How Retention Tags and Retention Policies work in Exchange Online- Part 1

  • Let's understand how Retention Tags work, what are the actions we can specify under Retention Tags and how these actions help an Administrator to manage the mailbox storage space.
    Deletions folder can be accessed by an Administrator by running below command:
    Get-MailboxFolderStatistics -Identity "user@domain.com" | fl
    This folder can be accessed with the help of MFCMAPI tool as well.

    Dear there is no email deleted from the deleted items folder on its on. If I have to say in an oversimplified manner, no items are automatically deleted from the "Deleted items" folder

    Will retention policy tag delete emails from subfolder of inbox folder ? And if we applied 2 years delete and allow recovery tag on entire mailbox, is there any option to set exceptions for default archive folder not online archive

    Sir, Microsoft's statement "Default Policy Tag applies automatically to entire mailbox" isn't satisfactory. I havw read many docs but never got answers to below queries:
    1) does DPT apply to recoverable Itema Folder when mailbox isn't on hold?
    2) does DPT apply to personal folders and user created folders under default folders such as Inbox?
    Kindly clarify these doubts for me. Thank you so much for this informational video!!

      Yes for both Questions. DPT will process every single folder/subfolder in your mailbox including Recovarable Items folder. As long as the they meet the retention period, and the only hold that can stop it from working is Retention Hold.

    Once retention period complete email goes to deletion folder and when user recover this it will automatically move to Inbox. Then my question is when user recover that mail will that mail again move to deletion folder as it has already passed retention period? Or what will happen after recovery till when it will stay within inbox.

      You can use different options. Retention on create date or last modify date. Depending on your choice, the folder will go either to a new Retention period or permantaly deleted.

    Hi, I found your email very useful. I have two questions, 1). Can the sender of an email create a retention policy to delete the sent email after 7 days, does the recipient's email delete as well? 2.) can an unread email to that recipient be deleted after 7 days?

      Basically, the retention policy works on the intended mailbox. In your case, you can set up retention policy for emails you sent. However they wont be deleted from recipient side. I hope that helps

    What happens when user deletes a mail from their end before 1 year .will the mail be retained in recoverableitems folder for rest of 1 year or just for 14/30days

      Hi, by default recoverable items folder store emails for 14 days but you can modify this value to maximum 30 days. I hope this answers your query.

    Does a customized "Personal Tag" have to be contained in a Retention Policy in order to be applied?

      Hi, Personal Tags can be applied only by end users either from Outlook or OWA.
