life Buckets is areas in your life. Workspaces are just ways of viewing specific data. It's taking info from your Life Buckets, Tasks, Journals, etc and showing them in specific use cases. Hope that makes sense! :D

no plans on updating tbh. I've used it for a long time (since before launch obviously haha) and I don't see a need for any update soon. But, I am working on other premium templates :)

I personally have it connected with Notion Calendar, which then automatically turns that into minutes. My "time tracking video" shows how to implement that. Or (already built in) you just fill out the time manually :D

Yes you could add a "dependancies" property in the Notion database. Or just add all the tasks to the relevant project & bucket and then tick them off in there :D

Great template, loved how simple and effective it is. Can you please share your thoughts on using it as a personal CRM? Say if we are reachnig out to a bunch of contacts for career growth. I am thinking on lines of creating resource for each contact, say with a resource type as contact, having a note for each resource to record status and then have usual tasks and projects to schedule communications. I dont see an easy way to track communicatin history witha particular contact apart from say, having a project for that contact or having notes attached to resource (contact created as a resource).

Killer video templatel looks solid. Channel seems promising. I'm looking for a template more oriented towards the creative process of churning out outputs based on my inputs (Something to manage a newsletter and multiple social channel outputs) so this probably isn't for me but because you seem pretty efficient with this type of stuff wanted to leave that feedback, probably the next evolution of your templates, some sort of creator OS.
building a creator template for that as we speak :) this Headquarters template is for personal Productivity. I thought was most important tbh and would have the biggest ROI in someone's life. But yes, I'm building one specifically for content creators which will be my next big template :D

Question?? If I was to use Notion as my main database for everything, including my coursework that I know I will regularly need to refer back to year in year out for my work, if Notion decided to end this software. Is there an option to currently export the information somehow?? Does that make sense? I'm struggling to commit to Notion with this unknown.

Quick question...we do client work and I'd love to know how you or anyone else thinks is the best way to add in clients so I can track projects, tasks and resources by client as well as create in depth notes such as client overviews and track client meetings and notes.
hey! great question. This is ideally set up for personal productivity but can definitely work. I would have your business be the "life bucket" then each client be a "project". Then you add client tasks to the associated project. You could do client meetings as "notes" and then they'll get stored on that page. Plus remember, on the Projects page you can add anything else you want :)
A question regarding the "Completed this Week" and "Needles this Week" in Journals (at 21:00): Do those actually stick to the week a journal was created?
For example: If I look at a journal from three weeks ago, it shows me in "Completed this Week" the tasks that I completed this (current) week and not the ones that I completed three weeks ago. Is that right?
One important question about my data.
If in the future you update the template to version 2.0, what happens to the my data I inserted from version 1.0, will it remain intact?
Great product, I’ve watched this video 3 times and slowly implementing. Question: i have multiple businesses so my question is can i make a duplicate of the business bucket so that i can select the right business for that task? Or would i filter the tasks and create a project for that business?
Hey! Great question. You just click "New Project" and all the settings get set up automatically. So all 3 businesses will have the tasks, notes and bottlenecks :D
Or make these 3 "Life Buckets" and just click "new bucket" and then all that gets set up automatically as buckets :)
This is perfect for individual use, but I would love to see a version of this for small teams.

Hi. Do you need Notion Plus to fully use this template? I'm a free user, and I bought this template and some automations seem not to be working properly. For instance, when I check one of the tasks it doesn't disappear, or when I add a not-urgent-not-important tasks they just get added above urgent and important ones.

Question 2: why tasks have to have a Bucket when I assign to a project from the certain bucket? Then I don’t want to duplicate the action to associate task with the bucket again🤷🏻♂️.
Question3: why there are notes and resources as a separate databases? I found it quite confusing that I don’t know where I save what. As after moving from Evernote I used to use notes only. But maybe it has some reason which i don’t see 🙈✌️

1. This is the same as the first version :) Just an updated video for 2024.
2. totally fair! sometimes tasks have buckets, but no project. or sometimes projects with no bucket. so it made sense to seperate them otherwise they'd always need both, even if it wasn't necessary :)
3. fair question! Notes are typically 1 time ideas that you want to jot down. Whereas Resources are stuff like Books, Videos, etc that you will want to come back to many times.

I wanted to ask if you were gonna drop an updated financial tracker template to implement the new features and simplified version for notion?
I have a long course that I want to complete, I considered it as a project and listed all the parts of the course in the tasks of the project. It is 21 parts, each passing part is one task that requires FLOW. But now every time 21 parts of the dashboard tasks pop up and it bothers the eye. What can be done? Is there an Archive by any chance?

All Notion templates are responsive, but even better; I've made a page called "Mobile HQ" which is like a lite version for the phone with only the must-haves for your mobile. You can then add that specific page as a widget to your phone :)

Hey there, when i create a task, i do not see the Habit fields as well as Journal Entry, Weekly Review etc. I just have the task fields to fill, but can't quickly add the habit for example. Could you help out? Thanks. (I bought your template by the way)
Hey :) that's sometimes an internet speed thing. As a quick fix, just change the default template to be the "empty" option instead of "untitled" and it will work instantly :D

hey :) No definitely recommend keeping everything in the 1 database. I actually have a seperate video on why all your calendars should be as 1 single calendar / database :)
I wonder if it takes more time to fill out each tasks details than it takes to complete tasks labeled as "quick". 🤔 I do want to try using the "State" categories for my tasks and see if they help. Thanks!
haha maybe a 2 second task yes, but honestly once you've filled out the properties like three times you can then do it in like 2 seconds going forward as it becomes so habitual :)
[25:00] I am confused why "Add Gary as a Reference" is a Note and not a Task. What's the diff btw Task, Note, and Resource?

@@ProductiveSetups one more Question for weekly review. for example. the first week, u create a first weekly review and then a week later, u gonna create the second week weekly review too. so when we want to go back and review the the first week weekly review, the tasks is the same as the second week weekly review or each week's tasks is specific to each weeks (not change). Are the items on resources also shown in the projects / tasks? Or are notes shown only? I.e. your project "get a new" job - wouldn't it be very helpful to have also relevant resources linked there (article for best job seeking advices etc)?
Hey! good question. Just the notes are in there. Typically resources like books, webinars, etc will become too messy to have on each project & life bucket page so I thought it'd be best to just have notes. But you can see resources on the resources page and the topic of interest page :D
Well, I can understand your approach. But when dealing with my projects I really prefer to have my important resources at hand and not to open like a different category for it and search there and then jumping back in again. That is why I asked if those are also visible in pojects and buckets. If this will be done in a future iteration - then count me in as a buyer and supporter. Aside from that your template is great, but for me that feature would be crucial for a purchase.

Great template. I miss a "Client" database tbh. I need to know who ask for that task or proyect.

I have watched a few of your videos. From what I can tell, your templates are geared towards ADHD which is good for our team but also seem to be specific for personal use. Can you please recommend a template that would work for a small team? Or if you do projects for hire, please let me know. We are in need of an expert to build a database for us.

the routine button just spits out your Habits & Tasks that you've added to your Routine button :) so if you add a few tasks that you do often, you can click 1 button and they're all created in 1 go :D
How can I use this template to manage multiple clients in my business?
each "Project" could be a client :) then you can easily track how much time you spend per client :D

what about goals for Quarter or for a year
I'm a believer in turning Goals into Projects. A Goal is a Project, that contains Tasks, that contains habits. Goal of Running a Marathon becomes the Project of Running a Marathon with very clear Tasks and Habits like Run everyday, etc :)
How can i make this all by myself will there be a guide in future ?

How can I short cut to Mobile HQ on my ....mobile?
iPhone: download Notion app, edit home screen, tap the + button, from the widgets menu tap and search for Notion, tap edit widget and choose which page you would like the widget to display
Android: download Notion app, on home screen long press the Notion app, then tap Widgets, drag the widget to your home screen, tap the widget and choose the page you'd like to display
What do you do put tasks that are pending someone else’s input? (E.g. I wrote my draft, and now someone is reviewing it before they send it back to me process more.) Consider adding an area of things that are not directly on your plate, but not “checked off” either.

When I try to add a new item to the week's tasks, this new item does not have the options on the bottom like you show here. Is something missing? Do I do something wrong?

@FrankVoce I had the same issue where I couldn't see the database templates at the bottom when I click add an item ("Habit 1, Journal Entry, Monthly Review" etc). @ProductiveSetups replied my email suggesting it's most likely my internet speed and I could use the work around by clicking the "New" button with the dropdown.
I tried to troubleshoot and I highly doubt it's my internet speed since I have fiber (also check developer tools for network speeds, did Notion reset for Chrome browser by empty cache/hard reload) and I've opened other Notion database where I could see their templates just not ProductiveSetups second brain.
Something else is off, I just don't know what... Greatly appreciate if anyone can share their thoughts since I really like ProductiveSetups approach of second brain where he centralize everything around the calendar. It's a minor inconvenience but nevertheless disappointing.
I finally figured it out. I must have accidentally changed the "New" drop down default. When I switch from "untitled" to "empty" now I see all the database templates that came with the database.
I had already purchased the headquarters template, what's different from the previous version in this one?

Not a problem! :) Add a couple of "quick tasks" first to your day and then tackle the Eat the Frog / the One Thing task, after them :D

dont really get the difference between tasks and projects and life bucket🫨🫨
Tasks are the individual actions you need to do (things you'd have on your to-do list). They fit into a Project and those Projects fit into Life Buckets (your big overall areas in your life).
For example:
Bucket = Family & Friends
Project = Plan mum's birthday party
Task = order a cake, buy balloons, etc
Another example
Bucket = Job
Project = Sales Report
Task = find relevant statistics, format document
