- 👍Here is an EASY and FREE trick to clean out your e-mail inbox using the "rules" feature in Apple Mail to identify the common characteristics of messages that tend to be junk.
SUBSCRIBE!!! bit.ly/TTASubsc...
Please note: This feature will be best left ON for some people and for others it may be best to just simply turn this feature on and then off quickly as needed (especially anyone in business who may be receiving business-related messages from people whom they have not previously corresponded.)
In order for this to work on your computer, you are going to need a Mac and have your e-mail linked up with the Apple Mail application. This can also be done in Outlook and perhaps some kind person will leave the instructions for how to recreate this feature on a Windows PC in the comments section.
STEP 1: Create A Mailbox
This is so we have a place to store all the messages that are about to be identified as "probably junk." You could also optionally use the pre-existing "junk" mailbox, however because there is a certain risk of missing legit e-mails, I tend to recommend keeping them separate.
STEP 2: Create Your Rule
The two main aspects of this rule involve people who are not already saved into your contacts and people who are NOT previous recipients (meaning at some point in time you have corresponded with each other).
Once the emails have been filtered, consider sorting the messages by who they are from (instead of the date). This will make clearing out groups of messages a lot faster.

David, I love all your RUclips classes! Your classes are awesome and I’ve referred a number of people to your channel to learn more about anything Apple.
Thank you for being a fan!!!
I appreciate the effort. Instead of going through this complicated process though and risk getting important mails pushed into that junk folder you could just scroll to the end of the emails and hit unsubscribe. Thats it. Done. Also when u sign up somewhere just uncheck the newsletter tickbox. That way you dont get any mails you dont want.
That Apple Cube you have on your desk is one of the most beautiful computers ever made.
Dear David, I am an occasional viewer of your clips - but all of them have been very educational. I want to thank you for your generosity and wish you a joyous christmas, Wolfgang
oh my God.Thank you very much, David! I had emails in archive for the last 3 years and was trying to delete them manually by clicking on trash icon. had a rule to delete at least 100 per day. with your help delete in sec today.!!! will watch all your videos. Back to school!
Awesome video! I am sharing with my 83 year old dad, who just got his first mac (has had an iphone and ipad but never an 'real' computer. He wants and needs your lessons! Namaste

Rules & Filters: Things I had completely forgotten about from back in my Y2K Windows Days. Thanks for the reminder, I just moved out a ton of clutter. 👍
thanks you just saved me alot of time from sorting thru all those junk emails i receive on a daily basis
Man! My mail was not working as I was used to. Came back to this class and found out my rule was incomplete. Why? Don't know, but now it's good. Thanks.
You are definitely my apple guru guy. My brother told go with apple. Like all things there are ups and downs... you seem to navigate all apple’s quirks as they come along! Thanks for your dedication! FYI... I’ll be calling for lessons.

Cool sfx contact lenses ;P

I've been using this trick from the day that you first released the video and it has made my life so much easier. Thanks for such great content!
Love your videos! ❤️
David, I bought my first Mac in 1994 so you could say I’m familiar with the platform. You are the go to for the most straightforward and useful Mac help that I can remember. Thanks for all you do. Happy new year.
But your eyes!! Whewww! Ok I am calm now. Thank you for this video. Very helpful
Yes, it’s the eyes 😉
thank you so MUCH! i had literally 18k mails.
Hello David, We always enjoy and learn a lot from your videos, so thank you. Merry Christmas and have a safe New Year!
You’re very welcome. Merry Christmas to you too 🌲
I’m struggling to try to find out how to delete my emails that I delete them but they keep reappearing in my inbox I have 14,000+?
Make sure the mails are deleted in Exchange if you're using it. Note that the search includes Bin folder as well. In case you search for deleted emails it may reappear. You can uncheck the Bin option from Preferences > General > Bottom most option to not include in search.
As always I learn something new from you at each class. You have a way of explaining the topic very throughly and you make it easy to follow which not everyone has that teaching knack. Thank you again looking forward to next year’s classes. Your long time student!
Fantastic video ☝️☝️
Ten thousand thumbs up!
Extremely useful video. Thank you so much
Email in your inbox is only for email where you are on the TO: line.
All other emails (BCC'ed or CC'ed) should go into a folder called "Inbox - CC."
How to do it on apple mail...help plz!!!
This is what I have been looking for. Thank you for showing me another way to clean up my email.
Love learning with you , Merry Christmas
Your video are awesome
Hello! You are so helpful. Say I want to just use my GMail from the Google website, and get rid of Mailbox app which is taking up so much space. What would happen if I dragged Mailbox to Trash and then emptied Trash? I am so short on space. Thank you.
Great info....
It only stores new emails, not old ones
This video was extremely helpful. Thank you!
David, you're my hero, bud! This is absolutely life-changing!
Hi! Great feature, now i just learned how to do it right :) Now the next question is, if i have one emailadresse that i would like to exclude from the rule, can i do that? :)
I' glad to have found you! Thank you so much for educating us in a very fun way.
Do you have an update for this in 2022? I don't see the same options when making RULES now. Thanks
This was life changing! Thank you from the bottom of my heart!
I always leave a like on David’s videos before I finish watching them because they are always great 👍🏻 Thanks for all the classes, Merry Christmas 🎄🎁
I never fail to learn something here, thanks David.
Hi; Can this Rule be made into a Smart MailBox? I have several Mac computers that use the same email address and I would like to have this rule performed across all devices automatically? Thanks, Keith
Any tricks for a Mac mail app that keeps not being able to find a server and constantly doesn't send emails?
Wow, thank you for the help, I have a little bit more space on my Mac now!
Great video. I was looking all over for a way to organize my inbox better. While I like the Smart Mailboxes option, it doesn't quite do what I want. I want those emails to be moved out of my main inbox like having different folders in Outlook. I can do that with the Mailboxes option. Then just add those to my favorites and change the "unread count" and "notifications" preferences to "All Mailboxes". Now I can still be alerted to new emails that are only going to show in those folders or "Mailboxes" :) It is unfortunate that you can't apply the rules to your whole account though. You just have to do it on one device like your Mac and it will sync across the others as long as your Mac is online.
Like always you are a God send.
Good and clear instructions, but it didn't work. Not sure what I did wrong.
LIFESAVER !!
however, I have the same problem i see from another person commenting. When I select a group of emails to be deleted only about half of them delete and the rest stay. In other words , i have to keep re-deleting some of the emails I deleted. Do you know why this keeps happening ?
Is there a way to do a mass delete from the iPhone?
Could you do a video on disappearing mail in Apple Mail?
hello can you explain how to delete multiples message from people on Mac? Thx
do you have any vids on how to recover files from trash after it was empty?
Thanks!
Thank you ... love your presentation.
I have enjoyed watching your videos this year and wish you a Merry Christmas & a Healthy and Happy New Year and look forward to more to come.
David,
I did this it is moving stuff to probably junk but it does not remove it from inbox.
Hi,
Is there a way to undone this function. If I want the mails back in the initial mailbox.
Thank you!
Hello Sir, Could you please guide how to remove/Store all my mails in iCloud because mails are taking memory in my macbook air.
Hi David, i applied your method, but actually nothing happens in my inbox. the rule is not being applied
Hi David, Why did this not work for me? My probably Junk box is still blank?
Wow!!!! Such a clear way to teach!!! But too bad, I don’t use my MBP anymore... I’m an iOS user.... Would you consider developing a serie of videos pertaining to iOS (app to clean caches and stuff, best practices...) Have an awesome blessed season David.
Thanks for your classes. They're always so helpful!
For Gmail iMap, So it is working great to move new messages coming in, but all previous junk email is not affected. Is there something else I need to do to make that work?
Can you do a video on music only my Apple TV is not picking up my music collections from iTunes
Thank you so much for all useful video dear David 🍀🍀🍀🌈🌈🌈
Excellent Video. Just one question. If I add this rule to my mail app and I have 4 different mail accounts set up does it scan all my mails from all my different accounts and applies the rule??
And I already did this from watching your video but from what I see it only moves new emails... Is there something to do to move read emails to this junk mailbox I created??
Thanks,
new to apple and would like to thank you for how you explain things in limens terms you have really help me with some things I could not do. Merry Christmas and Happy New Year
Thanks I learn a lot. It’s work for my Mac 👍 but not for my iPhone I have iPhone 8 Plus why?
Do you have one that explains the archive box. Seems like everything is in there stuff I already saved into another mailbox and stuff I want to delete. I am not sure deleting the mail in the archive box will delete mail that I had saved. Do I make sence? Thank you for you videos!
I don’t have a Mac......will this work on my iPad? Thanks
Starts at 2:01
Any way to do this without a Mac? I only have a Windows pc.
The Best thing I’ve learned today. Thanks
I learned something new! And boy do I need it.
I use separate client mail boxes. When they are old I want to archive them. How do you archive “mailboxes” with the entire contents to an archive location without commingling all client emails. In other words, how do you retain the separate integrity of each mailbox contents upon archiving?
I have a question: Why isn't there an option toI collapse/expand sub folders in icloud email? 100 folders and subfolders is a pain to search through?
This caused all kinds of problems for me, now trying to repair my mailbox :|
Excellent David... Really needed this... Great to hear you do one on one!! Definitely avail of the that early in the new year
How do you clear deleted emails from your computer to make disk space?
Great job again David
You are good teacher, Thank you.
Wow this is something I’ve been looking for, very good informative video. I would rate it a 10 on just this first video I saw from you. I definitely will look at and how to donate! Thank you.
Merry Christmas 🎄
You make the best videos!! You're awesome for sharing these for free. Ive learned so much about Final Cut from you, it's insane. I wish you a merry Christmas and a Happy New Year!
Hi Dave, i have followed what you have suggested but it seems to be copying the emails again once i delete. how do i fix?
My email is a mess! Thank you for this!
This video was so helpful for me, thanks!
Hi! I followed the instructions but I was not prompted to apply to my mailbox to automatically move to junk.... can anyone help?
Brilliant just what I needed to do, thank you so much and you explain it so easy.
Whew, had re watch the video to learn there's a on/off switch👍🏾
Never had a MacBook before but this video help a lot. Thank you :-) Just wondering. You say that I can click on the first mail and click shift and all the emails in between will get get selected. Can I somehow select different mails without the mails in between gets selected? Hope that you understand what I mean.
Is there a way of creating "canned responses" in Apple mail?
Double check that Rule: I think it should be - If ALL of the following are met. With ANY specified you will move emails from senders in your contacts that you’ve not emailed before, and move emails from people you’ve emailed but are not in your contacts; not quite what you were hoping for.
Can I delete the masses of email stored in the 'Archive' folder please?
