      You're welcome! It doesn't, this is for pulling data points in, not the attachments/comments associated with that row. If needed, you can use the move/copy row which may work for your use case. - Ryan

    First thing..thanks alot for your videos..very much useful.... Need advise..example I have 10 sheets for each client and converted those into reports to get the information in one place.       In core Smartsheet: Data flows from sheets to reports only; If you have the Smartsheet add-on called Data Mesh, you can use the report as the source, then send the data to your sheet. -Ryan

      @@workflowcreative The filters show the initial filters - were there other filters you used once you created the hidden columns for the parent tasks? Using the initial filter still doesn't show the parent tasks with the new formulas. TIA for the help!

    This was great! Thank you! I've been a longtime Excel user familiar with VLOOKUP/XLOOKUP so had defaulted to those in SS, well aware of the drawbacks if columns moved, etc. Now I finally understand what each reference in INDEX MATCH refers to it is so simple I'll begin converting my lookups today.

      It can! You’ll need to add a column and make it an auto number type column. Then add an automation: when rows are added, send an alert to the contact in the submitter column. In the body, use {{}} and insert the auto row column name there. Like {{Row}} -Ryan

    FYI: You don't need to add extra pins to zoom out - if you alter the embedded link, add this text "&z=10" right before "&ehbc", you can change the zoom output. You can change "10" to whatever value to toggle different zoom ratios. I hope this helps!

    Would the map data be able to display calendar appointments for that location? That would come in handy if your looking for addresses and projects taking place in any given location.

      What’s up Jorge! You can add addresses and other details but if I understand what you’re asking, it’s probably not the best solution since the map doesn’t update automatically. You have to update it manually with every change. Maybe take a look at google looker studio maps. -Ryan

    What’s the advantage to Vlookup?

      With vlookup, your formula will break if a column is inserted in your range or someone moves your columns on your sheet. With index/match you specify both the lookup column and the results column. This way, they can move around the sheet as much as you need and the formula stays intact. -Ryan

    Is it possible just to have a file string replacing the image in the cell, while the image still sits in the row attachements. I am having the problem you spoke about where the images are exploding the sheet out. What is a way around this so I can just keep all the incoming images stored in the row attachments only.       No, via a third party app I developed where my trade workers are sending images back that land in to smartsheet. I was using Google's sheets where the images appear as a string file (eg dog walking.png) and the images are saved directly into Google drive. I was hoping smartsheet has a similar set up but from research I don't think this is possible unless you have any ideas around it? Thanks John

      @@johnpearson7910 Got it. No. SS doesn’t expose image urls or keep the public urls for attachments for more than 30 days. It seems you’ve ran into a limitation for your use case. An alternative approach would be to use your app to store the files in Google, Dropbox, or box and just send the url to SS. -Ryan

    This works great. I'm trying to mimic this for current signed in user so that I can create a single report where a current user can view all tasks assigned to them across multiple project plans. The problem is that when I apply filter 'Assigned to' I lose the parent/child organization and only the task which is assigned to the user is displayed in the report. Any workaround that you can recommend?

      Hi Darius. This is tough b/c you may have multiple people assigned to the tasks beneath the parent and reports do not play well with Multi-Contact columns. Otherwise, I would say have the parent collect the Assigned_To children. If they are all the same person, it would work. Alternatively, you can add a column that displays the parent on the same row as the child. It's not ideal, but it will would add some context to the task row for the viewer. - Ryan

      You can! But anytime you add a column formula to a drop-down column, you lose the drop-down feature. What’s your scenario? - Ryan

    Thanks for your video. So helpful in building a report that shows the parent/child hierarchy!! I do have a challenge I am trying to figure out. I have a sheet that is a "process decomposition" for accounting processes with 8 levels. Rows may or may not contain information in multiple columns including: procedures, position responsible, reference guides and forms. Do you have a suggestion for a formula in a helper column to create a report that shows rows with procedures "not blank" and the parent row(s) above it? (I can duplicate that for other columns.) Thanks for your help! Hopefully Smartsheet will soon include parent row options in reports.

    Can we establish a formula which replaces the last updated status with current status. Like it has to be dynamic, everytime I make changes in current status, the last updated status values get replaced.

      Then you would use the index match formula on sheet2 (like in the above video) with a “key” that connects the two sheets rows (a key is a column that holds unique values like SKU, product number, work order number, etc. ) That index match would update your status column in sheet2 based on the data in sheet1.     When you do this import, I assume the data is static? I need to have a link that is dynamically updated so I can maintain a spreadsheet in Excel, outside of Smartsheet and have Smartsheet pick up the changes. Is this possible?

      Depends on your account type. You can’t have this with the standard accounts but if you have an enterprise account you can get an add-on called Data Shuttle where you can connect your excel sheet to Smartsheet and have it periodically get picked up. help.smartsheet.com/learning-track/integrations-and-add-ons/data-shuttle An alternative would be to put your data in a google sheet and use Zapier.com to connect the sheet with Smartsheet.       @@workflowcreative I'm really struggling with how to integrate smartsheet dashboards with existing process data being managed in Excel. I can't expect all stakeholders to adapt to Smartsheet, but don't want to be doing manual cut and paste. I'm also not a big fan of not having offline access to the smartsheet sheets. That's a big negative for me.

    Thank you for the video. Do you think is possible to have a filter in the Dashboard and chose different data? For sample I see inventory report and chose in the filter sales report and show the sales without create another dashboard.

      Hi Juan! Unfortunately, Smartsheet doesn’t have dynamic dashboards. Have a look at google looker studio and tableau. Alternatively you could hack something together on SS, but it’s not pretty. It involves the submission of a form (or dynamic view) on the dashboard. That submission then marks the rows of the data for you. You then refresh the dashboard and the rows are filtered for you. But that doesn’t sound like it’s an exact use case for your question. - Ryan

    Very cool! I'm guessing I could use Data Shuttle to automate (or at least reduce manual steps) for an interactive map (or other web function like this that comes in the Google extension ecosystem), right? Now I'm super curious about the "what else" besides maps could be made to work this way. Excellent demo!

      Happy to hear you found it useful! You're exactly right. Data Shuttle to google sheets, but you'll still need to manually import back to the map again. What else?.. All google products can be embedded on dashboards so data shuttle off to a google sheet then have chart/graphs etc auto update. You can also use looker studio to create interactive (filterable) charts/graphs and embed those as well.

    Hi! How do you go from a approved request from the intake sheet to a new project plan without Control center? You mentioned an easy "right click" but I didn´t see the linkage of the data in the demo.

      Hi there. You would build your set of assets for each project, and put them (including your project plan) in a folder. Feel free to name it "PROJECT TEMPLATE". Then for each project that is approved, someone could receive a notification that they need to take an action. That action would be right clicking on the PROJECT TEMPLATE folder and selecting "Save As New".

      Hey Chris, The web content widget isn’t available in the trial or individual version of Smartsheet. If you upgrade to the PRO plan, just remember that it limits you to 10 total widgets, but you do have access to the web content widget. -Ryan

      integration has nothing to do with smartsheet .Is simply an embeded google maps in a smarsheet dash page .You have same result using a link embeded into another column .As long is static info don't see the point .insert the link from My maps into a column and have pretty much exactly same results .However .Thanks for sharing

      Hi Shaukhi, If you have access to the premium app called Data Mesh, use that. If not...First you'll need a "key" between the two sheets. This could be a Property ID, an inventory number, a street address, etc. It needs to live on both sheets. Then, start building your index/match formulas like in the video for each of your columns on your second (Destination) sheet. You'll need to create a Cross Sheet Reference (right click, manage references) on your Destination sheet for each of your columns on your first (Source) sheet.

      Unfortunately, no. Smartsheet does not keep a history of the automations/emails. If you are displaying the recipient's email in a contact column, you can get the emails from there, but it's still not a list of who actually received it.

    Great video! I was able to get this to work for my sheet, but I use this to show if someone completed something, which means sometimes there is no match to be found. Right now my cell will show as #nomatch if it can't find a matching email from my source sheet. How do I make it show just a blank cell instead?
