Pull Data Functionality in KoboToolbox

  • If you have done a listing and you want to reuse some information in the main survey, you can use "pull data" to pull the data from .csv file and call the information in the main survey.
    How to pull data
    Give that field a name that you want
    Then in its calculation column, call the pulldata() function, indicating which field to pull from which row of which .csv file. This can be achieved by writing as follows pulldata(‘nameofcsv’, ‘columnheadingtopulldatafrom’, ‘columncheckformatchingTEXT’, ‘TEXTtoCheckfor’

    Great tutorial!!! Mine has an extra layer to it. The last 2 questions in the pulldata series have more than 1 instance in the source csv file. E.g. let's say it goes from continent, to country, to region, to district. And for each country, there are 2 regions, which could also have 2 districts each. In that case, using the text type won't quite work......cos I should be able select which of the regions, then districts that I want the new information to be collected for. How do I do this? I have tried changing the question type from text to select_one ...... but then it doesn't quite work.

    Fantastic video, thanks for your contribution.
    My question is that I've already gotten Pulldata to work in Kobotoolbox, but when filling out the form in the Kobocollect app, Pulldata doesn't work because it doesn't call the data. Could you help me?

      I think something is wrong somewhere. Take your time and watch the video again to see if there’s no mistake

    Great and easy to follow video, but when I download the xls file it does not have the calculate row and column I see in your xls. I also cannot see pull data in KOBO settings

    This is wonderful! Would this work if you had something like a grant application form that you wanted to link to a grant review form? Essentially so individuals could submit their grant apps and then reviewers could read those apps and review them in the "child project? Thanks so much for any clarification you can provide.

    Hello good day!
    Thanks for an amazing content as always. I have watched several of your videos to help me through my baby steps in kobotoolbox.
    My question is that I want to pull data but not from an external file but rather, the choice sheet of my survey form.
    I have already populated it with required data and I want to reference it as a note for the surveyor Eg "there are ${number_of_schools} in your city"
    Where there is a number_of_school_filter in the choices sheet.

      If I may get you, you want to reference from the same form. If that’s the problem then it’s not hard, I already have tutorials on that. But I will like to get you clearly.

    HI Oluwaseun Ogunmolu
    I have another question.
    In my survey , there are two steps . One is listing followed by the main survey. Listing will be done in a place for 100 households. Then 12 households will be selected by making stratification based on education of the head of the household. Households will be grouped in four different groups based on education of the head of the household. Then 3 households will be selected randomly from each stratum.
    Is this possible in Kobo programming ?

      You can do the stratified random sampling using Excel then use pull data to fetch the selected information. After you have done the sample selection from the listing data in excel then use Pull Data to fetch the information of the selected sample in the main survey

      Yes of course. In the excel xlsx, in the column where you will write read_only, on the particular question you want to change the read_only will be FALSE. Then you can change and submit easily

    En la aplicación del celular no me aparecen lo datos extraídos de la base .csv, pero en la computadora si me aparecen; ¿me podrían ayudar con ese problema?

      Ya encontré la solución, mi base se encontraba con comas y lo cambie por punto y coma y ya funciona

      Yes, you can only do 5000 submissions in a month and the storage capacity if you are collecting pictures or images from the field or audio is 1gb. Therefore, if you need more storage you can contact Kobotoolbox support. support@kobotoolbox.org for upgrade of account

    Hello,
    In CSV file created unique id's, if I created drop-down list for that id's so my read only question can't filled as per CSV file they are just blank. Kindly let me know how to fix this issue.

      @@oluwaseunogunmolu I am talking about media file for pull data functionality, in that file I have created unique ID's for read only pop-up values. But when I created drop-down list for that unique ID's on kobo so the read only values can't populate. So how to fix this issue? I now limitation of pull data functionality this work only text type data. But I have more than 500 ID's so need to drop-down.

    A good vedio indeed, can someone edit their details in pull data? maybe after they realize that their name had a spelling error etc?

      Yes of course! But you will have to redeploy the form to server.

      YES. You can download the result and save as csv, then call the result (data) in the new form

      @@nicolasspoto689 if you are using the same link for the old and new, then you can go to "download" and select "include data from all version". If I get you right. Another thing you can do is to link the two data together using data sharing

      @@nicolasspoto689 Yes what you need to do is to use pull data. For example the last question can be pull old data - yes or no, if yes then pull data as read only to append to the new data

    what could be the issue? am getting my data from reglist and have copied every single column name.
