Microsoft Outlook Task Manager: 3 Other Task Views That I Use Frequently!

- A couple years ago, I made a very popular video on my favorite view in the Outlook Task manager: the "Today" view: • Microsoft Outlook: My ... I recently watched this video again per a comment from one of my channel subscribers, and realized it is still a REALLY RELEVANT VIDEO -- the tools and techniques in this video are still 99.5% accurate even in the newest version of Microsoft Outlook.
So rather than remake a video that is still remarkably accurate, I thought you might instead be interested in a video that goes beyond the Today view in Outlook Tasks, and instead focus on three other views that I use quite regularly: the Active view, the Completed view, and the Next 7 Days view. I discuss all three views and how you can use them for even more comprehensive project, client, people, event, and activity management, especially when used in conjunction with your Outlook Categories feature.
You can see how I can see my tasks not just by date, but also by project, person, client, event. You can see how I'm tracking and saving future ideas just by NOT giving those ideas a "due date". You can see how I track completions and have a complete database of everything I've done that I can access at my fingertips, not only for future reference but also if I ever get into a "he said, she said" situation. I will even explain how the Completed items view might be the best solution for those of you that have to track your billable items/hours in fields like Law, Marketing, Advertising, and Accounting.
And yes, I even discuss how you can use the Next 7 Days view to plan ahead and look ahead (but with one MAJOR watch out!)
If you are a regular Outlook tasks user, this video coupled with the video linked above should give you a powerful set of tools for better managing your projects, priorities, clients, vendors, activities, events, and even your people. Oh, and by the way, if you haven't seen my video on how you can very quickly and easily convert Outlook e-mails directly into Task items, you need to see this video too: • Converting Emails into...

Great video, Randy. I can't tell you how much time I've spent trying other task management apps. This is a really good reminder for us to start where we are and to use what we ALREADY have. You've inspired me to get back into my Outlook tasks this week. Thank you!
Glad it was helpful!
@ 5:53 in the Active tasks view, right click the first category and 'Collapse All Groups' when trying to navigate with expanded categories. These videos are extremely helpful, thank you!
Good tip!
Great video! Thank you 🙂
Awesome stuff... How do you customize your to-do bar - tasks?
If you put your mouse over the columns bar and right click, you'll get several options for customization, including Field Chooser that allows you to add or delete certain columns. You can also choose how you want the data sorted/organized, and what you want to prioritize (date, priority, etc.) Hope this helps!
Thank you. This is very helpful. One thing I can't figure out is how to make the columns in one view match the ones in another view. When I'm in the Today view, I get the columns all set for the way I want and then when I switch to the Next 7 Days view, the columns are all different. Do you have to re-create your column order in each different view?
I think you do have to set the headers and the view for each different view that you use. So yes, you probably have to readjust the column headers and sizes for the different views.
Hi Everyone! One of my viewers asked for me to post links to other videos that may be of use -- I can go one better! Check out this link to my recently-updated RUclips Channel Viewer's Guide -- it basically gives you access to many of my best videos by category/topic: www.randalldean.com/RUclips_Guide_Timelyman.pdf
-- I hope you all find this useful, and please bookmark this link -- I'll be adding more videos to this as I continue building content!
Randy, great videos, but it's time to upgrade your mike ;)
