    "We closed the books for that client for the month - without his two subordinates submitting receipts" "Was the client unhappy?" "Yes but we pointed out that five requests for documents were sent out and ignored" So there are clients like this? In every firm? I suspect 'yes' "We will keep doing your work, you're our client after all, but if you can coax your two direct reports next month to cooperate and provide documents, that would help" You have to keep your business running and work with the clients (the hand) you are dealt. .

      In general start with standardization first, then plug in AI. Most folks try to do the opposite: How can AI make me more standardized? But they're doing something different for everyone, and get mad when AI doesn't understand that.

    I notice it takes longer to close deals with clients when we offer packaged services because I spend a lot of time explaining the differences between them. Some clients struggle to make choices or want to mix and match services, such as getting the silver package but adding personal tax planning. Our value pricing for personal tax plans also lengthens the conversation. I'm wondering if it would be more efficient to offer a "custom built" package to shorten the sales cycle.

      There are a lot of believers that only 1 package should be offered and its the perfect one for your client. Main Pro for 3 levels is that some people always go premium, and when 3 exist some people go in the middle. Eliminating choice will shorten sale and if you get wrong could result in a missed sale.

    Do you know of an effective, professional way to create an onboarding video for clients? I would like a video of me outlining basic company procedures and and FAQs so that I don’t need to waste 30 minutes on each client. Right now, all I can think of is link a youtube video to them, but that doesn’t sound professional.

      I'll go deeper on this in the next Q&A, but my main thought is don't let "professional" get in the way of helpful. I used Loom for this sort of thing, and just making a video of any kind IMO is much more professional than what most people do (nothing), and is super appreciated by clients

    In the tax relief world this system would absolutely NOT work, not the least of which because so much of the timeline on a case and when it’s “back in our court” has to do with how efficient the IRS / RO is when the ball is in *their* court (and that is *highly* variable)! Tax prep is *much* easier to systematize and we do have a prep team because we get a lot of that work too…good thing is these folks generally haven’t filed for several years so not delivering their returns within four vs. eight weeks is usually not a problem (IRS / RO deadlines notwithstanding).

      Sure it would! Outline every engagement and find what they all have in common: - The client needs to sign an engagement letter - Correspondence is saved to our system this specific way - Every X weeks the ball is in their court we communicate Y to the client - A final memo in X format is written up when it's done - xyz put in next year's tax file In some cases 95% of engagements will be done the same way (bill pay), in other cases 10% of work will be done the same way (examples like this). But creating *any* system gives you a starting point you can improve upon, pull admins into part of the process etc.

      I've been listening to you for what feels like at least a year and I just learned you had a website today on this stream. I hadn't subscribed to your newsletter before either, but only because I didn't know it existed and you never asked me to. I remember it taking me a few months of listening before you mentioned Realize too. My plate is too overflowing with the day to day firm and family running to seek people out on other channels. Perhaps it's by design, but thinking maybe if not for your benefit then the benefit of your audience you let us know where else your listeners can find you. I appreciate that you don't push it overly, but maybe you've gone the other extreme of making it a little too serendipitous?     I am a CPA and EA, and I display my licenses anywhere I can. It's a marketing tool, nothing more. I will not name my firm 'Business Advisors Inc.' because it would equate me with people who do not have credentials and who are hiding behind catchy names. People do pay extra for a CPA license. People do Google 'CPA near me.' And look at the name of Jason's website; he didn't pick a specific name for it. Why not? Because that domain is very prestigious as it is. I have a first and last name, and I think people can remember those, making me unique (along with my licenses). No one else has the same combination of first and last names along with licenses. Do you need to be a CPA to practice tax? Absolutely not! Sometimes I think that even an EA is overkill. Here is my take on being a niche. Sure, you can name your company 'Beekeepers' Bookkeeper' or something similar. But the way SEO works, it will take a year or two (and a lot of money and time spent on SEO) before your niche website (if ever) comes up on the first page of Google. And when it does, you will still be dealing with bargain shoppers who found you on the internet and compare you to other firms in the same niche (because you are not the only one who was so smart). The best clients come from referrals or are acquired from retiring CPAs. In this case, the name of your company or your website does not make any difference because your leads are already warm. The most profitable CPA firms do not have catchy names, Google reviews, flashy websites, or Yelp accounts. There are a lot of people who want proximity to their CPAs. They want their CPAs to be local. That's why I have an virtual office. I meet with my new clients once in their life, charm them, and then move all work online and to Zoom. But that first meeting matters. Being local and being referred to is already a very good niche because it is built on trust. Superficially creating a niche and then trying to get clients for that niche will not get you anywhere. The internet is full of advertisements, podcasts, ads, and other noise. And it will only increase as time goes by. Potential clients will stop paying attention and will always prefer a referral over a social channel. A niche may come to you, or it may not. But I stopped focusing on it. I build my firm on relationships with my clients and the fact that they trust me. I do quality work. I convey my value to them (which sometimes is a complete BS), I send them Christmas cards and paper copies of their tax returns in glossy folders, and then I up-charge for that personalized approach.

      Yeah that's an example of one that's probably too big of a lift to DIY, but is behind the scenes of the updates that are made to various products I'm sworn to secrecy but that one specifically we'll have live in a number of the tools we use by year end Some of these podcasts gets conceptual, ie this new tech will likely make this other thing possible/productize-able in the next 18 mos And the super practical use-this-today sort of applications I'm trying to consistent share over on the main youtube channel

    Interesting topic, Jason. I don't think I understand the angst with getting or creating wealth and I certainly don't feel guilty about it. You are correct on many fronts that there is a point where one has enough income or wealth so why continue to accrue it? For me, it was and still is, a competitive thing. I'm measuring myself and the firm vs. last year and or last month or whatever and that is satisfying. I don't think I realized it on the front end of my career, but I have a competitive nature that needs to be engaged. However, along the way, I've interacted and assisted and helped clients achieve their goals which is just as satisfying. Economic independence is what I call it and I've instilled that in my now grown children. I do get that it's not the row for everyone's boat. The profession can always use good accountants that don't want to get into the higher levels of a firm or to create their own. Keep up the good work.

    You have to give tax clients a written separate disclosure (not hidden in the engagement letter) if you offshore tax work. That will spook many clients and CPA firms are not wanting to risk. Some CPA firms still do it without disclosing this information, but this means lying and it just does not feel good. I believe you can still offshore bookkeeping since there is no disclosure requirement. I am not sure how big firms do it. I believe big CPA firms have their own branches set up in foreign countries and may be this allows to avoid the disclosure requirement.

      Yeah offshoring 1040 work requires a standalone separate disclosure, entity work requires a disclosure that can be included in the usual engagement letter, for bookkeeping there aren't the same requirements you just have to ensure the staff doesn't have access to tax info I always say offshore disclosure rules are a reason to disclose, not a reason to not offshore But frustratingly there's a long list of examples where our client's tax data is already being made available offshore: - Any time the owner leaves the country with their laptop - When our software vendors store data in offshore servers - When client info is accessible to offshore members of our software vendor's team - When onshore software vendor peeps with access to client info travel outside the US It's an antiquated rule set (that we still have to follow), but not reason for me to not do what I believe's in the best interest of the biz & my clients!

    Whats the difference between an accounting agency that you are advertising and Upwork? The same accountants that the agency employs are sitting on Upwork and submitting their bids. To give 4k to find an accountant who you can find yourself and hire through Upwork on a trial basis first seems wasteful.

      Placement agencies work with local recruiters to find you candidates, the same way a domestic recruiter does. Whether they currently work for big 4, run their own practice, or work on Upwork, All offshore accountants are not on Upwork, for the same reason all onshore accountants aren't on Upwork. The upsides & downsides of hiring direct vs contracting a job to someone on upwork or elsewhere are the same whether offshore or onshore. Full control over their time & development, integration into your team etc.

    As someone interested in growing my firm, I am looking into samslist. Will report back once its working. The inorganic traffic has been a waste of time so far, and the questions they ask incoming clients are not great yet. I respect them quite a bit as their rep Kim is great about taking feedback and is trying to improve the platform.

    Regarding your comment @10:00 that's what I am doing. My firm is started and I bought 240 clients from a retiring solo practitioner. Basically using that as a springboard while I try to then bring in niched new clients. Makes it a lot easier to go off on your own when you can buy cash flow.

      Yes! That's what I am doing right now. For two years I was trying to build my firm by referrals and marketing. But when you are cash poor, it's hard to say no and you end up taking any client that comes by. I eventually decided to buy a firm with established well paying clients. I will see what I want to specialize in later.

      @@kellykissman4746 there are companies who specialize in helping ppl buy and sell accounting practices. Check out their websites. Personally I found mine through a solo that was listing his on my state association website.

      @@kellykissman4746 brokers. There are four or five big accounting brokers that sell only tax and bookkeeping practices. They charge 10-12percent for their services, but it is wrapped up in the selling price. You could also try to approach CPA firms (emails and cold calling), but that didn't work for me because I was getting bad offers (old paper clients, difficult and cheap clients). It took me three years to pull the trigger and finally make an offer. I am cheap, I thought I could do it myself because I didn't want to pay the premium. But I finally realized that I need cash inflow if I want to start moving in the right direction. I also realized that old retiring CPAs charge whatever they want and you want the clients that will pay those fees. It took those CPAs a long time to get to that state and it is worth paying for, because it saves you a huge amount of time. You could spend four years developing your firm and sorting out through cheap and difficult internet clients, dealing with negative social media reviews that come from those clients, working on your Social media posts, negotiating your fees, etc. or you can just buy a firm and pay it off within four years - the net result is the same but less headache. Plus, you will immediately stop being a price taker and you can afford doing the "specialization" route. With small one person firms, you can negotiate a 4 year seller financing, with big firms, (starting 250k of gross receipts), you can get an SBA loan and pay it off within ten years or earlier if you wish.

    Really good video this and bang on. I think my Strive is to set the kids up because otherwise a daily walk to Greggs for my morning mocha doesn't require great wealth, yet feels me with great happiness!! Kids provide a great comfort because whether your rich or not, all they want is your attention, in their eyes not much else matters! Status or proving a point (the latter I think I'm guilty of) don't really mount to anything at the end of the day, other than time away from the things that give us true joy.
