  • If you’re sharing sensitive or confidential Google Drive files, a good safeguard is to disable the download, print and copy options. Click play to learn where to find this feature.

    Hey Samantha 👋, Can you please tell how to prevent someone taking screenshot of our drive 😕, Cuz it's not working with the method you explain in this video

    I cannot see the option( from the cog icon ) to prevent from download, copy and print.
    I only have one option which is editors can share…
    I am trying to share a forlder to a colleague as Viewer only and would want to restrict downloading, printing and copying
    But I dont have that option:(
    What do you thinj is missing?

    • @heysamanthagarrett
      @heysamanthagarrett  9 месяцев назад

      Hey there! The option is only available on files, not folders, so that is why you are not seeing it. However, if you're using a Google account for work (Google Workspace) and you have access to Shared Drives, you can create a Shared Drive with this setting enabled. Hope that helps!

    • @heysamanthagarrett
      @heysamanthagarrett  7 месяцев назад

      Hey @@shairaslifestyle! The only other reason you don't usually see this option is that you're not the owner of the file you're trying to restrict. As a test, I suggest creating a new Google Doc in your My Drive and seeing if the option is available for that. This will help us figure out if it is a broader issue or a file issue.

    There's no longer the second option there. Just that editors can change permission choice. What should I do?

    • @heysamanthagarrett
      @heysamanthagarrett  Месяц назад

      Hey Rachel, it may be due to the type of file you're trying to use it on, or ownership of that file. Usually those are the two culprits when it doesn't work.

      Hey there, it is not possible to configure this setting at the folder level, only the file level. And yes, be default, people who have view access to files can download them too.

    Thank you Samantha. Considering the following use case. I'm sharing a folder. I restrict download and print for the 3 files in the folder, the same way that you describe in this video. However, the user can still download the whole folder which is shared as viewer.
    How do I disable the download of the full folder as well as the files?

    • @heysamanthagarrett
      @heysamanthagarrett  7 месяцев назад

      Hey there Rebecca, unfortunately you can't restrict the whole folder being downloaded. However, if you're using a Google account for work (Google Workspace) and you have access to Shared Drives, you can create a Shared Drive with this setting enabled for all files AND the top level shared drive cannot be downloaded. I also wonder if when the user attempts to download the folder, the files with the restriction will be omitted from the download. I've not tested this yet, but am happy to do so and let you know!

    • @heysamanthagarrett
      @heysamanthagarrett  7 месяцев назад

      Hi again Rebecca. I have tested this scenario and can confirm that files within a folder that have been restricted from downloading do not get included in the export of a folder download. Which is good news! When you attempt to download the folder, it shows an error that all files cannot be exported. The error actually incorrectly suggests that the files have a virus, which isn't a great user experience. But nonetheless, the files cannot be downloaded. Hope this helps!

    Are you able to allow someone to edit but not download as well? For example, an inventory list that has a column for the client to type in how many of each product they want to order. Are you able to prevent them from saving the file offline and keeping on their drive?

    Is there a quick way to secure an existing GooglePhoto album by going through the same process? I notice I can do this with GoogleDoc or GoogleDrive, but not GooglePhoto....is there a way to accomplish this? Thanks

    • @heysamanthagarrett

      Hey there! Google Photos content is handled differently, as you've noticed. To check and change sharing settings, open the album in the web interface, click the three little dots button in the top right corner and choose Options. To my knowledge, there's no way to prevent people downloading content in shared albums though 😞
