How to Create Groups in Mailchimp

  • In this video, I show you how to create groups in mailchimp. This is part 1 of a 3-part series in which I review groups, segments, and tags and how they work to organize your mailchimp list.     Groups are used in Mailchimp when you want to categorize interests for your list of subscribers.
    In this example, I used Cars as the category, with 3 groups - Ford, Porsche, and Ferrari.
    When someone joins your Mailchimp list, they're asked to select any of the 3 groups of interest.
    From there, when you send out a Mailchimp campaign, you specify a particular group to receive it.
    In the next video, I'll be talking about Segments. Segments are like filters for your list. In the last video, I'll explain how Mailchimp Tags work.

    Hey, Larry, fantastic videos. I set up my three groups in the group section. Sadly they aren't showing up in the embedded sign-up forms like they do in the tutorial.
    This group video setup is for a onetime delivery. Will you do a video showing the set up for a series of email deliveries within the group? Thx

      See the automation video for automating a series of emails to a group or tag. For the embedded form make sure you can see the groups in the form on Mailchimp - you may need to check off to show groups.

    Love your videos. Always concise and informative. I have a question about MailChimp groups. Is it possible to automatically send emails only to members of a specific group only when a new post is added in a specific category?

      Thanks, Brian. Yes, you can. Take your category URL and add /feed to the end to get the RSS. For example, larrysnow.me/category/email-marketing/feed/. Then use the RSS automation setup in Mailchimp to send a new post from that category to the designated group.

    Hi Larry! Very informative video. I have a question, I have created two separate lists primarily because I wanted to be able to offer two different opt-in freebies to the separate groups within my audience. I am really wanting to simplify and merge these two lists into one and am happy that I can still segment them into groups. So my question is can I send unique opt-in’s to different groups?

      If you have a paid account, once a person opts in to the group through the sign up form you can send specific freebies to each group through automation.

    Thank you for the video, this is the only video i found that has explained this well but i have one problem. When i create embedded forms the Required field indicators can be clicked and checked on mailchimp, but not on my website. Also, can you help me with how to create an automatic notification on the same form for example "thank you for signing in" or similar

      Not sure I understand your first question - if it is a required field in Mailchimp, then it is required in the embed code. When someone fills out the form and doesn't fill in the required field it should say "this field is required". As to your second question, in the Form Builder, there is a drop down list called "Forms and Response Emails" one of which is the Confirmation Thank you page or you can set up the Final Welcome email as a thank you.

    Thanlk Larry - if I have created a group and want my exisiting ungrouped subscibers to opt in as to which group they would like to be in, is there a way of getting them to manually doing it and mailchimp automatically categorising them in differnt groups?

      You can send them a link to the update profile link which lists all the groups you've created. Subscribers can then select which groups to be associated with. mailchimp.com/help/add-an-update-profile-link/
      Alternatively, you can send them a link to the preferences center page. You'll need to set that up. More info here - mailchimp.com/help/create-a-preferences-center/

    Hi Larry. Thank you for the information. I wanted to know if there is a way to create groups from an existing list or only when people sign up. I have almost 2000 contacts that I would love to put into groups.

      You can manually add contacts (selecting in bulk, if needed) into groups.

    HI Larry! Great video! I had a question. I'm want to send out an email to my current list that is on a topic I don't normally cover. I want to have the people intereested opt into another list so when I send info out on that particular subject it's only going to them. I don't know if I start with groups, segments or tags. Any thoughts? Thanks for your videos!

      You can't have contacts opt in to another list though an email. What you'll need is either a classic automation (if you have access) or Customer Journey (if you have the correct paid account). The trigger you want is when a link is specific link is clicked in an email campaign.       Hi! I use either ScreenFlow (Mac Only) or Camtasia (Mac or PC) to record my desktop and my webcam. While recording, behind me is a physical green screen. While editing the recorded video with ScreenFlow or Camtasia, I use a setting to remove the green screen color, called Chroma Keying, which then gives the appearance of me being in front of my desktop screen.

    Excellent tutorials, Larry, thank you, I do have a question though. I have all my contacts in my main Audience list and have created my Groups and sub-groups. But how do I add or move contacts from my main list to the appropriate groups and sub-groups? Am I missing something?

      You're not moving your contacts, you're adding a designated group to their profile.
      While viewing your audience contacts in the Mailchimp table (Audience tab->View Contacts), click the downward arrow/chevron at the top left of the menu, a sub-menu appears Select All, Select Visible or select individuals, select your choice, the sub-menu bar will turn green. In the now green menu, click Actions, you will now see Add to Group. Clicking Add to group shows your group names and the grouping. Select the appropriate group.

      @@LarrySnow, got it, thank you. This part of the system is not very intuitive, at least for me, but your direction got me there. I would love to sit in with the program developers and provide feedback from a layman perspective in terms of how what they're creating relates to every day users. Not techie types, but regular folk entering this relatively 'new to us' world. A few simple and easy to understand sign posts along the way could make a world of a difference.

    Hello Larry, you are amazing in teaching Mailchimp. Can you please tell me how can i send an email to those who have not opened it? Please note that in my audience there are tagged subscribers, so when i select DID NOT OPEN - SEGMENT, i don't have the option to send an email to those of that specific tag that have not opened the email. appreciated your help

      Hi Walter - add an additional filter "Tags" in the did not open segment. For example: The first filter is campaign activity that did not open any of the last 5 campaigns. Then click the +Add button. You'll now see an AND appear. The second filter is Tags - contact is tagged and in the last field the name of the tag. Be sure to change the segment to match All not Any.

    Hello! Thank you for this content, I've been working through your Mailchimp videos to better understand the system as I ramp up my email marketing. I do have a question - I have an email list with three very distinct target markets, so I have made three different groups for that list. However I already have maybe 70 emails on the list that were my first list signups when it was first created, BEFORE I had created the groups to help me differentiate my list better. What is the best way to get those emails sorted into the right group? Some of them are obvious (one of my target markets is dog trainers, so anyone with a dog training company reference in the email address I've assumed to be in that group) but others are less obvious. Is there a way to send out a campaign just to "ungrouped" emails with an option for them to opt-in to their preferred group? At this point this is a high quality list of people interested in a specific project I launched recently, so I don't want to just write off those 70 emails if I can't get them into the right group. Thanks so much for your help!

      Yes, I believe you can. Create a segment of the people who are not either group. Then send a campaign email to that segment asking them to update their profile preferences. Add the UPDATE PROFILE merge tag as the link. When clicked they'll they should see the sign up for with group options (assuming you've added them to the sign up form through the form builder.

    Great content Mr.Snow ! I was looking for this all over RUclips !!! I have a question and cannot find the answer maybe you could help me out :) I made automated email campains, is there a way for me to put them into groups/segments and add Tags ? Because I find those forms not very aesthetically attracting :/

    Hi Larry, thanks for the video. I have a question using your example... If someone subscribes to both Porsche and Ford, but then no longer wants to receive the Ford emails and then hits the Unsubscribe button in the Ford email they receive, do they automatically get unsubscribed from the Porsche emails? If so, is there a way so they are still subscribed to Porsche. Thanks in advance.

      If they click the unsubscribe link at the bottom of the email, they will unsubscribe from your list. Instead steer them toward updating their preferences where they can opt in or out of the groups. See this knowledge base article from Mailchimp.     Hi Larry! Great tutorials. I'm wondering if it is possible to directly add a person who signs up to a certain group. You're talking about the maximum amount of lists that you have and that cost-wise it is better to differentiate within 1 list through groups/tags. I'd like people who go through the sales funnel and opt-in to be automatically placed in a group. On the other hand, I could also directly assign a tag to them.
    Also, is it possible to have multiple signup forms from Mailchimp which lead customers to these different groups? So form 1 would go into my main list without any groups or tags (i.e. regular subscribers), and form 2 would have the action of placing people into a certain group or tag them within this list.

      First question, yes it is possible by adding the group option in the sign up form. In demo people can opt in to that group. Having that hidden to do automatically I’m unsure of without a plugin. Auto tagging a sub is possible.
      Second question - multiple sign up forms is possible if you use multiple lists for each audience. You can also take a look at Mailchimp for Wordpress premium plugin by Ibericode. I’m using that now for multiple sign up forms and assigning tags.

    Hello I saw your video, But query is not complete. My query is that I want to create a separate contact list that I can shoot mail for different location such I want to shoot mail a particular mail particular state. After complete one I want to shoot mail another state audience. So How I can create a different audience list for different locations. Please guide me. Thanks you for your videos it was awesome.

      Use segmentation in one list. Create segments of your list for each state. Then create Journeys or Classic Automations (if available) to automate the process.

    Hi Larry, awesome tutorial right here! I am new to mailchimp and I have a challenge at the moment. Please I want to ask, is it possible to setup a segment or tag within an audience (list), and then configure a welcome email for each segment/tag. I want a way to split new subscribers into different list/segment so that when they opt into the list, they are sent a different welcome email. Please is this possible with mailchimp?
    I find out that in the welcome email setup, I can only choose the audience name, but I cannot select the tag in the audience. Am I doing something wrong? I just want to split my contacts into two groups so they can receive different welcome emails. I am using mailchimp free plan which only allows one audience.

    Super useful video! Just one question:
    Do you happen to know how to offer different lead magnets to the same audience in the same list? I mean, allowing people to sign up several times but receiving a different freebie (and updating each subscriber with new tag/groups in my list) every time they sign up to THE SAME LIST... Thanks a lot. :(

      The easiest way is using Mailchimp landing pages and setting a specific tag for each.

      @@LarrySnow Thanks for your answer, Larry! The problem is that, once the person opts-in in a LP for freebie 1, if I create another LP for freebie2, they wont be able to opt-in as they will get a YOU ARE ALREADY SUBSCRIBED TO THIS LIST message... :(
      How would you solve that? How would you have several freebies in the same list just updating tags/fields of every prospect as they download each freebie? Thanks a lot!

      @@ProduceAudio If you're using WordPress -- have your freebies as pages, and use a plugin that connects to Mailchimp on the backend, offers a signup form along with the ability to add a tag for each. The plugin should have the ability to update an existing contact with a new tag without the "you are already subscribed" message. Take a look at Ibericode MCWP and Yikes Easy Forms for Mailchimp.

    Hey @Larry Snow, if I have someone in multiple groups and they unsubscribe to an email from 1 group, does it unsubscribe them from all of the groups?

      If someone unsubscribes via a campaign email then they'll be unsubscribed from the list. If someone updates their preferences and removes themselves from a group, they are still subscribed to your list. So, when sending campaign emails to your groups you'll want to bring attention to the preferences link to opt out of the group rather than the unsubscribe link.

    Perfect thanks. I have 28 chapters on my book that I want to let people choose as a free magnet. Can I use this grouping function to let them select the chapter of their choice for free? Is it available on the Free model of Mailchimp? I see they only let 1 audience for Free but maybe it's possible to have groups within that audience?

      Boy that is going to be complicated for you and your subscribers. Why not just give them the whole book as a PDF, or send one chapter document each week with a scheduled campaign?

      @@LarrySnow That is the book that I'm trying to sell: ) I believe if they read one chapter, they would be hooked. I think for the subscribers, it should be quite easy. Just select what interests you the most on a drop down. But is it possible to do for free on Mailchimp and is it really compllicated to organize? I don't intend to send a series of mails. Just the chapter and then some news to all my audience as the launch approaches. Thanks

      @@dorukcansev Yes, it is possible to create a group category called book and 28 group options on the free account. However, you can't include a group option in a campaign email for current subscribers as you can as when someone signs up to your list. You're better off creating a Mailchimp landing page with the chapter groups for drop-down selection and sending the landing page link to your current subscribers through a campaign email. You'll also need to think about how your subscribers will receive the chapter once they make their selection.

    Hi Larry. How would i tag customers depending on what the purhcase, downloaded or signed up for on my site. I dont use wordpress. Their form only seem to allow me to integrate with mailchimp and an audience but i would like to separate and specific create emails automations.

    Do you have a resource for merging lists? Show this be done prior to groups?

      In basic terms, export both audience lists, combine CSV's, add necessary columns for tags, groups, etc. remove duplicates (making sure you've applied the necessary tags or groups for the dupes), reimport the combined CSV file.     Hello Larry - from a newbie to MC. I have an audience (list) of say 300 names. Out of that audience I can identify 50 names. How would I be able to create a "list" that is just of those 50 names, that have been pulled from the master list?

      Hi Ivan - you'll have to combine the audiences using a segment. Only one option for audience selection. Audience, segment, tag or group.

    Hi Larry! Thanks for the video, it is excellent. What would you recommend if I use one MailChimp account for several websites? I thought that the best solution would be to create a list for each website and after that to organize each list in groups and segments. Do you believe that this is a good strategy to go with?       One Mailchimp account for sure. As far as how many lists, do what makes it easier for you, just remember you are paying extra for duplicate emails. Also, if you have the free version of Mailchimp I believe you're limited to 1 list. I'm on the standard plan and I'm limited to 5 lists.

      @@LarrySnow This a question I have as well. Is it wiser to have one audience and separate them by tags or segments? And how can I organize them into those different segments or tags when collecting emails from different websites? Is it one form to collect all or different forms for each?

      @@dynophreak One audience is optimal as it benefits you in not having to pay more for duplicate email addresses. Ultimately, having one or multiple audience lists is up to you. Having one audience list isn't easy to manage. Mailchimp should do a better job communicating and setting up multiple signups for different websites. Here are a couple of things to try - adding subscriber automatically to a group - mailchimp.com/help/automatically-add-subscribers-to-a-group-at-signup/, and adding hidden fields like tags for segmentation to sign up forms - mailchimp.com/help/add-hidden-fields-to-a-signup-form/

    Wow! This your video is helpful but I have little question for you.
    I have existing lists within Mailchimp where my audience subscribers opted in for my webinar. I'm about to release my book, and instead of creating a new list (and having duplicate subscribers), I would like to create a group within my lists where they can optin for my book as well.
    Can this be possible with Mailchimp? If yes, kindly help me share more light on it.

      The easiest and most straightforward option is to create a Mailchimp landing page, in the sign-up form, select the book group you've created. You can add a tag for the landing page as well if you don't want to use a group. Publish the landing page, grab the URL and send the link to your existing contacts.

    Hi Larry. I can see others have asked similar questions to mine but I'm still confused at how it can be done. I have five different optin forms on my website, each offering a different freebie. But in Mailchimp, when I create a new Create Campaign>Email>Automated>Welcome New Subscriber, I can only select an Audience (which is only one as I'm on the free plan) but no groups or tags. So am I correct in thinking that you can only have one Welcome email from optin form per Audience? If so, that would mean I need multiple Audience plan. So that then defeats the purpose of what Mailchimp wants us to do - have one Audience only and group or tag them to avoid multiple same email addresses so that we dont pay for that. I just can find a way of how to do what Mailchimp wants - one audience for everything - without making manual changes all the time.

      @@LarrySnow No I cant, unless I manually add it after they sign up which is too time consuming. I should have added that I'm not using MC signup forms, I use Thrive Architect instead (for a better designed optin form). So Thrive allows me to add a Tag to it or choose a Group. But I just did another test with two separate optins for two different freebies. I subscribed to one optin form only and got both Welcome Email Campaigns. So it seems that one Audience cant send two different Welcome Subscriber emails from two different optin forms. Still an issue.

      Unfortunately, you can only email to one audience, group, segment or tag. You may want to try grouping the two audiences and send a campaign to the group.

    Great video thanks! I would also like to have group options on a landing page . If I create the groups in my audience first I can see them on my Mailchimp hosted signup page but can't get them on the landing page. If I start again with no groups in my audience and then try to add one to my landing page it sets up the groups in my audience but still doesn't show it on my landing page. Please could you help? Thanks

      In all of my testing and publishing landing pages the group options are added when I click on the group name. Are you adding the group from the existing options under the sign up form or are you clicking on Add Interest Group? For me, I click the group name in the sign up form field area, (ex. Interests) once clicked Interests is immediately added to the landing page form followed by the radio button group options.

It was a silly error on my part - I was looking for my new group option to appear in the same area of the Content tab of the landing page Signup Form as where you can 'Add Interest Group' whereas it is listed (sensibly!) as another 'Available Field' option. All sorted now - thanks for your help.

    Is there a way to embed these forms within an email campaign? I thought it was the update profile merge tag but that will just link to a website url. I want the form within the campaign so I ask my subcribers what kind of content they would like. Any ideas on how to fix this?

      Update preferences link would work. Clicking on it opens the signup form. In the Sign up form you add custom merge tags for tags/ groups options.

      You can manually select from your subscribed audience list to add to a group, a better option would be to export your list, add your groups to the file, then re-import your list.

    Help. All works except the live page won't show the form info, just a white block. While editing, I can only see it if I hit the preview in safe mode button. It looks good, but then doesn't show up on the live page other than the form with no text. Both MailChimp and Squarespace live chats told me it was above their skills set. I feel like this is an easy fix but the pros have no information for me. Can you help?

      Hmm... That certainly is disappointing to hear about the customer support not being helpful. Unfortunately, I'm unfamiliar with Squarespace. Are you using the Mailchimp integration with Squarespace with code/newsletter/embed blocks or the HTML embed code shown in this video?

      @@LarrySnow So the newsletter works but it does not offer the group break down. Just the general list. Embed block works and shows me the form when I hit preview, but when i save it ends up blank on my site. It's right there so I'm perplexed.

      This is just a random guess, but perhaps it is the JavaScript added to the embedded form code? Go into the Embedded Form builder, then under Settings, check the box to disable JavaScript from the code, click Continue, and copy and paste the code into the embed block.

      The only way I can see group IDs is by going into your audience list, then click Sign up forms, then click embedded forms. Make sure your interest groups are added to the embedded form. In the Embed code you should see group id - something like id="mce-group[26703]-26703-0" - from there I'm not sure if it is the 26703 or 26703-0.

    Is this the way to do it?
    And final question: I know you can send copies of each signup/lead to the client as well. Is it possible to set it up so that only signups with a certain tag get sent to the client (tag interest: 'porsche' gets sent to the dealership f.i.)

    Hi Larry. I want to send an email to a list with about 5000 people on it asking them if they'd like to opt into basically another list. (I want to give subscribers the option to opt in to go on a ballot to get tickets to a popular event). So I want to send an email where they can click a button in the email and then I'll know they have opted in. I don't want them to have to enter their email again ideally. Been trying to figure if this is possible and how to do it. Any advice appreciated. Tim

      I'm not sure if that is possible but there is a way to create a segment of contacts who are interested in the tickets.
      Take a look at setting up an automation called "Specific link in campaign clicked", it is a custom trigger.
      When a specific link is clicked in a campaign email it will send an automated email in which you could confirm or welcome them to the ballot or send info on the ballot process. In this trigger there is an option called Post send action. Clicking the "Add" link will allow you to apply a tag to the contact after the automation email is sent..
      From there you can create a segment of ticket seekers who have that tag. Going forward, you can send campaign emails to the segment. In essence the segment becomes the second audience.
      Hopefully that all made sense. I'm hopeful that the new customer journeys Mailchimp is developing will make this type of setup much more intuitive. I'll add this setup to my RUclips content calendar for a future video.

    Your video is very helpful but I'm struggling to keep up. You cut out navigation steps to keep the video short and to the point, but I'm spending 10 minutes trying to find where you navigated to. I am very new at this. I'm lost and very frustrated at this whole Mailchimp system. I'm not computer illiterate either. I'm a Google certified educator Level 1.
    Specifically, you lost me after you set up the group and you said to go back to form builder. Where is form builder? That was the 3rd time I had to pause the video and poke around on the website until I stumbled upon what you were talking about. (It is not just you, this seems to be a RUclipsr trait in general. I'm ready to quit Mailchimp and look for other options.)

      Hi Mary - you're not the only one that gets frustrated at Mailchimp's confusing user interface. In this video, I referred to the embedded form, which as named, gets embedded code on your website. The embedded code displays the signup form along with, in this case, groups. To get to the embedded form or sign up form builder click the tab link "Sign Up Forms" as seen in the video at the 5:54 mark. If you're looking for another option than Mailchimp I recommend Mailerlite - www.mailerlite.com/. I also recommend that you dive into the Mailchimp knowledge base that contains all the how-to's from the basics to the advanced - mailchimp.com/help/
