    Very clear demo of a very cumbersome process to setup something that should otherwise be simple. I hope MS has improved this since when this video was made, but there is a tendency to deliver things that seem to be somewhat developped to let people try and if they accept it, less work for the developers. Not Jonh's fault, he is nice and has a lot of patience from what I see, doing the cumbersome in a way that you feel peaceful.

    Is there a way you could design it so that someone could register for multiple events in a series? For example if there are five live events over the year, one can choose to register for all of them within Forms?

    1. How long would you say this process takes to set up? and How long would it take to duplicate to create additional events?
    2. Can I use a Teams meeting instead of a Live event, will this have any negative impact or no difference in setting up process at all?

    Thanks for the great video John! Do you know if it’s actually possible to automatically add people to the Teams invitation? Your process works just fine but I have many people who never click the ics file so they won’t add the meeting in their calendar and I have to manually invite them in the end.

    Thanks for this great tutorial! Is there a way to make changes to the event and it automatically update on the attendees calendars? Or instead is there a way to directly have the outlook invite shared with them rather than it being an email attachment?

      Hi Sydney, thanks for watching! I would recommend looking at the new official Webinar support in Microsoft Teams. With Webinars you can update the event and it’ll send out and update to the attendees. Hope that helps!

    Thank you for showing how these pieces are connected with real application! Two questions 1) If the .ics file is loaded to the Teams file, do the attendees need view access through teams or does the Power Automate attachment feature bypass necessary permissions? 2) How can you add a limit to the number of attendees? This is more important for in-person sessions than online, but I feel like this process could be applied.

      Unfortunately there isn’t a way to limit how many people are allowed to fill out a Microsoft Form so I don’t think you’d be able to limit signups in a user friendly way. Only thing I can think would be they get a message from Power Automate saying it’s full but that’d be after signup so you’d have frustrated attendees.
      You’re correct, the file attachment in the email gets you around any file permission concerns.

    Thanks for the video. On a related note, how do you email the Sharepoint list file that is updated after the registrant completes the form? Or, converting the Sharepoint list to an Excel spreadsheet that gets emailed automatically to a designated email within or outside your organization?

    This was very helpful to me... Thank you! I have a couple of questions:
    1- Why create the page in SharePoint, if I already get the information of registrants on the response tab of the form itself?
    2- When I tested the flow, I got "anonymous" for name, but also had the First Name column I had created in the form?

      1. The reason I also put them on SharePoint is it makes it easier for you to use that data later if you want. Like if you want another power automate flow to send reminder emails later or something.
      2. The reason they show ‘anonymous’ is because they’re outside your organization and you aren’t recording their user Id. This is set in the Form settings but if you record name, it won’t work externally. That’s why you’ll want to ask their name and use that answer rather than the Id forms offers in power automate.

    This is a great tutorial! Also a great way to use Power Automate to integrate all these. Is there a way to use only one registration site for multiple events? i.e., people can select one event schedule from the form, and the outlook invitation that is sent corresponds to the schedule they selected?

      I think you technically can if you use a drop down choice in the form. It would be a much more complicated Flow though with a try-catch block to add the attachment for each event they chose and add those to an email or send an email for each event with the attachment. I think it’s possible though.

      @@CollabMoore I was thinking if there is an IF/THEN function in Power Automate where one event selection corresponds with a specific event/email but that would be cumbersome if, say, there are 20 events (and making sure each registration corresponds correctly to the outlook invite). I am new to Power Automate so I'm not sure but I will try

      Sorry I misspoke! What you’ll want is a Switch condition in your Flow. That’s similar to an if except you can set actions based on multiple conditions with the same check. So you check the value of the picker and then have an action under each option to craft the email for that event if they had selected that one. There’s a bunch of videos on RUclips that could help with demos of how switch statements work in Power Automate. I would search for Power Automate and Flow since the product used to be called Flow. Hope that helps!

    Hi John, thank you so much for posting this, this is really helpful! Have you had any success creating flows for sending automated email reminders to form registrants prior to an event when the registration is for multiple events rather than just one? For example, we have a Teams event series every first Tuesday and want participants to sign up for as many sessions as they can in one registration form (much like Zoom recurring registrations). The link is the same for all events, so sending the confirmation with the link is great, but we haven't been able to figure out how to create an automated reminder before each session to the registrants who signed up for each specific session...hope that question makes sense!

      Hmm I haven’t tried that but I’d think you might be able to do something if you either stored each registration list in its own SharePoint list or if you had a true/false column showing they signed up for different dates. You could then have another flow that runs on a schedule that could look at that list or each single list for each event and send reminders to anyone in that list or anyone marked as true for that date. It might get kinda complicated though and maybe Dynamics 365 or solutions like Cvent might be better fit for something that granular. Hope that sparks some ideas!

      The only way I’ve thought to maybe do that is adding a multiple choice question to the form with a list of dates for events. Then use a switch case in the Flow to probably attach multiple calendar attachments to the email it generates. I haven’t tried it myself though and I think it would complicate the Flow a lot. I’m very anxiously awaiting the Webinar Registration feature that’s coming next month natively to Teams. That will be a very easy process but will be tied to the individual meeting that’s scheduled. Recurring and multiple instance meetings won’t be supported at least initially.

    Thanks John! Wow, I think all of this will be really helpful... and I think I can apply all of this to to what I'm working on. I'm running a virtual camp for youth, with multiple sessions a week for youth to sign up for... I planned on using eventbrite to automate email links, so I think this work in eventbrite's place. Also thinking of creating a Sway... using this to show pictures and descriptions of sessions, and then link to the registration form from there. Thank you!

    Great tutorial. On Teams LIVE sharing a screen, can I share part/section of the screen (crop screen) rather than an entire screen?

      You can share either a full screen or just a single application window if you’d like. There is no option in Teams currently to share just a section of a screen.

    This is wonderful! Can you help me understand how to save the .ics file? The workflow worked but when I received the confirmation email with the attached meeting invite the .ics attachment would not save on my calendar. It saves on my desktop as a "File" type which isn't able to save onto my calendar. I'm working on a PC in Outlook. Thanks!

      Thanks for watching! I’ve seen a few folks have issues with the ICS file not having an extension on the end. You do have to remember in the Flow to add “.ics” to the end of the file name for the action that adds the file attachment to the email. Hopefully that helps!

    Hi John, this is very interesting and useful! May I ask if it is possible to insert a trigger on when the email should be sent? We do not want to expose the link to join the event straight after they are registered and would like to only send the link 2 days before the event. Is it possible?

      Sure! There’s a delay action that you can add to the Flow. I’m not sure how long you can delay though and I don’t think you can do a delay that counts backwards from a time but I’m not sure. I’d encourage you to test it out and let us know!

    Hi John, thank you for the tutoral, it is very useful. I have a question, with this process you are able to have a register of people interested on the event, but how do you know that they actualy connected? I mean they can fill in the form, but how do you know they watched the event? Does Teams have an option to help us see the actual conections, not just the pre registrations? Thanks again!

      Yep! Just turn on the attendee report when you schedule the live event and you’ll be able to download a spreadsheet of who attended. It should be noted that if they join anonymously, you’ll be at the mercy of what they enter for their name though. An official webinar registration is coming to Teams soon and this will be built-in and you will know exactly who joined.

    Do you mind creating a simple video on how to use forms to gather registration data that is linked to an Excel spreadsheet, that is then emailed automatically to designated emails within and outside an organization? A few selected operations within Power Automate under OneDrive are Get File Content (not Get File), Copy File, Delete File, etc. Other options within Sharepoint don't seem to indicate the specific operation to get a file from One Drive after it has been updated to be emailed. Looking forward to your reply. Thanks.

    Is there a way to send a reminder email and setting it to send 30mins before the event starts?

      You could certainly do that a couple of ways! You could create another flow set to run 30 min before the event and then send the email reminder using that to the list of participants you stored in the SharePoint list. You could also just set the ICS file to have a 30 min reminder and the their calendars will remind them without you doing anything.

    Really useful video, thanks!! Would this work for participants using Gmail instead of Outlook? And am I right in saying that the process is not exclusive to a specific virtual platform? I.e. Teams, Zoom, Google Meet etc.

      I think it'll work fine but to be safe, you could make the .ics file in Gmail instead of Outlook to be sure if you know the majority of people will be importing to Google Calendars. This basic idea would work for any live event platform that has a link since you're just pasting the "join" link into the calendar item before exporting it.

    Thanks for your help. I need to do an event but I have to manually approve each person who signs up. Is this possible?

      Absolutely! Just add an “approval” action before the email and list stuff. So when they fill out the form it’ll send you an email approval and if you click approve, then inside that you’ll have it add them to the SharePoint list and send them the confirmation email. Check our videos from Jon Levesque, he’s got great stuff on how to do approvals in Flows.

      Are you using Windows? I know it does ica when dragging and dropping on Mac but not sure about Windows. I believe there’s another way to export an item as an ica on Windows though.

    I went through all these steps and came across two issues: When matching the headers of my SharePoint List to the Response Ids for the flow, one header is not available "location". The second issue is the .ics file that is attached to the conformation email, it will not open with outlook automatically, it asks what program you want to use to open it like Explorer, Acrobat, etc. What am I doing wrong?

    If I have 4 different training sessions / dates / times, is it possible to put these on one form and somehow use this same flow? AS I see it now, it would be (4) Live Events, (4) Forms (4)Lists and (4) flows. I'm wondering if I could use the Choice option in flows somehow?

    Thanks so much John! Awesome demo! In other platforms this functionality is already included, but we have a lot of customers that are only allowed to use Teams. Your tutorial solved one of my biggest problems with Teams Events. Is there also an option to send the confirmation in a fancy HTML email instead of plain text? I'm a marketeer ;-)

      You definitely can! That v2 “send email” action allows for HTML formatting. Also later this year proper Webinar support is coming to Teams with the Advanced Communications SKU. That will have a full registration and attendee tracking process. Hope that helps!

Microsoft recently updated their roadmap to show March for that feature coming out.       Hi Nishant, I've only seen this before if you forget to add ".ics" to the name of the file when you do the Create File action right before the email action. Hope that helps!

    Nice video. Thank You indeed. I had an event and I wanted to make small registration before entering the event such as full name, email address, country. So, anyone can enter the link of invitation from email, Facebook, etc. can write this data. Is it possible?. The point is that not all registers (in a separate google application form) will not attend the meeting. So, I need to make sure who really enter at the day of the meeting.

    Hi john, very good tutorial, but Is there any way to simplfy this process? for example de mkt area make events every day, and I cant spend all my day doing all this proccess every time.

      You can duplicate some of these items to make the process easier next time. For example you can do a “save as” for the Flow to not have to make it from scratch each time. Put the values as variables at the top of the flow and you’ll have minimal changes to make. You could also make the form be a single one with a drop down for which event the person is signing up to attend. Then make the flow have a switch statement that sends the right email and attachment based on which date they selected from the drop down.

      Hi Courtney, that could be because your Teams admin may not allow the creation of live events or you could be on a license level that doesn’t include live events. I hope that helps!

      Did you make sure to include “.ics” in the file name parameter in the flow? The only thing I could think is if you just put the file name with no extension then it might attach as an unknown file type.

    Hi John, for some reason, my attachment will pick up the .ics file, however, the email with the attachment will not recognize the .ics file.

      If you download the file does it have an ICS extension? If not then you have to make sure you put ‘.ics’ in the file name within the Flow action.
      If you have the extension but your email client won’t recognize it then that could be an issue with the email app. Are you by chance using Outlook for macOS with the ‘new outlook’ enabled? I’ve noticed that new outlook doesn’t recognize ics files for me. I’m hoping it’s a bug they’ll fix soon.
