Definitely! You should be able to add a text box to the gallery item and set its text property to the creator’s email.

@BulbDigital - Great tutorial. I got stuck at power automate part where I entered my sharepoint URL but it gave me error finding my organization site. Does the helpdesk app need to be published first for it to work?

A couple of things to make this better?
Closure notes. It would be ideal to see what the Helpdesk/tech/engineer added to context. As is, edit is the only option which allows admins to modify the original ticket data.
Added functionality to the emailing process such as an end user response mechanism to allow to the end user to “re-open” the ticket in the event of issues not resolved.
What would you consider the best way of adding this extra functionality?
Thanks for the feedback! I agree these would all be great. I'll tell you that what you're mentioning is possible with these tools, but it's a bit deep to describe in a YT comment. In short, you could leverage Power Automate to add this extra functionality. For the permission changes, you could also use Power Automate with a "run-as" user that has access to the list, so you don't have to give everyone else access.
Solid video! I'd like to see if you'd be able to provide information on adding the ability to allow the submitter to provide attachments. I have been working with staff to provide screenshots when they submit issues, so that would be a GREAT addition to this! Otherwise, I love what is here, and look forward to implementing it shortly! 😁
Hey Michael, I don’t think we have anywhere that spells out exactly how to do this at the moment, but I will tell you that you could leverage the “attachments” field in the SP list as an easy way to save the image if you wanted. Thanks for watching!
Hey there great video! Is there a way to link QR codes directly to the ticketing system and personalize the forms/ QR codes to specific locations? Thanks again!
Thanks Sarah! Yes you can generate QR codes since the app will live at a web address. And yes you can make them unique to locations. I would recommend a combination of url parameters to signify the location + having the app read the parameter when it loads up and set a variable for the location which can be used when the data is being saved to the list.

So, when I change the categories in 'OnVisible' of LoginScreen to my categories & the same is added in Lists, it works.
However, when I close Power Apps and relaunch, it goes back to the original 2 categories (PC hardware & software)
Please help.
Hi, our best advice to you would be to check out some Power Apps basics on YT if you're running into trouble customizing things. We don't want you to end up in a situation where you customized something but don't know how to manage/support it.

Thanks! This app needs to be shared through the Power Apps interface with the users you want to have access. And then make sure they have access to the related SharePoint list as well.

Hey Ritesh, we’ve seen similar comments. It sounds like Microsoft has updated something on their end. There are a few comments on the blog post linked in the description where someone figured out what the issue was. We plan to update the blog with instructions when we get a chance!
I had to switch admin list from a collection to a variable for it to recognize multiple users listed. I believe it’s because you power apps isn’t allowing in to search for the email in a table/ collection.

Question, within the power automate workflow how can i create a trigger that sends an email to the admin that a new ticket has been created as well as send an email to the designated person that will be working on the ticket when the ticket has been assigned or if the assigned to changes? Hey Juan, for the admin email you should be able to use the same flow with some added outlook send an email actions!
For the assigned update email, you'd need to create another flow that watches the sharepoint list for when an item is updated and build some logic to send an email based on that.

Hello! I’m not sure right off the bat. That would imply to me that there’s something not right with the connection that’s looking up users. I know some comments in our blog had to do a little troubleshooting with that at one point. I’ll try to check it out sometime soon.

Would like to know how do I disable the users from setting the Priority themselves as IT needs to set the priority as per the issue raised. If i let the users set the Priority, all tickets will be in High. would be a great help if You can guide me on this matter.
Hi James, I’d suggest setting a default value in the power app and hiding that form field from the user, or making that field optional and hiding it from the user. That way your team can go set it once it gets created.

Hey! Created by should already be in the sharepoint list, you just have to toggle the column to show in the list view.
This is awesome! One question: Our users are accustomed to sending emails to open tickets. Is there a way to connect Outlook to this so that users still have that option if they don't want to go into the app?
Thanks Jessi! Generally we would suggest you don’t allow email to submit tickets. It gets tricky pulling out all the relevant information for the ticket and is hard to track. However, since these tickets are stored in SharePoint, you could configure a Power Automate flow to create a ticket when that inbox receives an email.

This is targeted for internal users, but external users could use it if you add their Microsoft accounts to your tenant and grant them access.
Hey Thank you for the great video. Im trying to develop it for my company and im running into an issue. I got 3 departments i want to create tickets for so i created for 2 so far and it worked fine writing to its own SP list(Im copying past pasting each screen eg MyTicketScreen and MyTicketScreenHR and changing the data source for each gallery ). It work fine until i add a 3rd copy specifically when a 3rd collection of "AllTickets" is created . when i change the data source on the 3rd copy of MyTicketScreenPeople's gallery from AllTickets to AllPeopletickets it throws errors effecting other screens as well! The error comes from the Delete button on the ticket screen, "Set(TicketToDelete,This Item);" - Incompatible type.
Ive tried deleting/Recreating SP sites even creating new Lists and im not sure what to do :(
Hello, hard to say what’s going on! It sounds like things worked the first two times, but not the third. There’s nothing inherently built into the app that would cause this. I imagine one of the main issues could be that the HelpDesk name is hardcoded in quite a few places in the app, and needs to be updated if a different list name gets used.
Great app and excellent instructions, easy to follow. I do have one question though if I may, is there a way to get newly created tickets to be submitted when selecting 'Create' on the CreateTicketFormScreen? As at the moment the logic seems to be that you select Create, that sets the RunFlow variable to true, it then automatically navigates you to the ConfirmSubmitScreen and the flow only runs once you have clicked on the tick to navigate back to the MyTicketsCreen. I assume the reason for this is because the MyTicketScreen has been configured to order the newest ticket to the top and if the RunFlow Variable is set to True it uses the ID "TicketToRunFlow.ID" to pass the ID value from the app into the flow.
The likelihood and what I am already seeing is that people click create and then don't select the tick to navigate back to the MyTicketsScreen, in this event the flow doesn't run and helpdesk are not notified of the new request. I tried to add HelpDeskFlow_V3.Run("'" & TicketToRunFlow.ID & "'") to the Create button in the CreateTicketFormScreen, although as expected the flow runs but passes a null value as it doesn't know what the TicketID is at this point.

Hey, glad to hear it. Yep! You could build another screen that filters the list items to those that are assigned to you, maybe you can use the existing “tickets I submitted” screen as an example for that?

When I tried to use the template from M$, it would only save to collections and there is no actual help in setting it up!

No problem! To do that you would need to go into the forms in the power apps and click "Edit Fields" on the right side. From there you can add the extra inputs that it detects from your list (the datasource).

I would love it if I could keep a completed ticket in the sharepoint list while also making it so all completed tickets removed themselves from the app. Is there a way to do this? It's nice to be able to go back and check out former tickets for future issues but keeping all of the tickets in the app for users is becoming a big mess!

Assuming you've updated the app to use SharePoint for the data, I would simply apply a default filter to the TaskStatus field in the app. Something like...
Filter(TicketList, Author = MyProfile.Mail, TaskStatus "COMPLETED")
You could add a toggle / checkbox to the My Tickets screen for "Include completed tickets" or something like that. Then in the Gallery Items property use an if condition on that checkbox to determine if you want to apply the Task Status filter or not.
One extra thing to think about here is if your tickets list becomes large, you may need to handle delegation issues depending on your filter.

Hi Yasser, right now the categories are hardcoded in the app. We do have a section in the blog that talks about how you could change that though, check out the link in the description.

This application was built using Power App Canvas apps. Which is allowed to be shared with Guest users. The link below gives some technical details about it means to do that. With this said, the Help Desk App template from Microsoft was intended to work with internal users. Sounds like one of the fields isn’t populated so the button is disabled, or something didn’t get configured correctly!
Love the app! Only problem I am running into is that when editing the ticket as an admin, the task status won’t update when updated is selected. What am I missing?
Thanks Melissa! One thing to double check is that the statuses are configured as all caps “NOT STARTED”. I believe the video wasn’t super clear about this, but it’s spelled out in the blog.

I can login as user and insert tickets.
I see these in the Sharepoint list.
What I cannot do is login as admin.
I believe most errors come from "Myprofile is not recognized." & "Adminlist is not recognized."

figured out the solution to my first problem, edited the formula to "Choices(HelpDesk.Category)".

What about logging time. Any idea how you could implement that too. The multiple text line can append text but what about start and end time?

Thanks Leo! I’m not sure I understand the question 100%, but you should be aware that SharePoint keeps track of when the tickets gets created automatically. If you’re asking about if you can use Power Apps to build a time tracking app, you definitely could!
@@BulbDigital Yes I am only struggling in that area of time logging. So say I create a ticket, add an entry to the worklog and then save it its lets say 30 mins. Now when I edit that same ticket and add a second entry that I need to add an additional 15 minutes to te time log so it shows 45 mins total time for that ticket. Does that make sense?
So the way to do this with an SP list would be to basically create another list to store time logs, with a ID field that maps to the ticket ID. Not exactly the "best" solution, but could get the job done for apps that aren't seeing a ton of volume.

Hey Vasile, you definitely could, it would just take a bit of tooling to get the work schedule information into the flow for it to determine who it should go to.

I follow all the steps and then when I go to test the app like you do in the video and click "create ticket" it says there is no data source provided. So, for some reason its not linking up with the list that I made?
Sounds like that's the case. I'd recommend combing through the blog in the description and make sure the data source settings get set correctly!

The user that requested the ticket should be stored in the "Created By" field in the list.
Hi, when a new item is created I get an email for every item on the list, even if they've been on the list prior to the new item being created. Is there a fix for this?
I'll have to take a look, that might be just how it works out of the box. I agree, not ideal. The thing that would for sure work is adjust the Power App to send in a sharepoint item id so it can be filtered in the flow and only process that single item. Sorry that it's not a better answer!
the work-around that i currently have for this is that removed the power app trigger at the top, since it's simply a Power Automate Flow that handles this, then i used the 'When an Item is created", followed by 'Get Item' instead of 'Get Items', this way only the current item is pulled. don't know yet if this broke something else in the Flow but seems to work well for now
Just wondering, why are choices in uppercase?
This app is based on a version that Microsoft had already built once upon a time, and the choices in that app were uppercase to start!

@@BulbDigital Thank you that worked. One thing though, everything is working now except for when assigning the helpdesk tickets to my colleagues in the IT department is not working. Maybe I missed something, in the assigned to drop down as a manager view I'm able to find their name and email address but they are not receiving to emails.

When testing the app, I'm not getting drop down menu, it just lets me type in text in priority and category. Even then it's not even letting me submit, the create button is greyed out. Despite linking up the data source to the list. Bit stuck with this
Hey Spencey, double check the casing on the options. We've had others have the same issue and it's typically a casing thing since it's all case-sensitive.
The "Login as a Help Desk Admin" is not working to me? Any thoughts?

Hi Julius, sounds like something is off with the data source connection. Try to review the steps for connecting to a SharePoint list and see if that resolves it.

When I try to create a new category, I can visualize and select the new category, but when I click on save it disappears, as if it had no information. Can you help me with this please

that would be great. I just tried to add custom choices to "Category" and adjusted the code in LoginScreen/OnVisible and in the Power Automate Flow. But it still doesnt work. Items created directly in the sharepoint list are listed correctly but when I create an item in the app it disappears. Where else do I have to adjust the code?@@BulbDigital

That menu has been replaced - what you're looking for is the button that says "add data" with a little grid next to it, between "insert" and "new screen".

when i run this flow it ask me for Getitems_Filterquery and what should i put in that field. when i save the flow no error will come but when i test the flow it asks me for Getitems_Filterquery . can anyone help me out?
You don't have to manually run the flow, which it sounds like you're trying to do. The app itself will call the flow and provide that parameter to the flow as needed.
how can you change the AssignedTo to a Dropdown list?
Hi Duncan, that form field is configured as a custom field. If you wanted to make it a dropdown, you would have to adjust the choices to pull from an options field in the SharePoint list or just within the power app after getting rid of the "people search" functionality.

Created the app but when it's done the Category and Priority drop downs are not functioning. What is the difference between this, and the template Microsoft already has created?
Hi Mark, can you clarify what you mean by not functioning? Like they don't have any options displayed? etc.
The difference between this and Microsoft's template is this actually saves data somewhere. Microsoft's does not.
@@BulbDigital The drop downs for Priority / category are not populating when you go to use the drop down once the app is published.

It's likely there is an error with how the admin email setting is configured. Step through the steps in the blog where the OnVisible is being adjusted and make sure the syntax is correct.
i followed everything and the only thing that seems to not function is the Admin portion as it states im not an admin as well as the sending an email portion
scratch that.. all is working aside from one thing... any way to get an email when the ticket is submitted by a user? Only time emails are going through is when the admin creates or modifys the ticket.

I've done the steps exactly as you have but I'm not able to log in as admin. When I click the login button, it shows me a message that says, "We were unable to give you access as an admin as your account does not have admin privileges."
Hello, sounds like there’s an issue with the code in the OnVisible. Particularly the line that sets up the admin users. Feel free to head over to the blog in the description for the written out steps.

Sounds like an issue with your Sharepoint list datasource connection. Double check those steps to make sure it's pointed in the right place 👍🏼
