Hearing that Heavy Rain on the roof made me think about your longer hike to the new back shed, but then my second thought was that it’s a great reason to justify, to Blue Ridge Mama, that you need a covered John Deere Gator or Kubota Mule to shift people and inventory stock around the property. Got to be some perks with the job!🏴‍☠🏴‍☠

It's only been a little over a year for me, so I've never done inventory. But, all of my items are listed primarily on my website, in addition to the other platforms. I have said as some totes dwindle down from time to time, I should inventory them when they are low to make it easier to count, and then note the date of the audit on the tote. My day job is at a big box store that normally does inventory annually, but because of COVID we waited a year and did a two year inventory. The impact of the inventory didn't change a whole lot skipping a year. In conclusion, as long as I audit every couple years I think that is acceptable for me. I start aggressively marking down anything that's been in the store for a year, so a lot of it seems to take care of itself. Take care!

Whether you keep your clipboard use or decide to keep your inventory on the computer, a suggestion for a basic template is - item, date bought, date posted, price paid, price charged, date sold and a place for comments such as 'screwed with shipping, item returned, etc'. Many of the older items you won't remember the details - don't over stress - just fill in the new items. Also, break it into reasonable categories - ex - clothes breakdown = hats, shirts, jackets, shoes, other. This way the task will seem less daunting if you just tackle one category completely (old and new) at a time. Remember the old saying -'How do you eat an elephant? One bite at a time!'

I grew up in brick and mortar retail so a physical inventory has always been the annual bane of my existence, at least until I started my eBay store. As a sole proprietor it wan't *urgent* that I knew to the dollar-and-cent exactly how much I had in physical inventory, and if there was any shortage: I was to blame since I am the one who "touches" inventory from incoming to outgoing. But in 2022, I'm changing the corporate structure of my business away from a sole proprietorship to something else, mostly for tax reasons. And in order to do that, I'm going to have to go back (ugh) to an annual inventory count.
After the first one, I'll likely be doing that regularly in mid-summer when sales are slowest because it's much easier to shut down the store while doing the count, or else make lots of notes on what has sold from the time you started counting until you are done and ready to return to regular business.
In one way I'm glad that I have so much experience with doing an inventory because that will make the set up and execution go much quicker and easier. I do very much like your idea of one bin at a time. I was actually thinking of doing one category at a time but that might lead to stuff not getting counted because not all categories are stored together in the same space. I will note that *intense* amounts of cleaning out junk and organizing will make things go much faster. Someone organizing an inventory count should spend weeks (given most can't do this full time) getting things straightened up, and separate all the death pile from live merch. I'm thinking that it is going to be critical for me to do two separate counts: the items that are live in the store, and the death pile. From that second count I hope to build an Open to Buy budget, and in order to do that, I'll need to know how much inventory is tied up in that yet-unlisted stuff. I hope to eventually make a series of Retail 101 videos explaining stuff like markup, budgeting based on sales, Open to Buy, Markdown Budgets, etc. There can be quite a bit of math involved in keeping the money under control, and all that begins with a very accurate inventory.

Flat Rate Shipping: I use it weekly, but less then I used too, for sure. Most commonly I use the Padded Flat Rate Bubble Mailer and often ship it with a small brown box inside it. I box the item, put it on the scale and if the Priority FR mailer is less, put the packed box inside the mailer (which gives it even more padding. This week I shipped a 27 pound Med Flat Rate box out (Chain StyleTruck Snow Chains). Regular Priority would have been over $40.
Part of the reason is that I’m west of Seattle, so 3-5 pound priority boxes are almost always more then a Regional A or Med Flat Rate going to the East Coast. Secondly, I ship a lot of tools and hardware and the weight vs volume tends to be heavier then what many sellers ship out.
When I list, I simply select Priority, but don’t specify the actual box I plan to use. I don’t often use eBay calculated shipping, opting instead to set a fixed shipping cost. Then, once the item sells, I check the weights and sizes on the eBay shipping page and go with the cheapest. In many cases the weight or distance makes FR Small, Medium and Bubble Mailer the best choice. I rarely ever use the Large FR or Reg B boxes. If an item is that big, it’s likely going FedEd anyway. For those mid-size items, I select Standard Shipping and make my choice based on destination after the sale.

I had to do inventory in December because unbeknownst to me, my county taxes resellers on their inventory. I had prices attached to each item in their bins but nowhere else. The only way to get a total was to go thru every single bin and add up the prices. It took me 2 weeks of doing nothing but inventory. I also checked every time against my ebay store to ensure that the items were still listed. I was shocked at the number of items that had somehow fallen off of eBay! Now I keep a spreadsheet of every single item and their price and I plan to periodically check each bin against what's listed on Ebay.

Last time I found 11 pieces dropped by ebay.

I do extensive inventory maintenance. I enter every purchase into a spreadsheet, where I purchased, note draft or listed, cost, etc. Then I mark each one sold when it sells, fees, shipping, and have a calculated profit for each. I also calculate the payout and match it to my monthly payout. I also put a code in the custom label with date, place and purchase cost. Comes in handy if I get an offer. This might seem like overkill, but I feel I want exact figures for tax purposes, as well as my own assessment of how I’m doing by item or purchase location, etc. Go ahead, tell me I’m crazy …

I do inventory checks a few times a year. Say, glasses frames and sunglasses. Picture and list. Sometimes I get lazy and just don't list a few things out of ~20-30 or so for the day. I move all the pictures of the non-listed items to my "LIST" folder in my desktop. There's probs 50+ items in that folder. When I go to get an item something will dawn on me that "I don't remember listing this item" I am seeing in my inventory. I type in key words and sure enough, nada. I look in the LIST folder and there's the pictures. And it always seems when I do a death pile with pictures listing day, a handful of things sell. Snarf. All that profit just sitting there for months :D

I have been trying to do a deep dive into my inventory quarterly. Because every time I do I find multiple high dollar items that sold. Yet we’re not automatically reposted by eBay. So even paying a helper for a day to dive into a section at a time more than pays for itself. I also go through and de list and donate items that are just to rough condition, had them to long and are low value ect.
It’s truly a pain to to do at any time. However it definitely pays off in the end. Plus you can make room for for more high dollar items in your inventory.

eBay Flat Rate vs Calculated Shipping Newbie Error: talking about Newbies and FR boxes, I’ve met a few who opt for eBay Calculated Shipping, while filling in the listing template, just because they think that selecting the alternate “Flat Rate” option, on the template, means they have to ship in a USPS Flat Rate box. They don’t get that 2 different organizations picked the same term to mean 2 different things. eBay should have selected some other name for the option to set a fixed shipping cost to any buyer, anywhere in the US.

I need to do inventory myself. My issue is I try to take photos of 8-10 items every day before I settle down for the night, then I list them while I'm watching TV or in bed. Well, I may only get 6 items listed that night, and the photos for the 2 unlisted item sit on my phone in an ebay photo folder. Next day I do the same thing, 8 more items, and then 8 more the day after that, etc. After a while I've got items buried in my photos I intended to list but never did (yet they're in my listed item bins already.) The thought of inventorying 600 items stresses me out (I just do this part time, so it's not like I can pick a day and just inventory like you full-timers). :)

I had two 10 x 20 storage units of "profit piles" that remained out of 5 when I liquidated my own thrift store a couple of years ago. In July I placed myself on a thrifting ban till AT LEAST the end of the year and used that time I was normally sourcing to inventory reorganizing. I went through over 3000 listed items bin by bin, made sure they were accurate and listed, then placed them in more manageable numbered banker boxes and magazine upright files were numbered and placed in between the banker boxes with corresponding location numbers (for craft booklets and such that could stand). I was able to complete all my inventory in about 3 weeks leisurely, and all but jewelry and a few odds and ends like Little Golden Books (I sell tons of these) are in banker boxes with the numbers in the sku line on ebay. This makes it nice in more ways than one since I can filter by sku line in the solds every few days, know what box they sold out of and as I list it lets me know which boxes I have room in to place newly listed items without having to peek inside. I have upcoming videos on my you tube channel where I show my new system, how the before and after is going in all areas such as pulling sold items, and showing progress videos on melting the profit pile down.

Soon I will be laid off and can really get going on my business. I need to do a inventory...I have many items but have nothing down on paper. It is a priority, to do a inventory and putting all the items in one room. Right now I have things sitting all over my house...it looks like a thrift store. I have learned so much from watching your videos...I love your set up and wish I could have a building to set up like yours. Apparently like many others in the comments I'm in the midst of a full audit of all my stock. I've been selling since 2001 and currently have around a thousand listings live. Unfortunately, my inventory system barely rates as 'total shambles'! I moved house just on a year ago and shifted all my stock into storage units. Unfortunately, as the move was sooner than expected and I was waiting on a free storage unit coming available in my new town (decent units are not only quite costly but seem to be in short supply around here) I ended up doing the move in a rush and just 'temporarily' dumped the stock at random. A year later that 'temporary' is still ongoing and, just to make things worse, unlisted stock has somehow managed to escape from its own unit and start mingling with the listed...
The key happening that kick-started my clean sweep was finding 600 CDs that were not only unlisted but which I have absolutely no memory of buying *and* the boxes were actually in my 'listed' unit! Got through around 200 discs then, while sorting some empty boxes found another tote of CDs. At least still had the auction label on so I knew where they came from--but the label also showed that I bought them nearly 6 years ago. Yikes. I don't need to find any more CDs for a while.
I've printed a full list of all listed stock and am adding new sheets each day for whatever has listed that day and crossing off any sales as they are picked. Then start at shelf A1 and work through to M5 adding the location to the sheet and checking the remaining quantity on multi-quantity listings. Anything unlisted is pulled off the shelf and moved to the unlisted (death pile) unit. Once I get to the end I'll be confident that whatever is listed is actually in its designated location. Anything without a marked location will be ended as it's not on the shelf.
Step two is to crack on with sorting and listing the death pile. As this currently fills a 100sq ft unit pretty much to the ceiling that might take a while but I'm trying to be strict and not buy any more stock until I at least have some shelf space in the death pile unit. At the moment I don't even have floor space!
Once I have finished the audit I'm going to copy my 'day job' and institute a PI (Perpetual Inventory) check process. That will mean routinely working through one rack each week to check that the right stock, in the right quantity is in the right location. If your records are accurate to start with then it shouldn't take a great deal of time to check a section.
Incidentally, shelf A1, the very first checked, has thrown up £100 of unlisted stock, including a multi-quantity item shown as sold out yet I still have 6 in stock at £10 each.

I am not from the Philippines, but my sister and I get confused as such. Our mom is Korean and my dad is German. They met during the Vietnam War. I was in High school when the Cold War was going on.
I have to say I hated history in high school, but love it now. I find myself watching so many videos and documentaries. I do remember the news on Imelda Marcos, and just watched a documentary on her and her and her husbands life. Very interesting.
Keep talking about history. My nephew just graduated college and got a job in Boston to teach high school history. He loves it so much. His father, ( my brother-in-law), teaches math at Torrey Pines high school in Southern California. He coaches their football team. I have so much respect for teachers. I was originally from California, then had to relocate to Colorado Springs, Colorado for the past 17 years. Then just recently in the past year have relocated to Utah near Hill Airforce base. Our house has been under construction for the past year and getting close to being able to get my office finished. All my inventory is in boxes and I will be stuck in there for awhile while redoing my inventory. I love binging your RUclips Chanel along with many other RUclips Chanel's while working. Inventory is the pits, but I have been doing it for so many years working in the retail business world. My husband loves logistics and has helped me many times. Especially in stock set up. Can't wait to get my Eniman to put up in my new office. Thank you so much. Love watching the progress on you new cabin. Can't wait to see it finished. Take care.

Hi, love your Chanel. Hi from Western Australia. I’ve be an eBay seller for about two years. Always learning. I’ve just stared to go through inventory and organise it . I don’t do videos like you, but do you think it helps the business if you give the stickers or business cards out?

I used to inventory about once every 2 years (been selling for 20 years) and about 10-15% of the items that were once listed were no longer listed. In my experience items are supposed to auto relist but every once in a while a handful would fail to relist. There is a metric on the seller hub that shows you items that didn't relist. If you look at that you can catch them as they happen.

Inventory is a must. I usually do it twice a year and find up to 20 items that are no longer listed. They just drop off eBay. This year I didn't do it in June and have been so busy that I am not looking for the December inventory.

I had the same thing happen about 6 months ago! I started noticing items that should have sold fairly quickly still laying around so decided to start looking them up and sure enough they weren't listed! I ended up going thru an inventorying ALL of my items and I couldn't believe how many listings had just vanished! Its a big problem that so many people are complaining about! I was so extremely happy I use ListPerfectly so I was able to go thru and relist the items rather quickly. It seems to be when the 30 days is up for the item when it is supposed to relist, instead listings are just vanishing! Good luck with your inventory i'm sure you will be very surprised with how many items are no longer listed.

Last inventory was 2 years ago, and I have noticed that sometimes eBay will knock off listings due to their site updates. They will also lose item description and photos will get corrected due to eBay updates

Inventory: like you I’ve never done a full inventory of supposedly “Listed” items. It’s such a massive undertaking, it seems overwhelming, but it needs to be done. I’ve spot checked a bin here and there and have noted items that were put up on eBay, but are no longer active. Makes me wonder what the real percentage of Dead Stock is sitting unlisted in bins for listed items.

Been full time for 4 months and selling for 3 years I just finished relisting my 871 items but also noticed tons of unlisted items that were once listed. I’m starting inventory today at 3pm one tote at a time and my guess is over 100 items are randomly not listed. Good luck to you on this chore. I am not looking forward to it so I scheduled a start time and day 😂🤣

I do a full inventory every year in January. I tried doing it one section at a time but adding and selling during the process always got me confused so I do it all at once now. My purpose is to make sure everything listed is present and finding things not listed is an ancillary benefit.

if you use the sku system for your inventory, it is not so bad, you can check your items by sku in your ebay seller hub. I have almost 1000 listings and can do my inventory within a day.

Great video, yes I think inventory is an important part of reselling. That is why I started using the Bin system so that I can export out by the custom SKU (were I put the location) I have someone inventory for me. Since things seem to disappear from listings.

Just started going back into my inventory tub by tub, so much stuff was never listed to begin with and some got taken off eBay when eBay revised their item specifics requirements. Been doing eBay since 2014 and eBay/Poshmark/Depop since 2019. Definitely need all inventory up and listed in this economy.

I do inventory every year, usually in January. It is absolutely no fun but I do it over several weeks by tote. It makes it much easier for sure! I usually find about a dozen items that are not listed...and then several that we can't find anywhere so we take those off ebay. I don't ever look forward to doing it!

I have been wanting to do inventory for a long time! Regular stores do inventory. So why shouldn’t we? I will be doing inventory any day because last week we found out we have to move!! We have been living here for 34 years. It’s a nightmare! So why do I think inventory is a good idea? It’s a way to reaffirm what you have and what is or isn’t listed. What condition is it in, and whether it’s viable enough to continue selling it.

I also put the large FRB to use on the regular because I like to sell dumbbells - The old cast iron hex ones go for about $1 per pound plus shipping, and you can get them cheap at sales. Heaviest I've ever gotten one of those boxes was 50 lbs and I'm sure the carriers hated me. Haha! I've ordered the heavy package stickers from USPS free supplies and I think its nice to let them know before they throw their back out.

I just started reselling on eBay in July. I've sold 54 items and I offer free shipping. For almost everything over a pound I usually do USPS parcel select because it is usually between $8-15 depending on the item. I would like to ship with a faster service but I don't want it to eat my profit. I try to combat this by shipping an item no later than the next day after it sells if the post office closes before the buyer pays that way it gets on its way ASAP. I don't know if this economy shipping I offer is affecting my sales because I am so new. Should I stay this course for now or change the way I ship things?

If you are printing shipping labels from ebay priority mail is often just as cheap as parcel post.
