Asana inbox tips (and how to avoid overwhelm)

  • A lot of Asana users get overwhelmed by the inbox and end up missing important notifications and comments from their teammates. In this video, I share some tips on how to use the inbox better (and avoid overwhelm).
    In summary:
    1. Turn off email notifications.
    2. Check inbox a few times a day.
    3. Archive as you go. Leave items you'd like to come back to.
    4. Turn on the hack to stop task reminders.
    5. Turn on desktop notifications.
    6. Use the new filters to get to the most important stuff.

    Thanks, I have actually never used the Inbox before today. Never knew how handy this could be. I am almost through all your Asana videos. I have been using it for over two years, but now I'm going to be an ASANA NINJA! LOL. Thanks Paul.

    Paul I am binge watching your training vids on asana like netflix! Love your work! Can you also please make a video about utility and how to work with Create Follow Up Task option? Also a video for a workaround for getting phone or other reminder notifications about a task from time to time since Asana doesnt have that feature.

    It's been 10 years that users are asking for inbox filtering per project (and other criteria). I also volunteered for the current (rudimentary feature) testing and feedback, but they are totally deaf to their userbase.

      Like many companies, Asana are always balancing the needs of many customers who have lots of different requirements.

      @@minor-co filtering per project or having an inbox for every project is vital for every project manager. Otherwise they can't have context and have no other option than scrolling every notification as you explained, looking for the notification of the project they need to be on top of. If you receive dozen of notifications every day it rapidly escalates to unmanageable.

    Thank you!! Your tip about disabling notifications for tasks due today is exactly what I needed. Hurray! Is there also a way to mass archive tasks to get to inbox zero in the event that perhaps you're only just catching on to the importance of archiving now? :)

      Yes, in the top right there is an option to 'Archive All' in the menu.

    Hello Paul, very helpful, many thanks.
    A question please. I'm in the process of planning a workflow for the next few months. It involves creating numerous taks and assigning people to them. Is it possible (as admin on the account) to disable notifications to team members temporarily until I'm ready to let hem know - there's a fair of editing/deleting of tasks before I'm happy with them, and it's a pain for team members to get all the notifications of the changes.

      Good question Nick. Unfortunately not. In which case, I'd recommend everyone on the team turn off the email notifications. They'll still get updates in the Asana inbox. But they can bulk archive all once you're done editing.

    How do you send tasks out to an email (ex gmail) FROM your Asana or send outside email TO your Asana?

      You can forward emails into Asana by forwarding to x@mail.asana.com. But you can't email out of Asana I'm afraid.

      Paul Minors do you substitute your account name for the X? I saw that before but was unsure. If not; how does it distinguish your account from other users?

      I'm afraid not. They sort in chronological order.
