Color-coding and time-blocking is the key. It has improved my productivity dramatically. Also, I start by planning the non-work / fun / inspiring things. Then I plan the work related stuff. Everything is in GMail and digital. And I just get reminders and don't have to remember what to do 😊

I love keeping a really thorough calendar for work, but keep all my personal time free to do whatever. Blocking out my calendar like you did for 3 months really helps me, still the method that works for me the best!
Not getting as much done as I was thinking... "time buffer" helped me a LOT! My buffer time is about 30-40% of all workday and helps to keep agenda as planned

I´ve been using this as my catch all for years, but I always wanted to organize it and yet I didn´t know how... also, I recently figured out that I really needed a useful system and I´m trying several things (including bullet journaling) and it got really frustrating because nothing really seemed to fit me and my needs fully like the way I wanted to.... so glad you made this video... *THANK YOU* !!! Hey, in relation to the Apple Notes App, you can reorder folders however you prefer without numbering them. You’re also able to have subfolders as well in case you have a more macro category that encompasses a few different things.

Appreciate the content A LOT! Though if you are like me and too many systems confuse you.. these are my two cents. I am an Ivy league MBA passout. We were taught to make fancy MODELS and STEPS so we can charge our clients more but when I opened my school in India and Italy and saw something else working better with my students.. something way simpler: we aren't productive and waste time because we don't have a good "connection" with ourselves and our goals. We just do many things without REALLY thinking about them. WHAT WE NEED is to spend some time with ourselves everyday planning the next day. Best way is to have a walk ALONE thinking about things to do tomorrow. VISUALIZE and make that connection. You'll also move a bit that will release the right hormones for you to have a positive connection with the next day's purpose!! So.. JUST have a walk and visualise. And thank me later. Just switched from Apple mail to Airmail and the organization within that app compared to apple was mind blowing. Also switched from reminders to Todoist and wow, all of my little to do notes strewn around on post it’s and some written in reminder (but never looked at a really) are now conveniently in one easy to use app. Can’t put into word how that alone puts your mind at ease.

To me, that means going back to Excel for planning (what CAN'T be done with Excel, I still wonder), OneNote/AppleNotes, and Apple Calendar. After 4 months, I came to the conclusion that Notion is too heavy, text editing is a pain and you can't connect Antidote to it (French-language editing software). As a professional writer, it is absolutely mandatory. Again, thanks for bringing back to simplicity in an over-complicated world.
Things 3 encapsulates all 3 of these very well I feel. Aside from maybe the "notebook" because most "notes" on Things 3 are tasks with an option to write notes for that given task but as far as to-do and calendar syncing its unmatched.

The single most important app that I have been using for my productivity for almost 4 years now is "Smarter Time". I have used and continue to use all kinds of productivity softwares and similar stuff, but none so religiously like smarter time. Overall, it's the second most imp. piece of software i use daily, after Google Assistant. Please use this and make a video on it if you love it cause I don't want this app to shut down as I haven't seen a lot of people using it and/or making videos on it. It really is a hidden gem in the universe of productivity (more like one of the infinity stones for productivity).

That's kind of the whole gist of things like David Allen's GTD. Our brains were made for having ideas, not long term storage of complex systems. We need to get all that stuff out into a different place, like Tiego Forte's system of Second Brain.

I've been practising digital minimalism and must say I find it helps a lot - especially when trying to focus on tasks and work!

The dehydrated lazy side of myself felt relief for a split second at the first water tip thinking it would solve my water intake forgetfulness 😫💦
Grab a big bottle of water and leave it next to the keyboard at desk, take it on a bag when you leave home, carry iy with you when watching tv. etc, Also, First time you grab in the morning so put on a night stand or somewhere usefull.

Someone - how many videos you are going to make on productivity?
Matt D'Avella - Yes
The single most important app that I have been using for my productivity for almost 4 years now is "Smarter Time".
I have used and continue to use all kinds of productivity softwares and similar stuff, but none so religiously like smarter time.
Overall, it's the second most imp. piece of software i use daily, after Google Assistant.
Please use this and make a video on it if you love it cause I don't want this app to shut down as I haven't seen a lot of people using it and/or making videos on it. It really is a hidden gem in the universe of productivity (more like one of the infinity stones for productivity).
Thank you sooo much, Matt. Maybe the difference between successful people like you and others is this level of being organized to be able to spend your time producing, learning, growing instead of spending it searching, thinking and forgetting.

The notes and calendar apps do a lot better of a job at remembering what I’m supposed to do with my life than my brain does.
That's kind of the whole gist of things like David Allen's GTD. Our brains were made for having ideas, not long term storage of complex systems. We need to get all that stuff out into a different place, like Tiego Forte's system of Second Brain.

I have a resident sneezer who sneezes every morning at 5am. His sneezes rock the entire block every.single.morning. It's amazing. I have never met him yet.

This was super helpful, Matt. Thanks! And my Grandpa Ted had a sneeze that could wake the dead. Seriously, we couldn't bring him anywhere near a graveyard, especially during allegory season.
This was great but I have questions!
1. Do you schedule time to maintain the system, or does that happen naturally throughout the month for you? (e.g. When do you deal with the pileup of items at the end of the month in Google Calendar?)
2. What happens to items in your to-do list that keep getting migrated to the next day? These tend to snowball for me.
3. How/when do you move your ideas & long-term plans from Notes into your more active Teux-deux/Google Calendar task management system?

I stopped using Google Keep to keep notes when I started a Bullet Journal but I now think I can use both to be even more productive. Thanks 👍
I think once you learn that being busy does not mean that you are being productive, you can truly begin to get the stuff that matters done.
Productivity is such a hard thing to pin down when you’re “busy” with busywork that is distracting.
Agree so much on this. It's so each to be 'busy' and to not actually get anything done. Take your time and attack tasks a few small chunks at a time.
