My Folder and Crate Organization in Pioneer Rekordbox DJ Helps Me Find the Best Tracks!

  • I used to keep my music files sorted in genre crates / folders, which made it hard to find tracks of a particular type or which fit a specific situation. With my Rekordbox organization process, I tag each song with its genre (or genres) and then place the tracks in crates that fit different scenarios such as:
    The location I'm playing
    The type of audience or group of people I'm playing for
    The sub-genre
    The purpose or reason
    The special quality such as "sing-alongs"
    This system has really unlocked my creativity and made my library much more accessible -- both during set planning, and real time during events.

    Great breakdown. I've spent months, here and there, on organizing and using MyTag system to later make use of them to simplify putting Smart Playlists together. It's a lot of work, a very time consuming process but in the long run will save time as well as making filtering tracks, on-the -fly, much more efficient. Love both of those library management features Pioneer built into its Rekordbox software. Thanks for sharing your method.

      That would be a neat feature. You could backup or copy your playlist to retain an emergency backup... just a thought

      Oh yeah it did take a LOT of time! But you know now that it’s done, all I have to do is add settings when I bring in new tracks. I can’t stress enough how efficient and effective this system has made my music programming!

    I want to ask you a question because I'm new to this and just starting up. Do you bring all your music into rekordbox or you just create playlist and drop them in the software. I'm just looking for some ideas.

      Hi, I create the playlists aka "crates" like you see in the video. Helps me organize and pull from those playlists when I'm in an event (or planning one)

      @@SmilestonesDJAdventures yes I am exactly the same it's what took my inspiration with DJing further from being a bedroom DJ to now being at events, and bars etc. But I'd love to see your take on things of what you do. I also really liked you ddj 1000 case build so I've pinched your ideas Haha.

    Great video. Doable. Work the craft. Surprised me that collection is only 6K+. Browsing runs smoothly what laptop specs you have. Just wondering. Really good ideas. I like to organize and this helps. Thanks

      Thanks OG! Yes I try to keep the collection small and usable; every year I review tracks that I didn’t play at all and consider removing (unless they have some utility or value to me)
      It’s a 2019 MacBook Pro - 2.6Ghz processor with 16GB ram.

      Thanks! Glad to help a little - best of luck getting started with your organization project. When I had a crazy big task like this I always break it into chunks - like, just focus on organizing your most played songs first. Or just tackle artists starting with “A” first. Then you make progress one step at a time ;)

    Mytag and Related Tracks are game changer for me! Are u using Related Tracks? Or just this crate organisation system?

      Hey thanks!! Yes, I love related tracks too - it’s great to use in a pinch if I’m unsure what to play next, and also is a fun tool to use to explore different mixing combinations in my library.

    Unbelievable video. Just one question… how do I add songs from my iTunes/files to multiple playlists within rekordbox without them duplicating into the collection tab? Thanks!

      Hmmm I’m not sure how to do that with itunes. I just add files directly from my hard drive into my RB collection and from there I can add the track to multiple playlists / crates!

    What would be your "Go to" DJ pool or do you tend to have subscriptions to loads of different ones. Where do you find most of your variety? Thanks mate. Really struggling for that nice all round music source.

      Hey! As a mobile/wedding DJ, I’ve found that DMS (direct music service) has the best overall collection, for songs over time, plus has some great redrums and remixes. If I were a club DJ I’d look elsewhere. Hope that helps

      Cool man, we’re similar on that! I used DMS currently and have used them for ~3 years. Have been really happy! I like the tiered pricing options they offer too. If you need to really load up, I’d suggest doing the full access plan (unlimited downloads) for at least a month - especially if you have some time in your schedule to dedicate to a seeking and hoarding project - then move to a lower tier to keep caught up on their new tracks and find those odds and ends you didn’t grab in your mass pull

    Fantastic vid. Some of the ways I've been doing my crates are decades, Years (2 - 3 year sections for newer stuff), keys, and separate Music Vs. Vids.
    Thought of also doing Remixes, OG, or just various types of versions etc. Haven't done that one yet.
    But hey would you mind share the XML Files (in a Text or PDF), of some of your specific types of crates i liked some of your ideas for your crates and would like to get some ideas on how I should structure mine.

    Dude that was a seriously fantastic breakdown of how and why you organise the Crates the way you do. Hell a work for sure to get you collection to the point you have but loads of pointers i will steal to organise my crates ever more finely.
    Wondering why you don't make more use of Intelligent Playlists/Smart Crates though, apart from your Decades Folder, i find these essential to be honest?

      Appreciate your kind words! This method helps me so much with both prepping for events, and for real-time track selection. Totally worth the investment of time for me.
      I guess I just don’t have many use cases for smart crates. One that I could add is “new music” or something similar but that isn’t truly that useful because it’s 1) redundant to me using date address + track year, and 2) I’m not playing a ton of new tracks at most of my events .
      How do you use them?

      @@SmilestonesDJAdventures A lot of my Rekordbox Smart Crates are what i got used to doing in Serato using Tags in the Comments and Genre Fields.
      Examples being adding things like Minimal, Jazzy, Classic to Genre so i can split House into House, Classic or Drum & Bass, Jazzy ect.
      Setting a Smart Crate to filter only Jazzy it will pull tracks from all sorts of Genres i have added Jazzy to the Genre Field, so i could have Drum & Bass, House, Soundtracks, Ambient ect ect all pulled in cause i tagged it Jazzy.
      I am getting used to the idea with Rekordbox you can do this if you used 'My Tag' to tag stuff up by using the in built 'Track Filter' when you have your whole 'Collection' selected though so some of my Smart Crates can certainly be done that way, guess i have 2 ways of doing things for some things by using Smart Crates and i am using them less because of the inbuilt Rekordbox 'My Tag + Track Filter' so i don't need to use a lot of my old Serato ways lol.
      I have always used them for Decades, Genres, Styles, Energy, Rating, Untagged and numerous Comments i add but again you can do most of this by simple Search Box or Rekordbox 'Track Filter'.
      Guess i am working through which methods i like the most, i am always changing things lol.
      One thing i am struggling with is you can only have so many Genres listed in 'My Tag' then you have to start adding them to other 'sections' of My Tag like Components but this messes up my 'Track Filter' searches.

      @@bigdaz7272 thanks for describing! Yes the my tags are my go-to for what you describe. Although sometimes I have a few mini genre or very specific situation songs, for example “Irish” or “school graduation song” and instead of make a tag, I simply add a comment in the track meta data. Then I can “search” for those more obscure descriptions and the track (s) will pop up in the results. But everything else I do is either Tag or Crate

      @@SmilestonesDJAdventures Some of the ways of Tagging i use are universal so will work inside of Foobar2000 which i use for listening/tagging also, where the 'My Tag' from Rekordbox doesn't show(unless i overwrite all my Years and Years on many Thousands of Tunes with Rekordbox My Tag info, not brave enough to take that on lol)
      Things like the Rating in Rekordbox(Stars) are only specific to Rekorbox meaning they dont' show in other software, Foobar/Serato ect which i find annoying as Hell.
      So i use the Lable/Publisher iD3 Tag in Foobar to add my Ratings and Composer Tag to add my Energy which i have set Hotkeys in Foober for so CTRL+ 1-5 will add a Rating to Lable/Publisher ID3 Tag and ALT+1-5 with add an Energy Rating to iD3 Tag.
      So i can be listening to a playlist/album in Foober and with a couple of Keystrokes they are Tagged Rating and Energy, kinda great to be honest i dont even need to look at the screen.
      I am considering to take this a step further using Voice recognition shenanigans and have the Hotkeys activate to Voice Commands while i am wandering about listening on my Bluetooth Sony WH1000XM2's.
      Only thing is then in Rekordbox i have to then copy the Lable/Publisher Tag Rating over to the Rekordbox 'Star Rating' so i can use the inbuilt 'Track Filter' ect.

      Intelligent playlists are for grouping songs that have data you can auto sort by / classify tracks into. Often you'll need to use manual playlists if you want to sub sort. Something like "sub genres" or something like that. I suppose you could use tags and genre meta data an classify almost everything though!!

      @@SmilestonesDJAdventures Thanks for the answer but I do not get it.. I find more usefull to have intgeligent playlist and then everytime you put a new song, you put the rigth tags and mytags and it automatically goes to all the apropiate inteligent playlist..
