    Hi! I have a, maybe silly, implementation question.
    This one has to do with the business documentation: I’ve already documented some procedures and validated them with the team. My questions are:
    >how often do I have to review them?
    >If there’s and improvement to make, who is in charge to making it?
    >Can the employee that use the SOP just change the documentation when he considers? Or he chan do suggestions that have to be approved by our business systems champion?
    I’m very aware of the fact that my system will evolve, but it’s not clear to me how do I need to proceed in those cases. I'm really lost in this point! Thanks a lot for your help!

      >Review them as oftem as you deem necessary. In my company we go over SOPs quarterly or whenever someone finds a better way to do a process.
      >Make the SOPs a self sustainable system in which everyone is involved and in charge of updating SOPs related to their positions.
      >Yes, Googledrive or any other storage have an activity log, you can see who made a change or roll back on any faulty changes. Also, as mentioned before you can have quaterly meeting and only do the changes during this period.
      > Make it a self sustainable system, reward people who find better ways to do processes, feature the people who are actively working on the SOPs and adding content.

      Great questions:
      1. Review them as much as needed, but mostly quarterly
      2. The creator is in charge but others can always help refine
      3. I'd work on getting approval from the team

    Hey John, love how you are upfront and honest that SOPs take time upfront but are totally worth it. Also, love #1 in your steps to create an SOP. When you have actually done the process that you are documenting it makes the SOP so much more powerful and really the only way to get all of the details. Great video.

    Well done and concise. Seems like each SOP is a separate Google doc. Assume they are stored in nested folders. Do you have an easy way for team members to locate a specific SOP other than rummaging around?
    Am looking for some sort of searchable database solution. Maybe even a wiki builder?
    Currently I'm taking advantage of the Google docs Outline feature which automatically creates clickable links in the left sidebar to Header items in a single doc. Not sure how that will work as the doc gets bigger.

      @@tntjr great question. This is something we've been thinking about. We actually have one master doc with a link to every single one and it's organized by role.

      @@5fourdigitalmarketing Interesting idea. Seems each update means updating the index too. I think I would struggle with that. I would love to find a free or inexpensive database app that would allow me to assigned keywords to each record. You would end up with live updating and lots of options for sorting, exporting, and the index/TOC would be dynamically updated.

    how do you go about assigning each individual person to the desired SOP? Do you have a different folder that shows the new worker what they need to be doing?

    It's surprising if you train employees the right way the first time, they remember it and they stick to it. If your standards and expectations keep changing, your employees will just do what they think is best. SOPs provide both YOU and your staff the discipline to stay consistent with how things are done!
    Stop answering employee questions - refer them to the SOP. Instead of telling them what needs to happen and why it needs to happen. You need to refer them to the SOP. If you don't have it in SOP form, then you can't hold them accountable to your policy. If the SOP does not exist, ask the employee to create it.
    When you have your SOP about “How to take orders from customers when the computer is down”, then you do not have to react to that situation and hurry up and instruct all the employees on what they should be doing, you just say, “go read the SOP”.

      Sure,
      Sign into your RUclips Account
      Go to your My Videos page
      Select the video which you’d like to make an unlisted video. Click the Edit button to access the video’s settings.
      Go to the Privacy section of the page. There you’ll see the option to mark you video as “unlisted”, “public”, or “private”. Select unlisted.
      Don’t forget to click the Save Changes button. Once you’ve done this your video will be an unlisted video.
