I’ve wanted to know how to do this for years, but have never found an explanation that ties it all together. Word Help will tell you how to define a style or how to define a list but not how to link heading styles to an existing list. Thank you for your clear, logical, useful explanation. Thanks for the tutorial! My MS Word decided it was a good idea to mess with the multilevel numbering system by turning level 2 into the Chinese numbering system (甲乙丙丁) instead of the good old 1.1, 1.2. I had no idea how to undo the setting until I saw your video.

I really like the explanation for styles and how to get the numbering level to display number format using level 1, level 2, etc. One thing that was missing was how to edit the multilevel list after it is created. As far as I can determine, it is not possible to edit the list using the same menu system that was used to define it the first time. In terms of editing the indentation positions, I would recommend 1) Turn Ruler function on using view menu under Show: Ruler (tick box) 2) The indentations can be adjusted using the icons located on the ruler. If the list is created using styles then an update in one heading will affect all the same style. Note it is possible to edit these values using paragraph: left indentation, special-hanging and Tabs, I just find it is much easier to edit using the ruler symbols as you can see the change in real time. Hi Great Big Breakfast. Thanks for your feedback. If you click the multilevel numbering icon then choose 'Define New Multilevel List' the existing settings are displayed and you can edit them however you want. No, it's not obvious! Yes you can make changes directly on the ruler providing you understand what is happening with the styles. When you modify a style, the 'Automatically Update' setting (at the bottom) is switched OFF by default. this means that if you place your cursor in, say, a Heading 1 paragraph and adjust the indent using the ruler markers, ONLY THAT PARAGRAPH will change. If you switch ON the 'Automatically Update' option in the Style definition, then if you adjust the rule markers it will change EVERY INSTANCE where that style is applied. You have to be very careful. My personal recommendation is to leave the option switched OFF. but if you are careful and understand what you are doing, switching it on is fine if it serves your purpose better. Thanks again, Jason

My issue is that, if you're talking about a house that belongs to Mary, you say "Mary's house", with the apostrophe. So, my mind insists in this example - "worth it's weight" - the it's applies to make the weight possessive. But then I think about it some more and decide that's not right and change it. But then I think about it again.... You can imagine the "bunny trail" my mind goes down! I've struggled with this particular subject for years!

02RIV well, let’s say you have a little bit “overexplained” the concept in the blog. As a semi-experienced user, I was looking for numbering with styles. My document was nearly finished but seeing that you’ve started from scratch was a bit disencouraging at first. Secondly, i cannot even manage to proceed the action number 2, because it was greyed out in my computer, since i believe i’ve clicked somewhere else. I think we are getting used to be taught by video posts for these kind of stuff. Blog posts are a bit “unfit” for such step by step explanations.
A good blog post will relate to people wherever they are on their journey. Clearly you are further along than others. My blog posts are structured so that you can scan through to the section(s) that are relevant. The jump links at the top of the post also take you straight to the relevant section. If I started the post at the exact point you are at Zeki, then to others it would feel like starting in the middle of the story. I'm sorry you found my writing 'desperately bad' for these reasons. I also strongly disagree that blog posts are unfit for step-by-step explanations. That is their strength. People learn in all kinds of ways - watching, listening, reading and doing. While blog posts may not work for you, one size does not fit all. I hope you figure out your issues. All the best. Jason

I had troubles working with multi levels for a decade, which got it wrong in many instances. But, nowhere explained this that easy and really work, but this. Could have watched this before ...😭😭. for decade this has been an enigma to me. Wish they would add some tooltips or something to explain and allow the user to figure these things out. Great video thank you
first off, a big thank you for this life saving video. i also watched some of your other videos and i can say that you saved a lot of my time. but i'm facing a problem and i hope you could help. i need 5 levels of numbering but im stuck at level 4. i triple-checked: multilevel list -> define new ... -> chose level 4 form the list -> include level number from level 1 -> dash -> include level number from level 2 -> include level number from level 3 -> then chose my preferred style from number style for this level list (also assigned each level numbering to its corresponding heading number, because my ultimate goal is to make a table of content for a plain text of 61000 words). i followed the exact same path for the first three levels and it worked out fine, but even with this setting I still get 1-1-1-1 at the forth level.
It sounds like you have set it up correctly. So, does the numbering do this ... ? 1. Blah 1.1 Blah 1.1.1 Blah 1.1.1.1 Blah 1.1.1.2 Blah 1.1.1.3 Blah 2. Blah 2.1 Blah 2.1.1 Blah 2.1.1.1 Blah 2.1.1.2 Blah 2.1.1.3 Blah

Well I'm having another problem after getting my mutli-level lists sorted but it might require some troubleshooting. I have a big white space after a paragraph when I select a certain style. The problem seems to be connected to the Style but maybe it's something I did/didn't do when setting up the lists. I've checked for page and section breaks. I searched for tutorials on "white spaces in word" but only came across very basic problems. Maybe you already have some posts on this? A troubleshooting tutorial on potential causes of white spaces might be good. I use word 2016. Many thanks

Try this. 1) Right-click the style you are using, then choose 'Modify'. 2) In the bottom-left of the dialog box, click 'the 'Format' button, then choose 'Paragraph' 3) In the Paragraph dialog, check the setting for 'After paragraph'. I'm guessing that will be a big number. Reduce it. Let me know how you go.

Hi Roz. Thanks for your question. As my training videos are mostly Microsoft Office, I use a PC for recording and editing. Here's my stack. It's very simple: - Camtasia 9. - Rode Podcaster mic - Audacity (for minor audio editing). I mostly use Mac for everything else in my business. It's just that Microsoft and Apple don't play nicely, even with Parallels or Bootcamp running, so I keep my two worlds separate! I hope that provides some insight. Have a fantastic day. Jason

One question - when I apply a heading style to a level, the auto numbering functionality stops working for me (meaning if I hit the enter key, it doesn't auto number the next line). This is good if I want to write free text below the level like you demonstrate at the end of the video but not good if I want to continue the numbering for new items. Any advice? Thank you!
Hi. Yes, this can be done. If you're working with say Heading 1, modify the style and set the "Style for following paragraph" to Heading 1 instead of Normal. Let me know how you go.
You do a great job of breaking down a complex subject. And you helped me see how to "edit" the list settings (really wish MS had included a true edit mode for multilevel lists, but at least now I know how to start with an existing list, rather than totally from scratch). However, you might confuse some people by combining indented list styles with autonumbered headings. Numbered headings aren't normally indented like this (at least in the market where I work).
Thanks for your comments and insight Guy. Aside from unravelling the process of creating / amending / fixing multilevel numbering, the video is also an exploration of the important options. I totally accept your point. It's up to each individual if (or how) they indent their numbering. There are 2 settings and even if you leave 'Align at' as zero, as your numbers grow in length, it's useful to know about 'Indent at' too so you can indent text consistently for a given level. first off, a big thank you for this life saving video. i also watched some of your other videos and i can say that you saved a lot of my time.
but i'm facing a problem and i hope you could help. i need 5 levels of numbering but im stuck at level 4. i triple-checked: multilevel list -> define new ... -> chose level 4 form the list -> include level number from level 1 -> dash -> include level number from level 2 -> include level number from level 3 -> then chose my preferred style from number style for this level list (also assigned each level numbering to its corresponding heading number, because my ultimate goal is to make a table of content for a plain text of 61000 words).
i followed the exact same path for the first three levels and it worked out fine, but even with this setting I still get 1-1-1-1 at the forth level.
It sounds like you have set it up correctly.
So, does the numbering do this ... ?

8. Type a dot.
9. In the *Number style for this level* dropdown list, choose ‘1, 2, 3’.

Well I'm having another problem after getting my mutli-level lists sorted but it might require some troubleshooting. I have a big white space after a paragraph when I select a certain style. The problem seems to be connected to the Style but maybe it's something I did/didn't do when setting up the lists. I've checked for page and section breaks. I searched for tutorials on "white spaces in word" but only came across very basic problems. Maybe you already have some posts on this? A troubleshooting tutorial on potential causes of white spaces might be good. I use word 2016. Many thanks
Hi James. Try this.
1) Right-click the style you are using, then choose 'Modify'.
2) In the bottom-left of the dialog box, click 'the 'Format' button, then choose 'Paragraph'
3) In the Paragraph dialog, check the setting for 'After paragraph'. I'm guessing that will be a big number. Reduce it.
Let me know how you go.

Hi Roz. Thanks for your question. As my training videos are mostly Microsoft Office, I use a PC for recording and editing. Here's my stack. It's very simple:
- Camtasia 9.
- Rode Podcaster mic
- Audacity (for minor audio editing).
I mostly use Mac for everything else in my business. It's just that Microsoft and Apple don't play nicely, even with Parallels or Bootcamp running, so I keep my two worlds separate!

Great tutorial, thank you! One question - when I apply a heading style to a level, the auto numbering functionality stops working for me (meaning if I hit the enter key, it doesn't auto number the next line). This is good if I want to write free text below the level like you demonstrate at the end of the video but not good if I want to continue the numbering for new items. Any advice? Thank you!
Hi. Yes, this can be done. If you're working with say Heading 1, modify the style and set the "Style for following paragraph" to Heading 1 instead of Normal.

You do a great job of breaking down a complex subject. And you helped me see how to "edit" the list settings (really wish MS had included a true edit mode for multilevel lists, but at least now I know how to start with an existing list, rather than totally from scratch). However, you might confuse some people by combining indented list styles with autonumbered headings. Numbered headings aren't normally indented like this (at least in the market where I work).
Thanks for your comments and insight Guy. Aside from unravelling the process of creating / amending / fixing multilevel numbering, the video is also an exploration of the important options. I totally accept your point. It's up to each individual if (or how) they indent their numbering. There are 2 settings and even if you leave 'Align at' as zero, as your numbers grow in length, it's useful to know about 'Indent at' too so you can indent text consistently for a given level.
