How to Handle VIPs in formal events

As an MC, we need to know about VIP protocol in events especially about the greetings and gesture when the VIP is on stage.
Here are some tips based on what I have learned over the years.
Learn about the organization structure, both in government sector and private sector. In private sector, there is President Director, Chairperson, Board of Directors, Board of Commissioners and C-suite officers.
In government, in Indonesia, there are several government agencies that have the same level as Ministries. We better check and ask the client so we are not making any mistake. Particularly in government, especially during bilateral, multilateral, regional or international events, the structure is kind of complicated.
Make sure we learn in advance once we are assigned to be an MC or moderator or host for a certain government event. Don’t hesitate to ask the organizer about the VIP level. I would suggest we make our own greeting list beforehand, and have the client to check the call order.
The highest level of greeting is His Excellency or Her Excellency, and it may only be used for country leader until the Minister-level. Other greeting is His Royal Highness or Her Royal Highness. This is definitely for royal VIPs. Below Minister level, use The Honourable and then followed by Distinguished. Usually there is only one person to be greeted as ‘His Excellency’ or ‘Her Excellency, or ‘The Honourable’. However, if it is a multilateral event, where several country leaders are present, we will greet them all with the appropriate greetings, and the order is arranged by their status in the organization or we follow alphabetical order.
For speakers or resource persons, if the total is 3 people, we can mention each one of them. If it is a conference or seminar where there are numerous speakers and chairpersons or moderators, we can greet them all as a group. ‘Eminent resource persons’, ‘ Our remarkable group of speakers and chair persons’.
If a VIP is not able to attend and he or she is represented by his or her colleague or assistant, we need to address the invited VIP’s title, then we mention that he or she is represented by this specific officer and then we mention the name of the representative.
For very formal, moreover government formal event, MC usually does not introduce her or himself, both in the opening nor closing. We can mention our name in a more semiformal setting, such as luncheon, gala dinner or welcome reception.
When inviting the VIP to stage, arrange our script so the sentence ends in mentioning the VIP title and name. Wait until he or she walks to the stage before we leave our position on stage. Make eye contact and smile. If necessary, make a gesture to direct him or her to the right position on stage or toward the lectern.
During event, listen to the speech and be ready for any impromptu. Usually, we can sense when the speech is almost finished. Stand up and hold our microphone, be ready to make necessary action in accordance to the situation, even if it is not written in the script. For instance, the VIP might want to invite someone to the stage, to acknowledge that person’s performance. Maybe there is an impromptu Q&A session. Maybe we need to remind the VIP to be on stage for an official opening session or photo session.
For formal events, MC must not make extra commentary after VIP speech, especially if it is not in the approved script.
