Thank you. I'm glad you found it helpful. I'd probably go for the Sole Trader Package with low mail usage. I didn't get a virtual office until I was a ltd company as I didn't want my home address online for anyone to see but you can still get one for sole traders as well.

Hi Joe. So you can't add specific fields onto the patients profile but there would definitely be space to put information like that. There's a notes section for example. You can also add Alert Notes in the admin section with a warranty expiration date which would flag up each time you made a booking with them. There are also classifications you can set up so there's a lot of ways you can customise with the platform

Hi Jessica. I prefer Google Forms (without a signature) for a couple of reasons. 1. It saves you money. If you're already paying for Google Workspace why pay extra for an e-signature platform? 2. It's quicker and easier to make changes. With Signable you'd need to make the changes on a Google Doc upload and re-do the template. With Google Forms just make the edit and it's ready to go right away without making any changes to links. Both have their advantages and I do like Signable for therapists in PP because it has the pay as you need feature but for those on paid GW accounts it's not required.

Both Forms and Docs are covered under the BAA but here's the Google Workspace info on HIPAA Compliance which I'd suggest you check out: support.google.com/a/answer/3407054?hl=en The main thing is to do everything reasonably possible to keep your client data safe. Lock your computer or laptop whenever you're not using it. Make sure your passwords aren't easy to guess and that you don't share them or use them elsewhere.

I'd recommend purchasing a domain and setting up a professional google workspace / Gmail account but you don't need to create a website for this. Hi Jessica. This is something I would definitely ask about in UK Private Practice Facebook groups to get advice on. From what I know you don't HAVE to be a member of BACP (or similar) to be in PP but if you are eligible I definitely would look into this. Also most therapists in PP that I work with are sole traders but speak to your insurance company or a financial advisor about your concerns.

Hi Jessica. If you choose to use Google Workspace you can use Google Forms to send out your therapy agreement and any other paperwork. You do not need to get an e-signature for these. You can ask them to type their name to agree to the terms or confirm everything is true and accurate. You can also add a checkbox with the same details and add a date box. All this is sufficiently adequate. If you really wanted to use an e-signature platform my no1 recommendation is Signable and I'll have a video about this is a couple of weeks on my channel so be sure to subscribe and stay tuned 😄

Congratulations Jessica. You can definitely keep notes on Google Workspace and there are a few ways to do so. Create a Google Doc template and use that or you can create a Google Form which links to a Google Sheet in the clients file and complete that. I like the Google Doc as you can also use voice typing which may speed things up for you. If you use the paid for Google Workspace account you will be able to run your Private Practice using the system safely and securely. The ICO just wants you to take all necessary precautions and action to secure your clients data.

Hi! Yes of course all this info would be stored in the EHR. For our clients we do also keep a master client list just so everything is in one place and easy to get to but you definitely don't have to. With Power Diary you can easily search for your client and everything you need will be within the client files. You can also run reports which can help so I'd really encourage you to use the status field to know who's active and who's not. The MCL really is a starting point for those not quite ready for an EHR

Hi! I personally haven't used Halaxy or seen it but I have helped therapists move away from it who weren't happy with it's functionality. I think watching videos on different systems you're comparing or trying them out (if they have a free trial) will give you the best indicator. Also if you're in therapists FB groups asking for opinions can be helpful.

Oh I'm so glad you found some of this useful. I'd be really curious to know what is different in the US

I'm not 100% sure on this answer. I believe you would sign in and answer some questions to see if you "qualified" / needed to. They do ask if you earned over £1000 so if you selected no they would probably say you didn't need to. Earned is defied as "earned more than £1,000 (before taking off anything you can claim tax relief on)" so this is turnover NOT profit. Here's some more info www.gov.uk/self-assessment-tax-returns/who-must-send-a-tax-return. With regards to making a loss and it effecting what tax you paid in employment I'd suggest speaking to an accountant or HMRC directly.

When I was a sole trader I didn't put my address anywhere online or on my invoices as I worked from home. No one ever commented that this was missing and I don't think your clients will. If you're in the UK you'll need to register an address with the ICO but you can ask them to remove this form the register. you don't need an address of your website. If you do want a cheap way to get a registered address I'd recommend Ghost Mail - ghostmail.co.uk/product-category/business-services/ The address doesn't need to be anywhere near your actual address. Also if you have a accountant you can ask them if you cna use their address and they usually let you either for free or for a small fee. Hope that helps!
