Organizing Files by Category Made Easy
Organizing Files by Category Made Easy is for those of you who have been asking me for specifics of category choices and sub-category choices. It also covers the products and best practices I recommend. Most importantly it addresses how filing by category makes it easy to circulate your files annually so that you never run out of filing space.
Finally, I address the question I get a lot which is "Where can I get that book (not mine) 'File Anything in Your Home and Find it Again!'?" Unfortunately, it appears to be out of print and is selling for a LOT of money on Amazon and eBay. Buy that book if you can, but this video should help you out with the basics of filing by category....

    This is tremendous, especially for a fellow dude. I feel like you would need an engineering degree to come up with this method, yet it is so straightforward. I love steps and procedures when it comes to things I don't know much about, like this. Everyone else just tells you what to do, without telling you in what order, which is why I get lost, overwhelmed, and never get anywhere. Now, I finally have a procedure. Love it, thank you!

    Thank you for this. I have been mentally struggling with categories. To make things more complicated, I am living in another country that requires a lot of original documents. Yet much of my stuff is digital. So this is what I have come up with--always open to ideas and improving. 1. Digitize everything 2. Digital File Structure - Entities (Corporations and Family Name) --- Sub Categories like Minutes, Corp creation documents, Taxes, Excel file for bookkeeping - People (Names of family members, they can make a mess in there without impacting me) - Real Estate (This was hard as I was unsure if the real estate should be placed under the corporation name or have a separate category) --- Property Addresses ------- Info like 'Property Tax' - Statements --- Active Accounts --- Inactive Accounts --- Receipts 3. I name my files by the year at a minimum so they auto-sort. Generally named YEARMODY this way, the receipts and statements never need additional folders to be organized 4. The physical documents that I need are in a paper folder and kept long-term in a similar folder structure. Thoughts?

      It sounds like you have a very well thought out filing system! If you’ve got your important paper documents in one folder and everything else is digital then a lot of what I’m suggesting in my video is unnecessary. My focus is ensuring that paper files are always easily findable when you need them and that they don’t stick around indefinitely when you don’t, so you save space. If you’ve got almost everything digital, then you’ve solved the problem of findability and saving space. Nice work! Wishing you continued success with your filing system.

There is however still a place for paper.

      Yes, I uploaded the video knowing the increase. I didn't want to take the time to reshoot and reload the video, because my point is more valid than ever. This book is unavailable unless you want to spend an awful lot of money.

    Can you give some examples of “sleeping files”? Am I understanding this is not what you need forever (tax files). I guess I’m confused on what might be considered “sleeping” even after watching this.

      The big one is tax-supporting documents like statements and invoices. If you're not making deductions, these won't be so necessary to keep. Maybe you have some documents from some old jobs that you're not ready to part with just yet. You don't have to, but they shouldn't be jamming up your file cabinet next to your desk. You may also have old financial or medical files that take up a lot of space, but you're not comfortable parting with just yet. Anything that you find yourself keeping just and case and need to give some time to before you are comfortable with purging would qualify as sleeping files. I do however recommend establishing some sort of deadline before storing them. That will help force the issue a bit so they don't get TOO comfortable in their remote space. For example, discarding 7 year old tax-supporting material. There may be some sleeping files you want to keep indefinitely, like legal files, but for the most part you just need to give these files a remote resting place before you commit to recycling and shredding them. Hope this helps.

      That's what the banker boxes are for. First, sort and stack to open up floor space and surface area. Then and only then do you have the power to process FAST. Would love to hear how it goes. Best of luck.

    I'm glad I found your channel in my decluttering journey. There's not a lot of male organizing influencers that are non-minimalists these days. You have a lot of common sense in your videos.     Thanks so much for doing this video for me Matt, I found it really helpful. I could do with one on filing categories as I don't want lots of categories but when filing things like House Insurance (bills and policies), I never know where would be best to file it, under "Home", "Insurance", "Finance", "Bills to be Paid", etc., same for Car Insurance, under "Car", "Insurance", "Finance", "Bills to be Paid", etc., then there are things like medical benefits through employment, do they get filed under "Employment", "Medical/Health", "Finance", etc., etc. If you want to find something quickly and you haven't got lots of different categories, it would be good to know how to have a definitive place for the document without having to check through different files. Do you have any advice or can you do a video on this please?

    Interesting how a cleared work surface and a blank canvas can create opposite emotions. Even without a deadline.💜 Would you be interested in recording an office/craft/artroom tour?     Regarding 2 drawer file cabinet: Whatever you do, select a commercial grade full suspension cabinet. Cheap cabinets will not withstand weight or frequent use. Example: Hon 512 is perfect.

      100% Folks often want to go with the more decorative wooden cabinets, but they’re just not up to the task. Mine is a Hon. The more reliable it is to use, the more likely you are to use it!

    Hi Matt, thank you for another great video. I was able to whittle down my parents memorabilia to about two large bankers boxes. I am now working on three scrapbooks: one for myself, and one for each of my sisters. I have thrown away several photos of large classes for both of my parents, in favor of hanging onto other photos that I deemed more memorable. also my mom and dad had a lot of pictures of scenery from their travels, so my boundary has been if they are in the picture and it is a clear sharp picture, I will keep it and put it in the scrapbook. If it is just a picture of scenery, I can let it go. thanks again. This was a really helpful video. I look forward to watching more of your practical and doable tips.

    Hi Matt, I recently found your channel and I really appreciate all of your tips, tricks and practical solutions. Intuitively, I had always declutterred in a space away from the room that needed decluttering. Somehow that helped me think more clearly and the space I was processing in wasn’t as overwhelming. Seeing that you set up your processing zone in your wife’s library was helpful and validating. I have watched many organizing videos, but yours by far are the best because they are actually doable.     Do you sort by subject then break those down by year?

      No. Other way around. First sort by stage, then by category. The dead stage goes straight to discard. The sleeping stage just gets sorted by year. Don’t waste your organizing time and energy here. Once you have isolated the sitting stage, that is statements from the current year, current information and easily accessible records, THEN it makes sense to sort by subject (or category). Running files are the ones you need to make a point of acting on and they should be considerably smaller, but once they are identified THEN they should also be broken down by category. If you try to sort category and stage at the same time, you will run out of processing space, focus, energy and momentum.

    So I read your book and I was wondering with your transition to personal organizing whether you were born organized or whether you had to learn that. I wonder if it's your personal opinion that people can change into having more orderly homes and offices or if you think people are what they are and it's only a matter of time before the mess returns.

      I suppose I was born with organizing abilities because I certainly didn’t come from my parents (both accumulators). Still I believe organizing can be learned. The key is seeing organization as the vehicle you drive, not a destination. Seek movement in manageable, reliable stages, not perfection.

Until I stopped being defiant and actually followed your decluttering process. I made my own signs. I'm making a ton of progress with my project. I started with papers over a month ago. You're RIGHT!     Hi Matt. This has been really helpful my friend. Could you tell me what is the type of plastic boxes that are in this video. They are the exact size for files and arquives and have a 90° angle. Most of the ones I find are 120°ish. They are ok. But the ones displayed here are perfect.
