- In this video on Power Automate Microsoft Forms Connector tutorial with Attachments, you will learn about how to build a flow to connect to Microsoft Forms and Get Microsoft Forms Data including Attachments. We will leverage the Power Automate Microsoft Forms Connector in flow. We will use flow to get forms data for all column types - choice, multiple choice, numbers, multiple attachments etc. and move them to a SharePoint list.

@@RezaDorrani if there are four choices selected in the form, the automation result is four list items with each having one unique choice.

My first ‘real’ flow was doing exactly this and the attachments were a real pain to figure out, wish this video was around then, you made it so much easier, but I have to say that’s mainly because of your excellent video that talks about JSON which when you start to understand makes Power Automate and Expressions make so much more sense. You will need to add null check in flow. Check count of items and accordingly update.

Hi I found your better than most of the tutorial online but it is not easy to understand without visually knowing what am i aiming for or what i will achieve which makes it only for people who already familiar with the platform and not for people who have just begun will get lost and leave even though they can easily do it after following and understanding the reason behind it.

One of the newer features in SP lists is that we can add images as answers, which I think it's not yet supported by PA I guess. What do you think?
The new Image column type is not supported yet in flows and apps.

How would you handle writing to SharePoint from the Likert scale?
Likert scale should give a string value from 0-10
You can use expressions to convert it to number
Int(val)

Hi Reza, great video. Your handling of Multiple Choice/Multiple Answer columns is pretty easy to understand. The only issue I have, my multiple choices still move to sharepoint as 1 expression. I followed everything perfectly from what I can tell. Even when I test my flow, I have the same outputs in the flow, formatted the same way yours are, but somehow my Sharepoint column is still showing my multiple options as 1 expression. Any ideas?
Check your column type to make sure it is a multi select choice column. Also ensure the expression output is in the right format. You can add a compose action and add that expression to check its outcome.

Although I need the user to only be able to submit the form once PER DAY...I am aware in the FORMS setting you can check mark that the user can only do one submission, although that prevents the specific user from submitting a second form forever. Would you have any tips on how to do a Form Response Once Per Day?
I don't think MSFT Forms has the option of single request per day.
May be forms pro has that.

If I am interested in creating an automated weekly report of a clock in/out flow for employess that includes the time, date and hours worked that will send me a weekly email on Monday's totaling all hours per week per employee from previous week is this possible to do with power automate? And or with possibly Microsoft Forms?

I have one question, How we can update the existing sharepoint List item using Form data if I have a common reference?
Use the update item action - for that you would need the unique ID of the item to update.
You can get that by query your list based on your unique reference.

Thank you Reza. If there is no file attachment, would the flow still work. I had a flow where it was failing and hence I had to include a condition to check the length of file attachment name. If length expression returns zero, flow assumes there is no file and goes ahead without attachment else it goes with attaching the file.
The attachments loop will not execute if there are no attachments. So need to to even check an empty condition.

Forms file upload is only for internal users.
One option for anonymous users would be for them to submit form, then create a folder in SharePoint for that user & share that folder path to user via flow.

External users cannot upload docs in forms. You could create a folder in OneDrive or SharePoint and allow external users to upload files there.

Hi Reza, your content is amazing. i have a question is there a way to get a microsoft forms response sent to the submiter in an email on a pdf format.
eg. i fill the microsoft forms with the data requested, i would like to get an email with a pdf file that contains the info i submited in the form.
this is bassically to create a form with the relevant invoices information and use this pdf on an email and attach this to the invoice as a front page.

That was excellent. My attachment saving from Forms to SP using flow has stopped working, so I'll give this a go. A question, though. Does the flow break if there is no attachment?
The attachments loop only runs if files are added so the flow should not break.
Give it a try and let me know how it goes.

I have not tried with negative numbers. I can see the potential challenge in the flow. You will have to read and maybe convert the data type and assign to the current column type.

Forms created in a channel are stored in SharePoint. You can trigger flow based on that as well.

The flow works, but I seem to be missing something: it returns 3 items in my sharepoint list, of which only one contains the attachment. Any advice on what I should correct in order to get only 1 Sharepoint list item?
Thanks Iris. It should create one line item per form submission. All attachments should go to that same list item.

Got this working, thanks a lot for your continuous effort, Reza. One question though, on my form attachments aren't required. When a submission gets made without an attachment(which is okay and will happen mostly) the flow runs and I get a new Sharepoint item...BUT Power Automate sees it as a failed run, I could launch it like this, but I don't want to run in the issue of the flow stopping due to a lot of failed runs. Can you send me somewhere to understand how to solve this?
Should not be the case. If no attachments then the apply to each loop would not run. Check count of items returned for the array of documents.

Hmmn. The for loop would not run in that case since no files are uploaded.
You could also check the length of the files array to ensure it is greater than 0 prior to uploading.
You would need to use the expression function length.

I am actually doing a flow like this, but it is what you started to touch on at the end: Form that was created from a group SP site, so the attachments are going into the "apps" folder on the SP site where the List items are located. The Flow I created is working through the "FilesComposeAction", but fails in the "Apply to each File" -- "Get Attachment Content" section with a "Route did not match" error. I have dug into all kinds of documentation and forums for days and am simply stumped. Could you please provide some help?

No, I tried 3 different techniques/approaches based on different tutorials and each method fails at the same point with the same error. I had to set this aside at the end of February due to other pressing issues and we are just going into the Apps folder to retrieve files for now. I'd like to return to this in the future but don't have time now. Good luck to you!

Video was great - well explained. My form has 6 choice questions where user can input more then one answer or no answer if the question is not valid for them. When running the flow it works great when multiple answers are picked but fails when no answer is picked. Any thoughts?? I was thinking of using a control action but I would have to do that 6 times.

Excellent video! What if I want to incluide another "question" to attach multiple attachments by tipe. For example, the first attachment question will be only pdfs, the next question only images. How can I upgrade the flow. By the way, thank you!
Concept for that would be similar. Just associate it to the file upload question and accordingly post to the respective library.

Quick question... for using Form to capture information, is it possible to get the Form Submitter's name to Sharepoint? I used the Sharepoint default field of "Credited by" but it only capture the Form owner name (which is always my name) instead of the one who submitted the form response. Thanks a million Reza!
Flow runs under the context of its Owner/Connectors and hence Createdby would be the flow owners name.
CreatedBy is an internal column in SharePoint.
You can create an additonal column to store the submitters name.

Reza, I was able to figure out how to handle multiple choices thanks to your video, but when it comes to attachments, I am unable to advance past the One Drive step. It seems as if the associated files for our form are in our group's shared SharePoint vs. One Drive. The end of the video eludes to there being similar steps, but I can't find them written or shown anywhere. Do you have this information available somewhere?

Thanks for the video. I need to understand little bit more here.. Why do we really need Microsoft forms here. Our goal is to saving the responses in sharepoint. In this case we can create canvas app and leverage all the options. Please share your inputs. I may be wrong.
MSFT Forms enable anonymous user access.
Power Apps Canvas on the other hand cannot be accessed anonymously.
Forms and Power Apps have different use cases.

You would probably need to write an expression to perform the null check in flow.

Hello Rezza, Thank you for the re-direction. Everything works fine, but i get duplicate attachments each time I run the flow i.e. 2 attachments will have 4 attachments when I include the "Send_an_Email" Connector.
Check your flow run. See how many times the loop runs. Must be some issue with your flow or the formulas used.
@@RezaDorrani Thank you. I had both "get attachments" and "Get attachment contents" in my flow. Deleted the "get attachments" connector and it worked. Big Up man. You have gained a loyal follower

Hi, anything on integrating JIRA in to Microsoft forms. like upon submission of queries from Microsoft form, it must land as issues in JIRA.

Im not sure if that property is exposed. I did a video where I query forms api and it provides the responses. You would need to check to see if the json response includes the time.

@rezadorrani can you point me in the direction of video to assist with following error: Action 'Parse_JSON_-_Extract_attachments_from_form' failed. In this scenario, my flow runs as long as a file is uploaded.. I cannot find the condition or trigger I need to used to say if there is no file uploaded, just do not look for one.
Basically you need to conditionally upload list item attachments when they exist else do not. I am assuming you are trying to add this to the approvals action.
I have not seen any specific video on this.
I will add this request to my backlog.

Great tutorial. However, I get an error when trying to add the Select output to the "Create item" in Sharepoint. I get the following error message: "Cannot create property 'item/Konsekvens/Value' on string '@'". The Select output seems to be in the correct format, and when I try to hard code the select output manually to the same field, it works just fine. Any idea of what I am doing wrong?

Hi Reza, thanks for this amazing content. But I tried using a group form instead and if I swap out the one drive steps with sharepoint - Get file content and do what you have done here it keeps failing. Any idea how to fix that? It can't find the files. "Action 'Get_file_content' failed". Thanks!

@@RezaDorrani aah please excuse my ignorance but I'm trying to start this step after the 'Create item' step in your 'Power Automate Microsoft Forms Connector tutorial with Attachments' video. The idea is to pull attachment files from group forms in sharepoint, on to the sharepoint list.
I'm not sure at what level I should initialize variable. Because if I create a loop after that I don't have any of my dynamic content available for the json expression.

Hi Reza, big fan of yours, in our project we are trying to us s3 bucket to store attached files from canvas app, we have been trying various automate flow and trying to use prebuilt connector in canvas app, but we ould not achieve establishing a connection, is there a possibility to connect to s3 bucket? please help.

Hello. Is it possible to use power automate to notify me when when Microsoft forms response reaches a certain limit? For example, I’m using forms as a registration to pick dates for meetings but we want to limit each meeting to 10 people. Can I use power automate to notify me when an answer reaches 10? I know forms doesn’t do this so I’ve been searching to see if power automate can. If it could notify me then I can go and remove that date from the forms survey
Possible. After every response received, flow can write that info to a list or excel file and update the counter.
Once counter reaches a specific number, you can let flow notify you.
Hi Rezza, I came to this video when I was looking for automating my MS Forms responses directly into a PowerBI dashboard. There were some easy videos showing: MS Forms-->Flow (PowerAutomate)-->PowerBI). But then there were others that were showing MS Forms-->Flow-->SharePointOnline-->PowerBI. I see that you are also doing MS Forms-->Flow-->SharePointOnline---is there a reason for this?
Because most of the video topic suggestions I received for this topic was around MS Forms-->Flow-->SharePointOnline.

Excellent video Reza, thank you. My flow didn't work, I'm getting a message error: "The 'inputs.parameters' of workflow operation 'Create_item' of type 'OpenApiConnection' is not valid. Error details: Input parameter 'item/Anyfeedbackfromtheclient_x003f_' is required to be of type 'Boolean'. The runtime value '"No"' to be converted doesn't have the expected format 'Boolean'". Does anyone know how to fix it?

You can add a null check using expressions.
