How I use Notion as an Architect

  • 0Confused as to how to start using Notion for architecture? I share my Notion workspace + the templates I use as an architect to track my weekly schedule, tasks, and projects (both personal + professional). I've chosen Notion and its minimalist UI to store + organize all of life's information. In my studio, Notion has replaced Trello, Todoist, and Evernote...it truly lives up to its "all-in-one workspace" reputation.
    As a productivity and project management tool, Notion is intuitive, capable and infinitely flexible. It's a blank canvas that can be almost anything you want, which is both a strength and a weakness, especially when you're just getting started and unsure of how best to set it up.
    In this video I'll teach you how to customize your workspace to suit your needs and a framework to begin building your own. I start by walking you through the basics of Notion's visual editing tools and then move into more advanced functions to create intelligent task lists, meeting notes templates, SOP's (Standard Operating Procedures) + WIKI's to help save you time in the design process. The project track brings it all together in one dashboard where tasks, resources, schedules and meeting notes are collected and shared amongst team members, both in-house and remote.

      I`m in love with notion but I've run into the Issue of Printing your regular Gantt chart for the meetings with the Construction Crew. How do you set up your construction schedule or is this not done by the Architect in the US? I find that the Notion Timeline view is not up to the task. Greetings from Germany.

      Question for you both...It has been 2+ years, are you still using Notion? Or was joining notion just part of a trend a lot of youtubers jumped on that did not have actual longevity in the workplace?

    Nice to see how you use Notion! I've started using it about a month ago, and I love that I can now have everything that I was used to (Trello, Evernote, Todoist, etc.) into a single platform. Definitely going to check your templates! :)

    Eric absolutely Love that, I’ve actually been doing a similar version of this on trello...but linking back to files in Dropbox and linking to improvement notices which just become part of a master trello check list template. Like the fact you can do everything in one place...

      I always use R00 (revision zero), R01 (revision one), etc. And dates right at the beginning of the filename, written in YYYY-MM-DD format, for the newest files be top on every list.

    Thanks this video was extremely helpful! I have been using notion since 2019 for other aspects of my life but just started using your template for work in January 2021. The video is very insightful, but going through the process of dissecting and understanding your template gave me incredible insight into ways of using Notion that I had not even considered.

    By far the easiest and most intuitive tool for note taking. Love it !
    Although I haven't started using it for schedules and stuff, yet. Will have to try them out.
    I mostly take class notes with toggle tabs.
    its so seamless, it can use it on my windows PC, my Mac, my iPad, my android phone. You name it. Comes handy especially during quarantine time, when you are sharing devices with family. Its less concerning when it happens, since the interface remains the same on all platforms.

    I just downloaded Notion Wow!! What a program. I just have to let you know that I just registered for classes for a cad drafting program. Lots of math and CAD drafting classes. I am going all the way too Architectural Engineering. I know I can do it. Have been doing something architectural since I was 8, in class, I was drawing floorplans of vacation homes that I visited during the summer with family. Never stopped. I watch your channel all the time. Thanks for you information.

    Eric just wanted to say I found this extremely useful. I started diving into notion about year ago +-. I was exploring this in school and I found it was vast and endless, so I had to stop because I was creating in notion and not so much in the class...I think many will find this beneficial especially from a small business aspect as well and incorporating into one’s workflow. During the video you had mentioned your network. Have you thought about doing a short video on that in a small business setting? Do you keep it separate from home or is it all timed together? Look forward to upcoming content. Ps. How was the Slipknot Unsainted? They are from around my hometown area so I have been a big fan for some time, same with Mudvayne.

    Eric,, excellent information as always. As an architect sole proprietor myself, I understand how all of the necessary tasks need to be organized, prioritized and addressed. To be honest, I am old school, and though I find Notion intriguing, I still rather write tasks in my notebook with a pencil or pen, 70's- 90's style. Notion would just drive me crazy having to spend so much time with the fussiness and meticulous detail. I rather spend that time just doing the task. I enjoy your thoughtfulness and insight, keep up the good work.

    I use notion to review construction drawings for permit. It’s an excellent tool to add structure to workflows, keep consolidated and consistent records, and adapt with changing criteria. It really clicked after I learned how to nest databases.

    Hello Eric,
    I'm really glad I have discovered your channel and hope I can learn the most from it.
    I'd like to reach out to you (through this comment hopefully) simply to express my concern as a third year undergraduate student in architecture. Basically, I feel that, as a student in this program, there are truly a lot of competences to acquire in order to succeed both academically and professionally. I mean: hand drawing, computer drawing and modeling (rhino, revit, adobe suite...), model-making (maquette), oral presentation skills to perhaps the most important, problem-solving... And I can't help myself from thinking that I must master all of those skills to perfection or otherwise it means that I failed. When I have a new project to tackle for school, I become so overwhelmed with all of those thoughts that anxiety takes over and prohibits me from performing well. So what I'd like to ask is maybe, how can I become confident about the decisions I make when I start working on a studio project in order to move ahead? I hope that my question is clear enough and that maybe you'll see it.

    I've been playing around it since you posted this, It's overwhelming at the moment. Using Evernote for years, this feels like another language. Not giving up on it. Thanks for the post Eric!

      Stick with it! I felt the exact same way in the first few days...build some wiki pages and you'll see the visual organization system (I think) is cleaner and more useful than Evernote (I was a long-time user too)...good luck!

      You are not alone with that. I have helped many Evernote, trello and asana users move over to Notion and it takes time to get your head around how things link up. Very multi-dimensional.

    Nice intro, thanks. I highly recommend the bullet journal method for personal use. It’s far more like sketching and it’s a great way to capture the listen and watch list, and it’s far easier to manage over coffee before work. Also great for morning pages, etc.
    I rely on Revit as the project database as much as possible, but ms word is indispensable once the For Construction set has been issued. I tried to make Revit act like notion but that’s taking things too far from an OCD perspective, as well as for the team - not everyone is Revit savvy

One question regarding the Weekly Agenda template: are the tasks that you spread out over the days of the week parts of a larger task that is contained in the embedded "Upcoming tasks" table or are they reminders of the tasks that are in the "Upcoming tasks" table?

    Such a helpful video/channel, found your channel through searching for Notion tutorials (I'm a graphic designer) and now I'm currently watching your Outpost series videos - so interesting. I do have one question though, I've built a master task list, and then linking to that in project pages and filtering to just that project, which works fine. But I'm trying to build something like you've got for the weekly overview, but I notice that doesn't pull in any tasks? So my question: do you look at your task list, then manually add tasks again into your Mon-Fri/making managing section? Also, the idea of separating making and managing is a great idea, definitely going to steal that too.

    I looked into notion a few years ago, I settled on Airtable. It does the job, mostly in table form if you use the free version. This looks great and I need to look into notion again. I am curious to see how this looks from your contributors side. How much can they see/how do they see it/ how much control can you give them?

    I'd have question regarding the project property in the SOPs Meeting Notes: For some reason, no projects are shown to chose from (as it does in the Task list), just a blank field opens up. Would be great if someone could point me in the right direction here, thanks.

    Hi Eric, it's possible to drag the tasks from task list to the days you create in the agenda ? That would be amazing and it would be much easier organize the task for the week.

    ABSOLUTELY FANTASTIC ORGANIZATION SYSTEM! Thanks for the time and energy you've sent in order to share it. However, i would like to ask you these:
    (1) What will happen to you if, in 5 years time (for some reason), Notion is not available anymore?
    (2) Do you have any "exit" (backup) plan for all these information?

      Valid points and true of any software, right? You can export a whole workspace as HTML, PDF, or Markdown & CSV.

    thank you for sharing! quick qn: how do you set up the archive for the weekly agenda? is it a table that stores the weekly pages?
