When I onboard clients, they sign a ACH Authorization Form for me to automatically withdraw funds every month on the 1st for the monthly flat rate we agreed upon. Then I set up an automatic sales receipt in QBO. I love this because I don't have to send out any invoices every month & wait for payment and I don't have to pay high credit card processing fees or have to update credit cards when they expire.

I have a landscaping company & a non-profit clients, sometimes they write on the bills the project, other times they don't. As of now, I just send a spreadsheet with the transactions and ask to write the project, but I'm curious if other people do something more efficient. Thanks in advance and keep up the hard work!
It's very hard! There is no good way of doing it. the best way to do it is the way that the client consistently responds to you and gives you the info that you need. That's why I definitely charge more for project/class tracking
